1 Sustainability Training Finding the Cheese Keeping the Cheese
2018 Coalition Retreat

2 Who Move My Cheese?

3 Introductions and Expectations
Welcome! Introductions and Expectations *Introductions of Trainer and Participants *Expectations for the training *Our time together - What is Sustainability - 4 things to sustain - The process to sustain - Take backs/questions/close

4 Why are we here? Objectives:
Focus on sustaining the coalition and goals in the community. Understanding the need to sustain both people and financial resources. Developing a plan that will keep the coalition moving through the SPF process. Development of a functional sustainability plan that each coalition can use for their future planning. Ensuring the plan maintains the needed strategies and interventions.

5 Sustainability What is it?

6 Sustainability What is Sustainability?
To be able to stay around long enough to see the desired changes in community.

7 Sustainability Based on your role, what do you see as your responsibility for ensuring sustainability?

8 Sustainability What do we need to sustain? People The model we use
Relevant work Resources- $$ Strategies/Interventions

9 People Relationships Their role in the coalition
Recognize and reward them Respect their opinions Show and share results You could do a small table activity here to have them engage in conversation about 1)the things that they are currently doing 2) the things they could be doing in each of these areas and then share out with the large group

10 The Model Strategic Prevention Framework

11 Knowing Other Mazes You need to know what the concerns are for the community Identify shared root causes Show the interaction of different issues Align with champions on important issues

12 The “Cheese” Resources- $$
What resources do we need/have? How will we get them? Where will we get it? This is just an overview slide. We will do a worksheet/the plan later in the training.

13 Strategies/Interventions
Proven effective Aligns with the logic model This is just an overview slide. We will do a worksheet/the plan later in the training.

14 Steps to Develop a Plan What and where is our current “cheese”?
Why do we need more “cheese”? What type of “cheese” do we need in the future? Where is the “cheese”? Who has, where do we find the “cheese”? Planning for new “cheese”

15 Why is the coalition needed
Why do we need “cheese” or Why is the coalition needed? What does the coalition do? What happens if it goes away? How do you know i.e. data, demonstration of need?

16 Case Statement Tips Be clear and to the point
Don’t use prevention jargon Make it relevant to their concerns Sample Statement: The prevention efforts of XYZ coalition are important to our community. We have contributed to a community environment that supports appropriate decisions regarding substance use among our youth and adults. It is imperative to sustain the coalition work in XYZ community as limited prevention strategies regarding substance use would occur on a continual widespread basis. To ensure this continuation we need your help in sustaining our qualified staff, office space, utilities and supplies. <<COMPLETE COALITION CASE STATEMENT WORKSHEET>> I would have them break into teams and have them practice writing a case statement here- they can use either of the resources mentioned on the previous slide

17 <<COMPLETE RESOURCE INVENTORY>>
Steps to Develop a Plan What and where is our current “cheese”? Or What are our current resources? Types of Resources Human Social Material For 1a. You can use either: 1) Side 1 of the resources worksheet for this page or the Sustainability Plan Template Questions #1. For 1b refer them to #2 on the Sustainability Plan Template <<COMPLETE RESOURCE INVENTORY>>

18 Steps to Develop a Plan Why do we need more cheese OR What do we need to sustain and what do we currently have? <<COMPLETE RESOURCE INVENTORY>> For #2 you can use the second side of the Resources inventory worksheet OR #3 on the Sustainability Plan Template

19 Steps to Develop a Plan Why do we need more cheese OR What needs to be sustained? - Coalition Staff - Specific Interventions *proven effective *related to the action plan For 1a. You can use either: 1) Side 1 of the resources worksheet for this page or the Sustainability Plan Template Questions #1. For 1b refer them to #2 on the Sustainability Plan Template

20 Critical Need Why do we need “cheese” or what is the one thing that must be sustained at all costs that makes the coalition successful? Why is this critical? What happens if it goes away? How do you know i.e. data, demonstration of need?

