Data storage and access for documents
Design principles: Exchange and Outlook store links to SharePoint docs, not docs themselves. Office Document Cache ensures seamless sync and access, regardless of how doc was opened. 1. User double clicks on doc in Outlook. 2. Outlook passes URL of doc to right client app. 3. Office Doc Cache takes URL and checks if a offline copy exists or whether to connect to server. 4. Doc is opened. Client application works directly against SharePoint doc. App never realizes doc was opened via Site Mailbox link. Synced Offline Recently Cached On Server

Site mailboxes in Outlook
Outlook 2013 Professional Plus can show up to 10 ‘pinned’ site mailboxes at any time Pre-req: user needs to be in the site’s default owner or member group as a individual user (not SG) Pre-req: user’s personal mailbox needs to be on a Exchange 2013 server SharePoint document libraries are synched if they appear in the site’s Quick launch menu Only specific document metadata is synched into Exchange/Outlook (e.g. document title, author, change date,…) For offline document access the SharePoint document library must be synched into Office Document Cache Membership and document sync is usage-driven Immediate Provisioning of new site mailbox Document publishing OWA logon access denied Every 15min If site mailbox is open in Outlook If site mailbox is open from SharePoint Every 6hrs Timer job

Deployment considerations
Version requirements SharePoint and Exchange servers hosting the site mailbox need to be on the 2013 versions If users want to access the site mailbox from Outlook they need to use Outlook Professional Plus 2013 and their personal mailbox needs to be on a Exchange 2013 server X-premise access SharePoint and Exchange servers for a site mailbox have to be on the same premise Personal mailboxes for users accessing the site mailbox can be x-premise IT controls Mapping of SharePoint farm with Exchange forest (during setup) RBAC roles control who can provision a site mailbox (by default every user can) Site mailbox provisioning policy defines mailbox quota and prefix for site mailboxes
