3 Group Documents Search
Purpose After employees or practitioners upload documents in ADP Document Cloud, the Group Documents Search allows practitioners to search for specified documents across the organization’s entire set of documents. Note: Because we are continually improving our solutions, the screens in this presentation may differ from those that you see in the product.

Practitioners can search for documents in two ways: Filter the documents by people-related criteria (employment status, department, location, Company Code, job, reports to). Filter the documents by document-related criteria (category, subcategory, keywords, expire date, effective date, upload date).

On the Search Employee Documents page, practitioners can view the results of the document search. The practitioner can also download the data to a comma-separated values (CSV) file.

6 Missing Documents Search
Purpose The Missing Documents Search allows managers or practitioners to identify which employees have not uploaded documents in ADP Document Cloud. Scenario A practitioner requests that all employees upload their resume by Friday. On Monday, the practitioner notices that 10 people have not uploaded their resume. How can the practitioner identify who has not uploaded the form? Solution The practitioner runs the Employees with Missing Documents search to view a list of employees who have not uploaded their resume.

To identify employees with missing documents, practitioners need to select criteria from two areas: People Related Criteria Documents Related Criteria

On the Search Employee Documents page, practitioners can view the results of the employee search. The practitioner can also download the data to a comma-separated values (CSV) file.

9 Workflow Approval for Employee Documents
Purpose Practitioners can now create a workflow process to approve an employee’s uploaded documents. The workflow can be configured to approve newly uploaded documents or changes to a document (properties change, notes added, document deleted). Scenario An employee uploads an resume. The manager receives a notification in the Message Center to approve the document. Once the manager completes the approval, the document automatically uploads to document cloud.

Process The practitioner sets up the workflow. An employee uploads a document to ADP Document Cloud. Managers or practitioners receive a notification in the Message Center when the employee document requires approval. The approver can review, reject, and view history. The submitter (in this case, the employee) can review and view history. The manager approves the document by clicking Approve. The document is successfully uploaded to ADP Document Cloud.

There are new standard activities (Setup > Workflow > Activity Configuration) for workflow. Each standard activity is role-specific. Employee – My Documents (shown below) Manager – Employee Documents Practitioner – Employee Documents

When the workflow approval is in process, the document has a status of pending and is not available on the Employee Documents page.