21 Steps to Develop a Plan The reason we need “cheese OR
How to develop case statements for sustainability. Written reasons for their support of your organization Why is the resource needed How will help Who else is involved and supporting Is it cost effective? Refer to #5 on the Sustainability Plan Template & you can use the “Writing a Case Statement” Worksheet

22 Case Statement Tips Be clear and to the point
Don’t use prevention jargon Make it relevant to their concerns Sample Statement: Quarterly compliance checks sponsored by the coalition have contributed maintaining a 100% compliance with not selling to minors since To continue these efforts the coalition needs financial assistance from the Drug Forfeiture Fund of $5, annually. <<COMPLETE CRITICAL NEED CASE STATEMENT WORKSHEET>> I would have them break into teams and have them practice writing a case statement here- they can use either of the resources mentioned on the previous slide

23 Steps to Develop a Plan What type of “cheese” do we need in the future? OR What will our needs be in the future? Types of Resources Human Social Material Develop a budget For #2 you can use the second side of the Resources inventory worksheet OR #3 on the Sustainability Plan Template

24 What Does the Maze Look Like?
Sustainability Climate What does funding look like for the coalition’s priorities? What barriers exist to obtain new funding locally, state, nationally?

25 What Does the Maze Look Like?
Structural Changes Are you in the right maze i.e. is your mission relevant, are what you provide in demand? If not, what needs to be adjusted? Are you ready for new funding i.e. fiscal structure? If not, what needs to change? Do you have the local relationships necessary to navigate the maze? <<COMPLETE STRUCTURAL CHANGES WORKSHEET>>

26 Steps to Develop a Plan EARN SHARE ASK CHARGE
Where is the “cheese” OR How will we go about getting new resources? ASK EARN SHARE CHARGE

27 Ask ASK Grants Fundraisers Individual Donors United Way/Payroll Giving
Endowed Funds/Planned Giving ASK For these next four slides- once you are done. I would have 4 chart papers around the room where they can break into teams and make a list of the “actual” ways that they might do each of these- or potential Asks, shares, earn and charges.

28 Share SHARE Asset Sharing In-Kind Contributions
Leverage Shared Positions SHARE

29 Earn EARN Entrepreneurial Activity Business Plan
Partial Ownership in a For-Profit Enterprise EARN

30 Charge CHARGE Fee for Service Fine/penalty with revenue to prevention
Line item in a budget CHARGE

31 Activity EARN SHARE ASK CHARGE Small Group Discussion and Brain Storm
What are some funding ideas that would work in your community? EARN ASK SHARE Refer to Question #3 on the sustainability Plan Template CHARGE

32 Obtaining Resources Large Group Discussion
What are the pros and cons of each?

Steps to Develop a Plan Who has the “cheese” OR Who will be the sources? - Organizations with an interest in the work - Foundations and Grantors - Members - Other entities- businesses, schools, hospitals, etc. <<COMPLETE STRATEGY/SOURCE WORKSHEET>> Refer to #4 on the Sustainability Plan Template

34 Sources Building a Relationship:
Get to know them before you need money from them Provide them with coalition updates Invite them to meetings and events  Offer them coalition “services”

35 Steps to Develop a Plan Build relationships
What do we need to sustain and what do we currently have? What will we need in the future? How will we go about getting them? Who will be the sources for these resources? Develop case statements for sustainability. Develop action plan 1. Engage Members Who? Will Do What? By When? Outcome? 2. Share Coalition Successes 3. Make connections with sources Refer them to #6 on the Sustainability plan. Make sure that at least 2 of their action items are #2- share success and #3-make connections with a new source

36 <<COMPLETE FEASIBILITY WORKSHEET>>
Feasibility Analysis What are the things that you can actually do? Create an action plan around at least one new funding streams. <<COMPLETE FEASIBILITY WORKSHEET>>

37 Next Steps for Sustainability
Finalize Current and Future Resource Needs Determine Donors/Sources Develop Case Statements Develop Action Plan Engage Members Build Relationships <<COMPLETE ACTION PLAN-ONE THING IN THE NEXT 12 MONTHS>>
