Reports for Research & Analysis Chapter 8 - Terry Reigels A Primer for TMG Overview Presentation for Roots User Group of Arlington November 13, 2010 By Brenda Wesner

Use of Reports & Lists Designed to aid in research tasks What additional research needed? Help analyze our data

Know - Decide - Filter Know what you want Decide why and how Create filter

Similar yet Unique All List of…Reports work in a similar way Understanding foundation = effective use of the others Each list has its own filtering options key to type of list Intelligence built into filters Choices

Reports > Lists of > Lists

List of … Reports Most Common List of People List of Events List of Citations Also List of NamesList of Tag Types List of PlacesList ofTasks List of RepositoriesList ofWitnesses List of Sources

List of People Report Distinct primary uses of this report –Creating research Lists –Managing process tasks Create simple lists with minimum effort, or Create more complex lists with several criteria elements

List of People Born in Virginia First example of List of…… Filter: –People whose birth place is in a certain state –State = Virginia

List of People Report Definition

Report Filter

Fill in the Blank

Report: Default Output

More Column Data Needed Does the report give all the information you need? No, we also want city and town of birth So, add columns

Report Options: Output Columns Add Column Type

Report Options: Output Columns Add Completed

Report with Added Columns

Experiment & Try Again Experiment with the different ways to create a list and see which works best for you. Always remember that if the filter results dont look right, just try again.

LOP Operators Number Fields = Equals <> Does not equal < Comes before >= Does not come before > Comes after <= Does not come after Is between Is not between Text Fields All number operators Begins with Contains Does not begin with Does not end with Ends with Is empty Is not empty Is like Is not like Soundex equals 18

Know – Decide- Filter Again Decide what you want so that you get what you want with well-thought filters Reigel: The key to creating all these lists is to define the group of people you have in mind… The group would be defined with a filter.

List of Events Finds event tags which meet certain criteria Lists only Event tags –Does not list Name tags or Relationship tags 20

List of Events No dominant use but many options possible Have to think a little differently Large number of filter/output options –Look through drop-down lists Experiment!! 21

Example List of Events FieldSubfieldOperatorValueConnect Number of Citations < Is less than 1END 22 FieldSubfieldOperatorValueConnect MemoContains[?]END Lists Events without any citation. Finds events with certain text in the memo.

List of Events Report A simple report example: You want to know some or all events that occurred in a given state All events? Births and deaths? Marriages? Create report for all events in the state of Tennessee Select List of events in a specific place.

List of Events Report Definition Screen

Selected Events Report See the Title

Incomplete Title of Report Example of incomplete title of report View the title page If incomplete, go back to Options In Report Title field, enter in State of Tennessee after List of [F] in Report Title field. Click on Create Report once again.

Title Entered

List of Selected Events in State of Tennessee

List of Citations Report Good report to verify entry of source for all relevant people and tags Helpful in finding missing citations of a source

Report Definition Citations for a Specific Source

Select the Source As with other reports, you can enter your source number (value) and save/overwrite Or----- Edit – OK – Create Browse

Citation Report Filter for Source

Source Selection Choices Value [?] Enter the source number, if you know it This list has additional feature Binoculars = Browse the Source List

Master Source List

List of Selected Citations

Indented or Columnar The List of Citations Report has default display of Indented. For Columnar, go to Options and change List Type to Columnar.

Columnar Option

Columnar Citation Report

Specifying the Output Reports have default output (display) Accept or build further Choose additional/other fields to display Some reports have one style of output List of Citations Report has both Indented and Columnar

View, Save, and/or Print List of … Reports View reports to determine if filter, content, or output need to be redefined or modified. Save to computer for future reference. Print for your files or use in more research. You may want to preview report on the screen first to determine if adjustments should be made before re-creating or printing.

Final Notes Experiment creating all the List of … Reports. Experiment with drop-down lists. Experiment with options and output. Once you begin to create a few lists with various attributes, you will be more comfortable doing so and will find a variety of information available to help you in your research and analysis.
