3 LTA Time Line The Start of the School Year: Supervisors supply list of students who require service including the IEP mandates to the service providers Related Service Providers schedule the students for services Supervisors review schedules and confirm with providers 1 st attend dates Line Tim e LTA

4 Improving Attendance Strategies to Assist the Providers in Improving Attendance: Supervisors review and work with providers to optimize service delivery options: – In addition to the traditional service delivery; the in class service delivery option should be considered (Any change in location must be done through the IEP process) –Grouping together students with similar needs –Establishing flexible scheduling, for example, 2 days a week starting at 0 period. 5 Identifying Related Service LTA Students Strategies for Supervisors and Administrators During School Visits and Observations: Supervisors and Administrators review attendance booklets to ensure that the service providers have identified all students that should be placed on the LTA registry On Line Support We are in the process of setting up on-line support that will allow Supervisor & Administrators to review a Special Education Component (SEC) report to identify students that have missed 6 consecutive weeks from his or her caseload or allow viewing their attendance information Students LTA Identifyin g

6 The Related Service LTA Process Strategies for Supervisors and Administrators Monitor that the service providers have conducted proper outreach services prior to the students being placed on the LTA registry Phone call to parents (minimum 1 call to parent) Notice to students home that the student is in jeopardy of being placed on the LTA Register Log all outreach efforts and maintain copies Ensure that the schools data-entry personnel have entered the student on the LTA Registry Must enter Refused Service in the field for assigned provider Process The LTA

7 Monitoring The Related Service LTA Registry Strategies for Supervisors and Administrators Review SEC data to identify students still awaiting service Assist providers in making adjustments to their schedules to accommodate additional student Make sure the start dates for new students have been called in to the IVR system Establish procedures for providers to determine whether the student should continue on the LTA Register(During Regents week) Registry LTA Monitoring

8 Once on the LTA Register During Annual Review, determine whether the related service is still necessary or can be terminated After two consecutive terms on the Register the provider will no longer program the student for services If a parent requests for a student to be reprogrammed for services, readmit the student to the caseload if IEP still mandates service If the student transfers to a new site he/she should be scheduled to receive service Registry LTA
