1 Electronic ISIR Processing
University of Dayton Presented by: Bryan Erslan

2 Overview Electronic Process Manual Review Process
Federal & Institutional Edits

3 Electronic Process ISIR’s are imported on a daily basis
These processes are done separately if we are processing two years Software used is Datatel, Colleague

4 Electronic Process Once imported we select students to put through our review process Review only students who have been accepted into a program We put students into different populations First Year Returning Students Graduate Law Other Special Populations? These become saved lists for future processes First year ISIR Review starts earlier so we separate them into a different group. The other populations allow us to group together similar students These groups are then used later on for packaging purposes as well. Other Special Populations: We have a unique program for undergraduate students who attend part-time This group is reviewed in a unique population for ISIR Review and then is packaged separately

5 Electronic Process Customized Colleague process is used to put students through ISIR Review Each saved list is run through our customized ISIR Review process A list is generated that shows those students who fail ISIR Review

6 Manual Review Process File Complete Date (FCD) is placed for those students that do not fail ISIR Review If a student fails the review, Colleague is updated to reflect the reasons why Counselors work through the ISIR Review sheets and resolve the issues

7 Federal & Institutional Edits
Background In order to control how institutional need-based money is being spent, UD instituted several specific edits to take a closer look at FAFSA information In addition, UD uses many of the Federal edits to confirm FAFSA information The institutional edits were designed to have a more in-depth look at particular data

8 Institutional Edits Student Worksheet C is greater than $500
Parent Worksheet C is greater than $1500 Student/Parent taxes paid is >40% of AGI Parent Wages are $10,000 > AGI Family Income is low based on Household Size Student AGI is $0 and student indicated that he/she will/has filed These are the main edits that we use to control how institutional aid was spent. Worksheet C amnts, if reported incorrectly, can lower the EFC. We would verify these amounts by collecting a form from the family regarding Worksheet C questions. Taxes Paid greater than 40% of AGI – we would collect a copy of the parent/student tax return to verify the information was reported correctly Parent Wages are greater than AGI – we would collect a copy of the parent tax return to verify the information was reported correctly Family Income is too low based on HH – we would total the parent AGI, Wksht A & B amnt and compare that against the number in the household. If this was low, we would collect additional information to determine how the family is supporting itself. This often was triggered for families that have a business and can take many tax write-offs to cause a negative/zero AGI. For institutional aid, we could look at different information once the family provided documentation of support. Student AGI is $0 but student will/has filed – we would collect a tax return from the student

9 Institutional Edits Any Independent Undergraduate student would fail ISIR Review Counselors were trained to review each student and determine if additional information was needed This is a very small population of our student body. We found that some students who turned 24 (maybe a 5th/6th year student) were considered independent for Federal purposes but really were not supporting themselves. We would look at them differently when awarding institutional funds. We also found some independent students may be independent b/c they have a child but the income is only $ In these cases, we would work with the student to determine if they were truly supporting the dependent and therefore, truly independent

10 Institutional Edits Previous edits discussed were used to control institutional spending UD is no longer using these edits It created more paperwork Reduced efficiency UD believes the impact of these edits on institutional funding was minimal

11 Institutional Edits We do still have some institutional edits in place
The purpose of these is to prepare the student record for packaging If a student has submitted paperwork (SCF, tax return, etc), the ISIR will fail This is to ensure that any paperwork that has been received is reviewed before the student is awarded

12 Institutional Edits If a student has submitted paperwork (SCF, tax return, etc), the ISIR will fail This is to ensure that any paperwork that has been received is reviewed before the student is awarded Student indicates he/she is a Graduate student, our records indicate he/she in an Undergraduate 1 Edit – Review paperwork and complete file 2 Edit – resolve discrepancy in grade level; contact student if needed

13 Institutional Edits Student indicates he/she is pursuing a 2nd Bachelors Verify answer and resolve if there is a discrepancy with our information Package student by hand if it is a 2nd Bachelor’s Degree Student’s birth date in Colleague does not match FAFSA birth date Birth date issue – this can happen if a student completed an admission application with incorrect information. If the student passed the Social Security match, we will update our records with the birth date from the FAFSA.
