1 BMSe Work Orders with Refrigerant Service Order Form

2 Recordkeeping Requirements
CenturyLink requires that records be kept to comply with the Federal laws, State laws and CenturyLink’s requirements to support refrigerant equipment asset management, and for environmental compliance verification. It is the responsibility of the EPA certified technician to provide complete documentation on the CenturyLink work order regarding any work on an appliance containing refrigerant and to validate the appliance information with the FMS app. It may be necessary to fill out the CenturyLink Refrigeration Service Order form.

3 Recordkeeping Requirements
The CenturyLink Refrigeration Service Order form is required whenever any of the following occur: Repair work on appliances that contain 50 or greater pounds of refrigerant (TOTAL PER CIRCUIT), when refrigerant is removed and/or added. Verification Tests, unless verification testing is performed on the same day that repairs are made, and the test results are reflected on the Refrigerant Service Order form. Installation of ALL new refrigeration equipment that contains 50 or greater pounds of refrigerant (TOTAL PER CIRCUIT) regardless of refrigerant type. Comfort cooling equipment removals or retirement in place, regardless of the refrigerant type or quantity. Refrigerant recovery is required. (Water coolers, ice makers, etc. are NOT comfort cooling equipment.)

4 Recordkeeping Requirements
The CenturyLink Refrigerant Service Order Form is a paper form that is filled out by an EPA certified technician when required. After being handled several times this form eventually was entered into the CenturyLink Refrigerant Database (Formally the CFC database) where it was kept for compliance with EPA’s documentation requirements. Due to issues and the age of the Refrigerant Database, the entering of these forms has become more difficult causing a backlog of forms to be entered.

6 New BMSe Work Order Feature
Effective for 2019, the CenturyLink Refrigerant Service Order form has been integrated into BMSe Work Orders. Now, whenever the form is required it can be filled out electronically as part of the work order. The following slides will demonstrate how to use the Refrigerant Service Order form within the BMSe work order system.

In some rare circumstances the paper Refrigerant Service Order Form may still have to be sent in with the work order invoice. Any Service Providers using BMSe should be using this new feature for providing the EPA required documentation (Refrigerant Form) as part of the work order on environmental cooling equipment. Using this new feature should eliminate lost paper Refrigerant Forms and the backlog of forms to be entered. The Refrigerant Database will still be active for the information it currently contains but no new forms will be entered into it. By having the Refrigerant Form as part of the work order will make information retrieval much more efficient in the event of an audit.
