Student Registration Purpose:
Graduands must register their arrival at the Registration Desk to ensure that their name is called at the Ceremony. Failure to register will result in the graduand not being presented during the Ceremony. The Registration Desk will be coordinated by DSA with the assistance of Faculty/School Staff. Responsibilities: Staff will be responsible for marking the Graduands name off the roll. Providing the Graduands with 2 programmes, their guest tickets and their allocated seat number. Identifying the Graduand presenting the Vote of Thanks and refer them to the Events Coordinator. Direct Graduands on to Gowning. Working Hours: Arrive 2 hrs 10 mins prior to the start of the Graduation Ceremony and work for 2.5 hrs. Registration will open 2 hours prior to the commencement of the Ceremony.

Gowning Registration Purpose:
Graduands will be directed straight to gowning from Registration. Gowning Registration is responsible for ensuring that students have paid for their gown hire and provided with the appropriate Faculty/Award hood. Gowning Registration will be coordinated by Event with the assistance of Faculty/School Staff. Responsibilities: As each Graduand arrives, check their name off the list provided. Ensure the Graduand has paid for their gown hire. Graduands are asked to bring in their receipt in case they pay late. In the event a student has not made payment for the hire of graduation regalia, they are required to pay in cash for the hire. No credit card facilities are available to make payment, cash payment is the only option. Provide them with the appropriate Faculty/Award hood. Working Hours: Arrive 2 hrs 10 mins prior to the start of the Graduation Ceremony and work for 2 hrs.

Gowning - Graduands Purpose:
Assist the Graduands to don Academic Dress. Gowning will be coordinated by Events with the assistance of School/Faculty Staff. Responsibilities: Assist Graduand to put on the correct Gown for their level of Award. Assist Graduand to put on the correct Hood (colours) or Stole. Including the Indigenous & TSI Stole. Assist Graduand to put on the correct Trencher (Mortarboard) or Bonnet. Gowning returns are made up to 1.5 hours after the ceremony has finished e.g. 9.30 ceremony have until 12.30pm to return gowns and 3.00pm ceremonies have until 6.00pm to return gowns. (this is based on allowing 1.5 hour for the ceremony). Gowns will be returned in the same location they are collected. Working Hours: Arrive 2 hrs 10 mins prior to the start of the Graduation Ceremony and work for 3.5 – 4 hours. Graduands will be directed from the Registration Desk straight to Gowning. Once gowned, Graduands will be directed to photography or to the venue entrance to be seated.

Gowning – CSU Academic Staff
Purpose: The Academic Procession Room is a separate area from gowning students. These are the participants that are on stage and are predominantly CSU Academics, The Chancellor, Vice Chancellor & President or their designates, but also including some VIPs to CSU and the local community ie. The Town Mayor, Local Politicians, CSU partners etc. A stage seating plan will be provided with all members who have been invited to Process and have confirmed their attendance. Names are also placed on the floor in order of the Seating Plan and where they will sit on stage. Gowning will be coordinated by Events with the assistance of School/Faculty Staff. Responsibilities: Ensure all participants have arrived. A rack will be in the Procession Room with gowns for all those who have hired them through the Events Office. Assist with Donning the Academic Staff with the graduation regalia. Many Academic staff will arrive with their own regalia, please still offer assistance. Ensure each member is aware of their position on stage and their position in the room. A label is placed on the floor with their name on it. Make necessary adjustments to the plan and stage seating if positions change in the stage seating plan. A Key Graduation Staff member will be visiting the room during the course of the morning of afternoon before the start of the ceremony to offer guidance if there are any questions. This same person will authorise the start of the ceremony. Working Hours: Arrive 1 hrs 10 mins prior to the start of the Graduation Ceremony and work for 1.5 hours.

Hood (Colours) Stole Indigenous & TSI stole
Open the hood (colours) out and place over your head. The front part of the hood should show both the red and faculty colour. Hood (Colours) The hood is the part of the outfit that designates your Faculty and level of Award. All hoods are predominantly red and are lined with the colour of your Faculty. Adjust hood on shoulders to ensure it does not fall off (for slight people you may need the assistance of some pins). Stole The stole is a long neck sash worn by those graduating with the Associate Degree, Diploma and University Certificate. Graduands wear either the stole or the hood, not both. Ensure that the colours of your faculty are showing on the shoulders. Indigenous & TSI stole This is worn in conjunction with the appropriate hood or stole. Graduands will identify their desire to wear this stole when gowning.

Gowns Bachelor Gown Grad Cert/Dip Gown Master Gown
Black Cambridge style Gown with open sleeves Every Graduate (except professional doctorates) wears a black Cambridge style gown, which is mid calf length and open fronted. The Undergraduate and Master gowns vary in the style and length of the sleeves. PhD gown is similar to Master gown with the addition of red facing. The gown is put on first. The Ceremony Graduation ceremonies are usually 1.5 to 2 hours long. Ceremonies include the procession into the hall of the dignitaries, conferral of awards and presentation of individual graduates to the Chancellor and an occasional address. The dignitaries then process out of the hall, followed by the new graduates and then their guests. Refreshments are served for graduates and their guests. Graduation services (photography, framing etc) are located in the same area and may be accessed by Graduands prior to the ceremony and after. Morning ceremonies commence at 9.30 am and afternoon ceremonies commence at 3.00 pm. All Graduands have an assigned seat. They will be provided with the details at the Registration Desk. Graduands must sit in their assigned seat 20 minutes prior to the commencement of the Ceremony. A seating plan will be available at each venue to assist, however it is expected that the Graduands be able to find their own seat and all seats are marked.

Door Attendees Purpose:
Assist Graduands and Guests into the venue and monitor door access throughout the Ceremony. DSA Staff will be on hand to assist. Responsibilities: Check that each Guest has a ticket to enter the Venue. This is for OH&S requirements, additional tickets are normally available at the Registration Desk if required. Crowd control – encourage Graduands and Guests to enter the Venue in a timely manner. And should be seated 20 minutes/10 minutes respectively. As Guests are seated, ensure that the main aisles and walkways are kept clear in order for the Academic Procession to enter the hall. Monitor the doors during the Ceremony and assist with any enquiries. At the end of the Ceremony, ensure that Guests remain in their seats until the Academic Procession and Graduates have exited the building. Working Hours: Arrive 1 hr 10 mins prior to the start of the Graduation Ceremony and work for 3 hours.

VIP Assistant Purpose:
Assist the Guests identified as VIP’s to find the nominated VIP seating. Responsibilities: Contact point for VIPs, assisting with seating and questions. If required, you may also be asked to assist with directing Graduates back to their seat after crossing the stage. Working Hours: Arrive 1 hr 10 mins prior to the start of the Graduation Ceremony and work for 1.5 – 3 hrs.

Graduation Ceremonies are the culmination of many years work for our students and to ensure the success of the ceremonies, a joint effort is required from all Faculties, Schools and Divisions within CSU. Please assist us to provide Graduands with a final memorable experience at CSU by registering your ability to assist at the upcoming December Graduation Ceremonies.
