Business Continuity Planning Overview

Basic Principles Identify broad critical functions of the University Libraries and their level of criticality How we prepare to carry out these functions in the event of a disaster or with diminished resources Develop list of action items to help us prepare for such an event

Process Originally assigned to a BCP group but with the volume of information, that became too unwieldy Teri and Chris decided the best approach would be to populate the BCP in a draft form for University Libraries, tweak with additional input, then let other branches use as a template as they develop their own Used the College of Business and CCIT plans as models Information is placed into “Clemson Ready,” a Kuali business planning application:

Critical Functions Not meant to be exhaustive list of all services, but grouped in broad categories for the Libraries as a whole Modeled on some of the critical functions of CCIT and College of Business Levels of criticality assigned but needs further discussion

Defining CCIT-supported applications we depend on to do business Defining Libraries-supported applications Server ecosystem, backups, workstation support How to restart (purchasing new equipment, setting up workstations in alternate locations, etc.)

Key Resources Identifying key people who will be involved in activation of the BCP Identifying list of employees who can perform their work from home Listing contacts outside of the Libraries who will need to be notified shortly after an event List of stakeholders, such as vendors, who need to be notified Upload key documents needed during activation of BCP, such as the Libraries’ Disaster Plan

Next Steps Review critical functions and levels of criticality – assign some of the functions for others to review and provide more complete information Consider action items and documents to add that will assist the Libraries in preparing for an event Unit Heads – Develop list of employees who could perform their work fully or partially from home Chair – review and recommend action items for Faculty Preparedness

Longer Term Provide template to key contacts at branch locations and charge with completing BCP for their area Implement a continuous improvement process for the BCP so it remains updated at regular intervals – identify responsible parties BCP activation testing – simulation of an event that would trigger the BCP and assess the Libraries’ response
