OVERVIEW We depend on the numbers in the inventory report They have to be accurate and clear to give sales teams the information they need to maximize revenue The numbers are important, but so is understanding how they’re calculated and how they can be adjusted to give you the most meaningful information

6 Report Setup & Options Shared settings keep everyone on the same page!
Consistent set up keeps everyone looking at the same numbers Save reports to retain settings. Make them Global to share with other users Current Week option automatically updates the date on saved reports. Sold unit options impact calculations

Exclusions galore in the Spot Options Don’t forget the bottom tabs Excluding spots does not reduce potential inventory Remember your results won’t have all spots. Save multiple versions for different perspectives Then… Run!

Sold / Potential = Sellout % Tip: Double-click on the Week header to launch Spot Manager and see all the spots in this set.

11 Detail Options Details bring more information into the data set for each inventory code. Booked information pertains to only spots ordered to the inventory code Placed information pertains to all spots currently placed or allocated to the inventory code Rates only appear in the true length columns the spots were ordered to

13 Length Options Property > Channel > Inventory Lengths

14 Length Options Source of the lengths available on the report.
Default Reporting Length determines Equivalized Length. :30 and :60 are typical Sets the default length column on a new report Used for EUR – Equivalent Unit Rate

15 Length, Time, and Units True Lengths Sold units will always be in their true lengths. Potential units will be under their highest true length unless other conditions apply. Equivalized Length All things being equal to the Default Reporting Length. Time Pure time. All true lengths are added together to create Time. Units Sold units will count individual units regardless of length. Potential units depend entirely on limits set in formats.

16 Rollup Lengths Property > Channel > Inventory Lengths
Rollup Lengths determines if multiple short spots are combined, when possible, to occupy longer length avails. On or off by channel Affects calculation of % Sellout and Available Units

17 One :60 and three :30s placed in each break
Rollup Lengths Format contains two 2:30 breaks One :60 and three :30s placed in each break Rollup Lengths: Off Rollup Lengths: On Sold :30s do not take away from available :60s. :30s look oversold which may or may not be accurate Sold :30s take away from available :60s

18 Rolldown Displaced Parents
Property > Channel > Inventory Lengths Roll Down Displaced Parents changes calculations of displaced spots Allocates displaced parent spots to the child codes where they might fall. They appear as sold and take away from the potential Applies to parent codes and sell groups If selected here, it’s on for all users in Inventory Report unless they have the security right to alter it Allocation considers each child codes sellout Doesn’t consider restricted time periods If you rollup lengths at the same time, that will be done first.

20 Break Definitions Format > Break Detail > Break Definition
Accessible from Format Templates, Format Schedules, and Format Instances. Must be populated into instances on logs to affect the inventory report.

Break Definition Options control spot placement but some also impact inventory reporting Decide what matters most Limit restrictions to what is necessary Don’t build contradictory definitions They lead to spot conflicts and confusing reporting

Max Units Required for inventory reports that consider potential units

Length Options can control which length potential inventory falls into. Limiting the max length prevents potential from rolling up to a longer length.

Max Units by Length If the longest length limit is defined, the inventory report will assume the number of shorter lengths allowed in the time and reflect that in potential

Max Units by Length Limiting the number of shorter lengths does not affect potential units, but will affect placement

Fill Priority and Max Units by Priority Code will not impact the inventory report but they can still be useful tools Fill Priority controls which break within the format fills up first Max Units by Priority Code can limit low priority spots falling into key hours

27 Sell Groups Definition: Sellable combinations of Inventory Codes
See them on their own in the bottom left of the Inventory Report details view. They appear as parent of their member codes Once placed, Sell Group spots show as sold in the child code they have placed in When displaced, they behave like displaced parents. Affected by Rolldown Displaced Parents Placed and Displaced Unit Details list Sell Groups Separately.

28 Toggle View Rearrange the View
The detail sets for each highlighted inventory code are moved to the bottom panel Beside each inventory code is one detail in a grid across the weeks The Header dropdown allows you to choose which detail to display

29 Heat Map Available when Toggle View is on
It applies shades from yellow to red to indicate the highest sellout percentages by inventory code by week Use the View menu or right-click on the Heat Map button to alter the settings The Header dropdown can be set to any detail. The Heat Map is always based on sellout percentage

30 Heat Map Heat Map Email Alert the team when inventory codes get hot!
Right click on the heat map to generate an all inventory codes that are heated. or the single or multiple inventory codes you’ve selected. Alert the team when inventory codes get hot!

31 Summary View Select Key Inventory Codes and See Details
Select the inventory codes to include in your view Right-click to Deselect All Some additional details can be added if selected in the bottom left Saved reports will remember all your selections in Summary Printer-friendly view
