Monitoring Your Applications
Queries Daily query to review applications needing action (e.g. status of Awaiting Payment, Awaiting Materials, or Awaiting Decision) Name – a friendly name for your query (e.g. Pest Management Apps) Folder – choose your college Population – “Applications” Suggested minimum exports – Ref, Name, App Status, Current Program, Missing Checklist Items (comma) Bin, Readers Queues Suggested minimum filters – Term/Round, Current Program Reminder: Make sure to check your department files for missing items on these applications and forward them to Graduate Admissions or upload them.

Evaluating Applications
Bin and Queue Management Bin Management Using Your Query Move your applications to multiple readers by running your daily query After running, choose “Bin Management” as your Output Click “Export” Choose “Bin Action” (leave in same bin or move) and “Queue Action” (add readers or clear readers) As an example, for Bin Action, select “Set Bin” to move to Faculty Review and select “Add Readers”. Then choose the faculty to forward to by typing in their names and Submit. Only one faculty reviewer? Move your application to a single evaluator, by entering the “Next Reader” on the Coordinator Review Form.

Forward to single faculty via reader Sit in a room with each committee member online and review docs Sit in a room via projector and evaluate as a group with a scribe Review individually on own technology If you need 3/5 Yes responses, monitor this via your query

Getting the File Back from Faculty… Your Options
Assign yourself as an extra reader. You will move forward to Recommendation Review once all evaluations are completed. Have faculty (the last evaluator) assign you as the Next Reader on their evaluation forms. Faculty (the last evaluator) move to Recommendation Review and not assign you as a reader. You will need to query to identify these.

Managing Applications in 2 Systems
Materials Look in both systems to complete applications. Look also in your paper/ files in your department. For Slate applications (Fall 2016, forward), all materials should be sent directly to the Office of Admissions/Graduate Admissions. For Spring/Summer applications, continue to receive materials in your department. For electronic transcripts, you can direct them to use as the address and we will scan into the correct system and forward to you. If we do not see an application in either system, the transcript will be loaded to Aries (BDMS) until an application is submitted in either Slate or Aries.

Managing Applications in 2 Systems
Updates Updates from Slate (Fall 2016) to an Aries program or Spring/Summer 2016, materials will be printed and forwarded to department. Admissions will manually build the application in Aries so the 2A will be available to print and sign on AriesWeb. Updates from Spring/Summer or Phase II programs to a Slate Phase I program (Fall 2016), will remain on paper and will not be built in Slate. Final numbers for Fall 2016 may need to include applications in both Slate and Aries.
