1 Hours of Work Policy August 1st, 2017

2 Background Many organizations adopt Hours of Work Policies to govern the times of day that representatives can meet with clients. Past Councils have posed questions regarding the allocation and designation of office hours requirements.

3 Background These questions included: When can I do my office hours?
If I attend conferences and out-of-office meetings, do I still need to do all of my office hours? Where can I do my office hours? Are there any breaks during office hours of a certain length?

4 Purpose To solidify the rules and regulations that govern office hours, their location and the parameters that surround them.

5 Procedures All office hours need to be defined and communicated to the Chairperson using the Office Hour Schedule Form on SharePoint by September 1st of each year. Changes can be made using the Office Hour Change Request Form with the Chairperson’s approval.

6 Procedures Executive Members may take up to two (2) Mental Health Days” per month. These are not transferrable and cannot be banked. Means “a 7.5 hour work day where the Member can rest and recuperate from long periods of stressful activities” Only for specific instances where burnout can be considered to be possible – not vacation.

7 Procedures Lunch Break: 30 minutes unpaid for every five (5) hour stretch of office hours Short Breaks: 15 minutes paid for every three (3) hour stretch of office hours Chairperson is authorized to conduct random office hour checks throughout the academic year.

8 Procedures Restates all of the constitutional office hour requirements
Executive (summer) – 37.5 hours President (Academic year) – 20 hours VPs (Academic year) – 15 hours Chairperson (Academic year) – 6 hours Others (Academic year) – 3 hours

9 Procedures Non-Executive Members
At least 50% of office hours must be out of office In-office hours will be in Room 613 or as assigned. Out of Office hours can be in BAC, HSH, Fountain Commons, SUB, Divinity College and/or Wheeloch. Other locations are subject to the approval of the Chairperson.

10 Exclusions Activities that do not count: Travel time
Social activities at conferences ASU-appointed committees Council meetings Time spent in office outside of office hours

11 Exemptions You can always do more if you want!
CRO and Deputy Chairperson can hold office hours during the nomination and campaign periods. Same rights as other Council members

12 Review Board Review Board will review the performance of individual Members of Council and consider any reports from the Chairperson regarding missing office hours or irregularities.
