Planning Involves all aspects of preliminary preparation necessary to present a well-executed show Planners for charity shows should keep in mind the purpose to raise money when planning an event, but should not over-price the show tickets for the intended audience

Targeting the Audience
The merchandise selected for the show must match the audience in order to promote appropriate trends An audience that is established before the show is organized is considered a guaranteed audience An audience which is established after the show is planed as a result of publicity and advertising is considered a created audience

Show Producer Responsibilities include: Casting the models
Overseeing the design and construction of the set Directing the lighting and music crews Taking the initial plans and translating them into the actual show

Stylist It is the responsibility of the stylist to provide creative input to the designer and show producer, and present the clothes immaculately Responsibilities include: Planning how to highlight key pieces of the collection through accessorizing Deciding which models will wear which outfits and what order they will go in

Promotion Coordinator
Accountable for the creation and distribution of promotional materials for the show including: Press Releases Press Photographs Tickets Invitations Commercials Signage Table Decorations

Merchandise Coordinator
In charge of the selection of merchandise for each scene and the entire show Must work with retail stores and/or designers to pick clothing, accessories, and props Coordinates fittings prior to rehearsal

Responsibility Sheet A helpful tool in planning a show and delegating responsibilities to all participants The director records each delegated task on the responsibility sheet and then distributes copies to all coordinators so that all individuals may know who is accountable for each task

Venues School venues will have strict guidelines and restrictions for use These can regulate hours of availability, type of food and beverage service, amount of people the space can hold, security requirements, etc…

Serving Food and Beverages
Service may be as simple as providing beverages or as elaborate as a multiple course meal Tying meal time to the entertainment has proven to be a popular approach

Show Schedule Date and time must be set first
March 19, 2009 A calendar should be developed along with the responsibility sheet to show when each step needs to be completed

Length of the Fashion Show
Usually determined by the number of outfits in the show A younger audience dictates a faster paced show A show within a retail store should last no more than 45 minutes

Merchandise Security Merchandise on loan from retailers for the rehearsals and the show is the responsibility of the show staff It must be protected from damage while it is being worn and from theft or vandalism

Security Contract Developed to assure the responsibility of fashion show volunteers Tells the store that the merchandise will be returned in the same condition or it will be purchased by the show director

Estimating the Budget The budget is an estimate of the revenues and expenses necessary to produce the show It is a best guess of what will be included in the costs and income from ticket sales or vendor cooperative financial support
