What is Votenet ? Votenet is an approved electronic system for National and Regional Voting

Who can access Votenet ? Advanced Access Admins Admins Users
Users have the ability to vote on a ballot prepared by Advanced Access Admins or Admins Senators at Convention who have completed the check-in Process Delegates at Convention who have completed the check-in Process Admins Admins have the ability to access only the ballots they create in the VoteNet system Regional Parliamentarians Advanced Access Admins Super Admins have the ability to access all ballots in the VoteNet system National Parliamentarian National Professionals Parliamentarian

Voting can only be completed by senators or acting senators that are present in person at the Annual Convention according to National Constitution Article XVI Section 3. VoteNet ballot Process Voter Username and Password Notification “eBallot is Open” Notification Casting Regional or National Ballot Selections on Regional or National Ballot Complete Ballot Selections Confirmation of Completed Ballot Confirmation of Completed Ballot Election Reminder for Senators Notification that the Election has Ended Live Demo go to: (Same Username Test61 Test62 Test63 Test64

Voter Username and Password Notification An will go out to Senators that have successfully completed the following steps: Pre- Convention check-in which will occur one week prior to convention. (March 20th –March 27th, 2019) Thursday and Friday Regional Meeting Check-In. Senators will be given a code during the morning Regional meetings to submit online to the check in system. Friday morning after the Regional Meeting at convention Senators (or acting senators) will be notified of their username and password.

2. eBallot is Open” Notification 1 2 1A 2A Option 1: Allows the system to auto identify the user based on and direct senator to ballot Option 2: Allows you to manually enter your log in information then access the ballot. Regional Voting Ballot: open from Friday at 12:00PM – 8:00PM EST National Voting Ballot: open from Saturday at 12:00PM – 5:00PM EST

3. Casting Regional or National Ballot (Requires following of series of prompts) Selection of candidates or voting on proposals Thursday and Friday Regional Meeting Check-In. Senators will be given a code during the morning meeting to submit online. Friday Afternoon during convention Senators (or acting senators) will be notified of their username and password.

Selections on Regional or National Ballot When selecting a candidate you have the option to select the following: View the candidates’ picture Read the Candidate Platform or Statement of Candidacy Vote for the Candidate by clicking the box near their name or picture Click “ No, I do not wish to vote for this candidate. Write in a different candidate for the position. When voting on an amendment proposal you have the option to select the following: Read the Amendment Proposal Clicking on “Details” and the Details box will have the proposal in it for you to reference. Vote Yes, by clicking Yes I am in favor of the “Amendment Proposal Name” Vote No, by clicking No I am not in favor of the “Amendment Proposal Name” Abstain by clicking the Abstain, I am Undecided about the “Amendment Proposal Name”

1 2 5. Complete Ballot Selections To complete the ballot you must: Ensure a Candidate or an answer is selected for each question. Click the “Next” button

5. Complete Ballot Selections Cont. At this point you will review the candidates selected and if needed you can click “Edit Selection” to return to the previous page. In order to “Submit” your ballot you must agree to the Participant Consent statement by clicking the checkbox. Once this occurs the Submit button will become clickable

6. Confirmation of Completed Ballot At this point you can see that your ballot was sent and you can send an official receipt of your vote to a chapter president or CEB members You can either click Home and you will be directed to the Ballot Screen or Click Log Out and you will be directed to the log in screen. (See Examples on Next Slide)

6. Confirmation of Completed Ballot Cont. 1 2 There are two option post completing a ballot. You can either click “Home” or “Log Out”

8. Election Reminder for Senators Typically within the National and Regional Election two reminders will be sent to the Senators The first is an “Election Reminder” sent 3-4 hours after the “Eballot is Open” Notification has occurred The second is a “Final Election Reminder” and it is sent 1 hour before the ballot is scheduled to close This will contain your username and password to simplify voting DELETE PERIODS

9. Notification that the Election has Ended Whether or not a senator has voted, once the election is over you will receive an thanking you for your participation and informing you when the results will be announced Regional Voting Results will be Announced: Saturday Regional Meeting National Voting Results will be Announced: Saturday Golden TORCH Awards
