Schools changes to Location Table
Residential Treatment Centers (RTC) Now identified Virtual Schools Districts should verify data at beginning of school year: Added fields: Website, phone#, both physical and mailing address General Reports folder: Schools from Location Snapshot Note: Location Status CLOSEDGT1Y – Closed greater than 1 year

8 in 5th digit of course code replaced with BEP in COURSE INSTRUCTOR
If a course is taught as part of BEP (state funded Bilingual Education Program), then you’ll specify BEP in field 60 (Course Special Program Code) in COURSE INSTRUCTOR template. You’ll no longer specify 8 in 5th digit (if you do it will be ignored). Whenever BEP is specified a bilingual endorsement (67) will always be required and if the bilingual endorsement is not found it will result in a Course License Discrepancy (a few exceptions are noted on next slide) Report path: Staff>Licensure Reports Licensure Discrepancy for Courses by District, Location – Error Lacks Bilingual Endorsement Report path: Bilingual Reports BEP Teachers with Licensure Qualified Status Detailed Class Roster - BEP Courses

COURSE template change
Field 77 – NEW PRE ADVANCED PLACEMENT INDICATOR. Replaces field 60 COURSE SPECIAL PROGRAM CODE (PRE) from Course Instructor Template. New Business Rule: When a characteristic of a course changes, then the Course Code (length 8) must change. This change is being implemented because of the Real Time Data Project’s use of Ed-Fi’s data store. If any of the “Indicator Fields” carried in Course Instructor change, then it requires a unique “Course Code Long” field be created. This includes a change to the indicator fields and field 60 Course Special Program Code.

Course Instructor template change
The full 8-digit Course Code, with the first four digits pertaining to PED’s Course Code (did not change). An 8 will no longer be reported in the 5th digit to indicate the course requires a bilingual endorsement. Instead, this is now captured in field 60 (COURSE SPECIAL PROGRAM CODE = BEP). Which means a bilingual endorsement will always be required unless “teacher of record” holds 520 Native Lang & Culture Certificate. BEP is ONLY used if course is taught as part of the state funded BEP program & is used to create list of BEP teachers per District/School. Field 21 – Additional languages have been added to the Language Code Set – Use if course is taught in language other than English (which is different than BEP) and will NOT require a bilingual endorsement. Field 60 – COURSE SPECIAL PROGRAM CODE – Value PRE for Pre AP course no longer collected here. Now collected in field 77 (PRE ADVANCED PLACEMENT INDICATOR) in Course Template.

Student Course Enrollment template change (COURSE_ENROLL)
Field 18 - SPECIAL PROGRAM CODE – P = PEER – This code will no longer be reported here, but instead PED will derive PEER students via the following rule: If Course Code is 0033 (3Y SpEd) or 0044 (4Y SpEd) AND Student Grade Level is PK AND Special Ed = N, then student is PEER. Field 14 - COURSE CODE LONG –8 in the 5th digit no longer required for a Bilingual course. Field 16 - IDEAL is replaced with BLB (Blended Learning Bureau) as a valid value.

Highly Qualified Teacher (HQT) Reports
It’s unnecessary to run the HQT reports since a data review of this area will not occur (due to reporting Highly Effective Teachers instead of HQT to the feds in regards to ESSA-Every Student Succeeds Act). For those who run them, you can ignore the teaming of a Special Ed teacher when the Not HQT reason, “Does not have SpEd license for Self Contained Class” appears. It’s unnecessary to team the teacher with a Special Ed license teacher because then in Accuroster you may need to remove them if SpEd teacher is not really in the classroom. Licensure Bureau will be monitoring Licensure Discrepancy Reports – based on state statute

Principals It’s important so identify EACH school with at least ONE PRINCIPAL Staff Assignment Code. 14 Principal, Secondary 15 Assistant Principal, Secondary 16 Principal, Jr. Mid High 17 Assistant Principal, Jr. Mid High 18 Principal, Elementary 19 Assistant Principal, Elementary Submit to Staff Assignment template at EACH reporting period. address submitted in Staff Snapshot. Used to update various systems, websites (School Grading) & correspondences.

FAEA funding change Fine Arts Education Act (FAEA) funding will automatically include all K-6 students – districts will no longer submit this code for identifying these students Membership report will change.

LOCATION MARKING PERIOD – new template
Submit at Beginning of Year in 7/15 Open Year Round window. 1 record for each school - 1st day of school and last day of school. If grade levels start at different times for a single school (e.g. K-5 starts 8/1 and 6-8 starts 8/8), use the MINIMUM start date and the MAXIMUM end date. Do not include K-3 Plus dates; don’t include summer school. Include your “normal” school’s start and end dates. Reports to verify: General folder Districts Start and End Dates for Year Schools Start and End Dates for Year

PEER Defn: General Ed PK students who attend a special ed class and mentor SpEd students Derived now in STARS; therefore, this no longer needs to be reported. If a student is SpEd N, Grade Level PK and in course code 0033 (SpEd 3Y) or 0044 (SPEd 4Y), will be considered PEER. Last year was reported in Course Enroll (at classroom level) and originally this year we were going to collect PEER in Programs Fact (at the student level).

English Learners Programs Fact code remains as ELL (wasn’t changed to EL) although description changed from “English Language Learner” to “English Learner.”
