1 L.E.A. Data Technologies Introduction

2 Toilet Paper Helicopters
The TrackEquipment Software is designed to help you Track Everything you have in your Inventory from Toilet Paper - To - Helicopters

3 There are 6 different sections within the program for tracking your Equipment.

4 5 of them are specially designed to track Equipment that have some very unique identifiers.

5 And there are two different Types of Equipment.
* Individual Items * And * Disposable Items *

6 Each item in the Database will have one of Four (4) different types of Status:
“Active” Equipment All of your Equipment that is currently assigned and in use. “Inactive” Equipment All of your Equipment that is on the Shelf or Ready to be assigned. “Off Line” Equipment All of your Equipment that is off line being Serviced or Repaired. “Disposed Of” Equipment All of the “Where”, “When” and “How” you disposed of the Equipment that you no longer have. Helps Make You Accountable !

7 This is the Main Menu for the TrackEquipment Software program.

8 Each of these buttons takes you to that item’s Main Menu.

9 Here are 4 of the 5 sections for tracking your Individual Items.

10 These 4 sections track unique items.

11 The other “Individual Items” are tracked through the 5th section

12 With the Individual Items each is Unique
And Each is entered into the database by itself.

13 Most of them have Serial Numbers Other Unique Identifying Numbers.
And some have Other Unique Identifying Numbers.

14 What its current Status is
With each item you can track: Where it is Assigned What its current Status is And Every Service and Repair that was performed

15 With the General Equipment Section,

16 the screen contains enough generic fields to allow you to enter any other type of Individual item you have.

17 It starts with a Drop-Down List that identifies what Type of Item each entry is.

18 Then you complete the entry by entering the other details for each item.

19 With all 5 Individual Items sections you will be able to keep track of
Every Service and Repair that is done on piece of Equipment in your Database.

20 Including the ability to track every Service and Maintenance
done on each Vehicle.

21 It will even allow you to remind you that Service or Repairs are due.
Schedule Service and Repairs in advance and have an Alert remind you that Service or Repairs are due.

22 The other Type of Equipment that you can track are your
Disposable Items

23 Tracked through the Parts And Supplies section.

25 It will help you completely track :
* Additions To Inventory * * What is in your Inventory * at any time * Inventory Distributions *

26 The General Equipment Section will allow you to capture and track any type of Equipment.

27 But we also gave you 4 Specialized Equipment Sections for 4 specific types of Equipment.

28 Each of these four types of Equipment you for one, may have a lot of and two, each type does have some unique Identifiers that you may want to track.

29 Let’s look at the Main Menu for Cell Phones.

30 All of the different Equipment sections Main Menus are laid out the same way.

31 There are Four areas to look for on each Main Menu.

32 This button will take you to a screen to Add new Cell Phones.

33 The Equipment Screens are all structured the same way.

34 A computer generated Tracking Number for each item.

35 Attach Documents and Files from other applications to any items in the database.

36 Attach Documents and Files such as:
Scanned Documents * Receipts * Invoices Spreadsheets Photographs Most document types that you can open on your PC.

37 The top area contains fields that describe the item.

38 Drop-Down Lists can be found on every screen where data may be repeated.

39 They help cut down on Typos and help make Data Entry Faster.

40 Date fields for when Purchased, Issued and when to Replace.

41 If you use the Replacement Date, and it arrives, it will activate an Alert on the Main Menu to let you know.

42 Each item screen contains an area where you can enter an unlimited amount of Notes or Comments about each item.

43 You can even Copy and Paste Word Text Documents into each Notes field.

44 This area captures who is adding the new item to the database.

45 And this area is for the Cost and the Current Item Status Information.

46 One of the things you should notice in all of our programs are Navigation Buttons.

47 We have put these buttons on the bottom of most of our screens to take you where you need to go while in the program.

48 This button will take you to one of the ways to Locate your Cell Phones.

49 Each equipment section’s Locate Screen contains numerous Drop-Down Lists that sort information about the items by different factors.

50 You select the element or method you want to use to locate an item, then go to that Drop-Down List.

51 Then click on the one you want to locate and the program will retrieve it for you.

52 This button will take you to a screen to Locate your “Inactive” Cell Phones.

53 The Inactive Items are the ones that are on the shelf ready to be assigned.

54 You find the one you want to assign to someone, click on it and the program will locate it for you.

55 Select from the Location Assigned List where you are assigning it and change the status to “Active”.

56 These two buttons will take you to screens to Locate your “Off Line” or “Disposed Of” Cell Phones.

57 These Report buttons the Main Menus is where you will find some special Reports about the Items in each section.

58 This button will take you to the Reports Screen.

59 On each of the report screens you will find fields that you can use to identify which records you want to see on the reports.

