During this lesson you will be asked to follow along in your Solana environment and complete a series of exercises. Please allow approximately 40 minutes to complete the course.

Understanding the Student Detail pages In the previous lesson, Community, focusing on Student Records, you learned 2 ways to access Student Record details. Click Student Records under Community to open the Student Records page. Click on an individual record to open a Snapshot view Or, Click More Details to open a detailed view. We’ll begin here. All details of the student’s account are available here. For some monitors, you may want to scroll out to see the entire page or just use the scroll bars. Click the dropdown next to Save to Deactivate or send a Letter or to just this student. The left-side shows a snapshot of Student data. Click Replace or Remove to change the photo. Name, Gender, Age, ID and PIN are displayed. All details of the student’s account are available here. For some monitors, you may want to scroll out to see the entire page or just use the scroll bars. The left side shows a recap of student data You can; Replace or Remove the Student photo Name, Gender, Age, ID and PIN are displayed Teacher and Site are provided (with browse feature to each) Eligibility data is shown, including the ability to browse directly to the application And finally, the current account balance appears Along with a link the make payments or adjustment to the account Teacher and Site are provided. Eligibility data is shown, Click on the blue Eligibility to open the application. The current account balance displays. Click the $ to make payments or adjustments to the account.

The Personal tab contains Identity, Demographic, Address and Contact info. Red asterisks indicate required fields. You will need to complete these when creating a new record. This data is normally updated by the import of your Student Information file (if included in the file you provide). You can create or reassign a unique, random PIN using this feature (if you have chosen Random PIN generation in System Options.) Or, you can manually enter a new PIN. Details for the Student Record are presented on the Personal, Relationship, School and Setting tabs. The personal tab contains Identity, Demographic, Address and Contact info. Red *s indicate required fields You can create or reassign the PIN using this feature.

Understanding the Student Detail pages The Household tab contains eligibility and guardian information (typically provided by your Student Information System). Here, you can build households and manually process for Direct Certification. See the eLearning lesson “Direct Certification, Manual Processing and Reclassifying” for details. You can enter a Submission Date and Reclassify a Household Here. The Relationship tab contains the guardian information provided by your Student Information System and will also show up on the Community Free and Reduced Application (presented in the next lesson).

Settings include Account Rules, Charge and Spending Limits, Low Balance and Check Blocking options. Charge and Low Balance settings here override the Group settings to which the Student belongs. For Account Rules, Check the Charge Limit, A La Carte Spending Limit and/or Low Balance box to activate the option and input the amount and Frequency A ‘Lock’ indicates that this feature is locked out in System Settings and cannot be activated for this student. The Settings controls behavior per Student and supersedes the Group setting for Charging and Low Balance. For Account Rules, Check the appropriate boxes to activate the option and input the amounts required. A ‘Lock’ indicates that this feature is locked out for all students and cannot be activated for this student Alerts and Allergens are assigned here and History about the student’s eligibility can be found here. 16 Adding Alerts, Allergens, and reviewing History
To add an Alert, Click Add New Record Type in the Alert statement Enter an Expiration Date, if desired, manually or using the Calendar icon. The Add/Changed date is entered automatically. To add an Alert, Click Add New Record Type in the Alert statement Then from the dropdown choose General, Medical, Money or Parental. And enter a Expiration Date, if desired. These appear in the Allergens section on your POS terminal. Click in Type and choose General, Medical, Money, or Parental. Alerts will appear on your POS terminal when the Student’s record is located.

17 Adding Alerts, Allergens, and reviewing History
To add an Allergen to the Student’s record, Click the heart symbol. Click on the row to open the Allergens list, then click on the appropriate allergy. To remove an allergen, click it on the selection row. New Allergens can be added through the interface or imported. This functionality is covered in the Import/Export lesson. To look ahead, click >Inventory>Inventory Management>Allergens Then click the + sign to add Allergens. To add an allergen to the patron record, click the Heart to select an Allergy type. To add a new Allergen, Browse to >Inventory>Inventory Management>Allergens, click the + sign and add Allergens as needed Important! When importing Medical Alerts and Allergens, the prior associations to student records are first deleted. Either Import or enter manually. Do not do both.

History shows all non-transactional changes made in the Students account such as letter printed and demographic changes. Click the triangle to expand the view. History show all changes to the student record (but not transactional History). Click the triangle to expand the view.

The student’s name, ID and current Balance and photo, if provided, are shown. You can also enter the amount using the quick keys. The student’s name, ID and current Balance is shown. Once Saved, the Payment Amount and New Balance appear here. Transactions entered as Payments require a bank deposit to be saved for the site that was selected by the user when they logged in, including the central office. Enter the Bank Deposit amount, then Save.

Payments made through the Solana website cannot be Voided. If you make an error you must make an Adjustment. The Payment Amount and New Balance populate under the (previous) current Balance. Save when you confirm the payment amount. The payment will be available to the student at the site within 2 minutes. Because this is a web payment there is no way to Void. Adjustments do not involve cash so do not require a Bank Deposit. The New Balance is updated. Enter the Adjustment Amount Click the Dropdown to select one of the pre-defined Reasons. Enter the Adjustment Amount And note that the Payment Amount and New Balance are updated. Click the Dropdown to select one of the pre-defined reasons if you wish Add a Comment if you wish and then Save. Click the + icon to return to the Payment screen Click the ‘Clockface’ to review the Student’s transaction history report (The Payments screen works the same way) Click Cancel to return to the Student Records screen. Adjustments do not involve cash, and therefore do not require a bank deposit. Add a Comment if you wish and then Save.

Viewing Transaction History Click on these icons to download or print the report. The student’s name, ID and current Balance is shown. To make a payment, enter the amount here. You can also enter the amount using the quick keys. Indicate whether it’s Cash or Check and, if Check enter the Check Number. Once Saved, the Payment Amount and New Balance appear here. Transactions entered as Payments require a bank deposit to be saved for the site that was selected by the user when they logged in, including the central office. Click the ‘Clock-face’ to review the Student’s Transaction History report.
