1 ServiceLink Training Video Managing Job Orders Pending Completion

2 There are two types of job orders in JobLink: self-service and staff-assisted. All job orders created by job center staff are automatically designated as staff-assisted. If an employer wants job center staff to manage their job order, they may request staff-assistance during Step 4, Posting Preferences, when creating the job order. When an employer selects the staff-assisted option, the job order is placed in the Job Orders Pending Completion queue for review and completion by job center staff. Job orders pending completion are not visible to the public, so it is very important for job center staff to check for them regularly. There are two ways to manage job orders pending completion: at the office level and at the individual employer level. Ask your supervisor which method you should use. Policies may vary.

3 To manage job orders pending completion at the office level, in the main menu, point to Employer, then point to My Employers and click Job Orders Pending Completion. If you have security permissions for more than one office, a drop down will display prompting you to select an office. If you have security permissions for only one office, any job orders pending completion and assigned to that office will automatically display. To view and complete the job order, click Edit.

4 To manage job orders pending completion at the individual employer level, locate the employer on your My Employers page or by conducting an Employer Search. On the Employer Details page, “Pend Staff” indicates there are job orders pending review and completion. Click Job List – Staff Assisted. The employer’s list of active job orders displays. Click the View Job Postings Pending Staff Approval button at the bottom of the page. To view and complete the job order, click View Options then click Review Details.

5 Review the job order information
Review the job order information. To complete the job order, scroll down to the bottom of the page and click Activate this Job Posting. Any questions required to complete the job order will display. If you want to activate the job order after completing it, be sure to set the status as Active. When you’re finished providing the required information, click Save. The job order is removed from the Job Orders Pending Completion queue and the Review and Post Job Order page redisplays. On the posting date, the job will now be published to the JobLink search engine and visible to job seekers depending on its disclosure level. The job order is also automatically moved from the employer’s Job Postings Pending Staff Approval list to their Active Job Postings list. To view the job posting as it will display to job seekers in their search results or when they click the job title to view the job details, at the bottom of the Review and Post Job Order page, click View next to Short Display or Full Display.

6 Employers can access the job order by clicking My Job Postings in the employer main menu. Employers have full access to their staff-assisted job orders including the ability to view, edit, place on hold, close, and delete the job order and create similar posts. Employers can also search for resume matches from the job order. When an employer edits a staff-assisted job order, it goes back to the Job Orders Pending Completion queue for staff to review and reapprove.