60 In other words, if you only wanted to see your “Samsung” Cell Phones that are assigned to people from the “Sales” Department, you would select those elements from the fields on the screen to look like this:

61 Now when you push any of the report buttons, which sort the information in different ways, the only records that will appear on the report are the ones that match the criteria you selected above.

62 First you will notice that the search criteria prints at the top of the first page.”.

63 Only “Samsung” phones and all of these Employees are from “Sales”.

64 This can be a useful report that shows who Does and who Does Not have a Cell Phone.

65 May come in handy to see if you missed anyone.

66 And you can limit it to see just people from a specific Department or Title.

67 Each report screen in each section has this same special report.

68 Something you will find throughout the entire program is that buttons on the screens with a Black Colored Label take you to other screens.

69 Buttons with Burgundy colored labels will open a Report.

70 In this area of the Main Menus you will find Alerts.

71 If you schedule Service or Repairs for the future, when that date arrives, the program lets you know.

72 If you use the “Replacement” Date for any item, when that date arrives, the program lets you know.

73 You will learn as you watch the other Demonstrations about the TrackEquipment Software, that you can enter an unlimited number of Service and Repair records for Each Item.

74 You will even have the ability to Schedule for the future, Service, Repairs, Cleanings, Maintenance and other activities on your Equipment.

75 On each of the Equipment Sections you will find these “Set Alert” buttons.

76 It will open this screen.
From here you can enter a number to indicate how many days in advance of the scheduled Service or Repairs Date that you want the Alert to be activated on the item’s Main Menu.

77 Here are a few other features available from the program Main Menu.

78 Behind this button you will be able to manage your Employees and what we call Locations.

79 And within this program you can keep all of your Service and Repairs Contacts.

80 That is all of the people and places you contact when you need things Serviced or Repaired.

81 The right side the Program Main Menu has powerful Special features that will bring everything together.

82 This button will create a report that shows you everything that is assigned to an Employee or Location.

83 This screen will list all of your “Active” Employees and Locations.

84 It will allow you to select one or more names on the list to produce a report that will show you All of the Equipment Assigned to them.

86 This button will do the same thing, except it is designed to show everything that is assigned to a Vehicle.

87 This button will take you to a screen to produce a report to show you All of your Equipment in the Database.

88 From this screen you can select a Single, All or any Combination of the different Types of Equipment to combine on reports.

89 Then from those selections, you can produce both Detail and Summary Reports that will show you all of those types of Equipment in the database.

91 This button is a similar screen, but from here you can produce reports about Equipment Issued By Date.

92 From this screen you can enter a specific Date Range,

93 Then select a Single, All or any Combination of the different Types of Equipment to combine on reports.

94 Then select the Detail or Summary report of choice.

97 You can also narrow the details on the reports to a specific single Department.

98 This button is also a similar screen, but from here you can produce reports about your Expenses.

99 All of your Equipment Categories are again on the screen so you can select All of them or Specific Types of Equipment that you want to include on the reports,

100 Except on this screen you will see what your Expenses have been, not just what is in your inventory.

101 Expenses about Equipment that you Purchased,
And Expenses from Services and Repairs.

102 And along with selecting the Types of Equipment, you can also limit it to a specific Date Range.

103 And produce both Detail and Summary Reports about both Expense Topics.

105 This button will help you produce an Equipment Issuance Receipt Record.

106 You select the name of the employee (s) that you want to produce the report for…

107 Then push the “Preview Report” Button.

108 Lists all of their Equipment they have and includes an Acknowledgment of Responsibilities Statement to sign.

109 When someone is about to leave and you need them to turn all of their Equipment in, you can use this.

110 Lists all of the Equipment they have, but this one includes a place to write in a Date that they returned each item.

111 In all of the Equipment sections, you will find that when you locate an item, this button will appear.

112 It is another way to produce an Inventory Issuance and Receipt Record.

113 When you push the button, this screen appears.
You can push this “Full List Receipt” button to produce the full list like you just saw.

114 But we want you to push this Single Item Receipt button that will produce the receipt just for the item you just assigned to the employee.

115 So instead of producing the Full List, simply print one for the item you just assigned to them.

116 And remember, you can scan that signed receipt and attach it to the record where you assigned that item to that employee.

117 This button will help you to quickly Reassign Equipment.

118 This feature will let you take Equipment Assigned to one employee and quickly reassign it to another employee or put it back into inventory unassigned.

120 This button will take you to a screen to produce reports about your Equipment Service and Repairs.

121 Like the other similar special report screens, from here you can use checkboxes and other fields to produce reports about your Service and Repair records.

122 Throughout the program you will find these Red Help buttons.

123 When you push those buttons you will get Helpful information to answer your questions about what is on the screen you are on.

124 This particular Help button is a way to get any Help Topic you want at any time.

125 Instead of going to a particular screen to read the Help about that screen or function, you can come to this screen and read and/or print Any or All of them.
