Hopefully everyone had a chance to go to a B9 navigation training – I won’t be covering it in this workshop Presented by: Leanna Bowman and Troy Ragsdale Registrar’s Office

Getting Started Courses are copied from the last-like quarter and CRNs are assigned by the “roll process”. For example, Fall 2018 courses were copied to Fall 2019 and assigned new sequential CRNs. To get a list of your new CRNs run the following reports: SWRSCHT SWRSCHD SWRSCHR When running your report(s) be sure and request main campus courses only Leanna I’m going to demonstrate how I would put a schedule together. My first step would be to run a report of my rolled CRNs Feel free to follow along

Getting started The following is a list of reports utilized in the schedule build process: SWRSCHT – Schedule Term Report SWRSCHD – Schedule Detail Report SWRSCHR – Schedule Restrictions Report SWRSPRQ – Schedule Pre-requisite Report SWRSTXT – Schedule Text Report SWRSFEE – Catalog to Section Fee Report SWRSCHE – Schedule Errors Report SWRSCHI – Sch Rpt Instructor Not Assigned Leanna Reports like SWRSCHE (missing information report), SWRSCHI (missing instructor) and SWRSFEE (fee comparison) are helpful used in conjunction with schedule build.

Getting Started Open the SWRSCHT report as a spreadsheet and mark all the courses you will not be offering including independent study courses that have unique titles (300, 400 and 500s) DO NOT DELETE OFF-CAMPUS OFFERINGS UNLESS YOU ARE WORKING WITH EE Leanna

Getting Started Check the status of all courses
Courses you have cancelled or placed holds on during this academic year and prior to the schedule roll, will roll with that status. If you will be offering a course that has been cancelled, make a note to change the status to Active or delete it Leanna Please don’t leave them as cancelled or they will not be in the download for classroom assignment

Deleting A Course On SSASECT and using your edited SWRSCHT report
Enter the term Enter the CRN Choose delete Acknowledge the warning by saving Once a CRN has been deleted, it cannot be retrieved, and it is deleted from all associated forms Leanna Open B9 PPRD and demo deletion Demo how to acknowledge the warning and abort the deletion Don’t use delete unless deleting the entire course 40351 40046 40050 40052 40054 40056 40057

Edit An Existing Section
The courses remaining will need to be edited To make changes to the general course information—time or instructor—access SSASECT To make changes to details—co-requisites, fees, attributes (GUR, WP, FYI, CF, etc.)—access SSADETL To make changes to restrictions—departmental, field of study, class, level, degree, program, campus, college, student attribute, and cohort—access SSARRES Leanna Once all non-offered courses are eliminated, you will edit or add your remaining CRNs

Edit An Existing Section
If you have requested an update (or addition), you can check the online catalog to see if the changes have been made (SCACRSE, SCADETL, SCARRES) Changing an existing instructor You must first delete the existing instructor record and then enter the new instructor Leanna Basic course information such as title, credits, grade mode, and schedule type will be updated if the catalog record is modified by the Catalog and Curriculum Specialist Pull up PPRD and demo CHEM , 40080, 40081, 41458, 41459, 41460 SSASECT – change limit, time Changing an existing instructor is a bit quirky—the good news is B9 will not allow you to type over the W ID Demo how to delete an instructor, and then re add from the lookup feature (W Kowalczyk) (W Lemkau)

Add A New Section Once a course-catalog record has been created, a section of the course may then be created using the Schedule page (SSASECT and associated pages) You have the option of copying a section from the same term or from a previous term or creating a section from scratch Leanna Demo copy and create

SSASECT-Add a New Section
SSASECT is used to build and maintain the schedule of classes according to the definitions and restrictions defined in the Course Catalog. This is the main page where CRNs are assigned. SSASECT is comprised of four sections Course Section Information Section Enrollment Information Meeting Times and Instructor Section Preferences Leanna

SSASECT-Add a New Section Course Section Information Tab
Course Section Information Tab – basic information necessary to create CRNs CRNs can be created or copied Section Enrollment Information Tab – course limit is entered As registration progresses you will be able to see the tally The course is waitlist eligible if the waitlist maximum is greater than 0 – normally 999 If the course was offered in the last, like quarter; you will be able to see the actual enrollment in the ‘Prior’ field After the schedule is closed for updates, you have control of enrollment at any time using the SWAENRL page Leanna Once the course has been approved and exists in the catalog a section of the course can be built. Create it for Create Anth 215 Limit=25 MWF F W – to see prior enrollment – Enrollment Details Summer set up is a bit different – I’ll point out the differences between AY and SS as we build a section

SSASECT - Meeting Times and Instructor Tab
Times and Instructors Tab – Meeting Dates – Enter days, times, location and instructor If you have more than one meeting time, insert a second record Meeting Location and Credits Tab – Leave the building and room fields blank if you would like to be assigned a room If you have more than one room, use the session indicators – this allows the rooms to display Instructor Tab – You will need to know the W ID for each instructor you assign If the instructor is assigned to multiple CRNs meeting at the same time, you will need to check the ‘Override Indicator’ box If there are multiple instructors assigned to the course, they are 100% responsible for their session Indicate the percent of responsibility they each have in the ‘Percent of Responsibility’ field There can only be one instructor marked as ‘Primary’ – this instructor will have grade-input access Leanna

SSASECT – Scheduler Preferences
Scheduler Preferences – Use Scheduler Preferences and NOT Section Preferences Enter the media preferences (preference number is always 01, even if you have multiple preferences) Entering the media preferences here versus the Section Preferences tab enables you to break out media needs per room if you have multiple rooms ROOM ATTRIBUTE PREFERENCES section The preference codes for room attributes begin with a P Entering contradicting attributes will not produce results The preference number is always 01 for every record entered Troy

Some course details are optional, but others must be added if they are required for registration or notifications: Corequisites Section Fees Degree Program Attributes Troy Now we will add details to our course – details are not necessary for setting up a course, but may be necessary for registration purposes or used to notify students about costs, etc…

Corequisites Enter the CRNs of courses that are co-requisites (courses that must be taken together), the remaining fields will default in If there are coreqs in the catalog, they will be enforced on the section Registration errors will occur if the student fails to input all co-reqs on his/her schedule while registering Troy

Degree Program Attributes Some of them are informational and others affect student’s tuition You have the ability to search Leanna ITRN: Internship attribute—backs-off mandatory fees Demo: Click on the LOV, enter criteria in the search box – search for wp, cf, fig, etc… (no need for wildcards) Can search by code or description, just start typing…

SSARRES – Adding Restrictions
SSARRES is used to enter and maintain registration restrictions for specific sections Department and Field of Study Class and Level Degree and Program Campus and College Student Attribute and Cohort Leanna Demo Include/Exclude! Always have access

SSATEXT – Course Text Used to enter and maintain the comments associated with the section Registrar’s Office enters information such as ‘New Time’ If text exists, the ‘Comments’ box on SSASECT will be checked Leanna Look at Classfinder

PREREQUISITES The Schedule Prerequisite and Test Score Restrictions Form is used by the Registrar’s Office to enter or display prerequisite restrictions at the schedule level. Course level prerequisite restrictions (SCAPREQ) default to each section. During registration processing, prerequisite checking enforces prerequisite restrictions defined at the section level only. The Registrar’s Office enters and maintains them. If you need to review what is being enforced, please view SWRPREQ Troy

SSAXLST – Cross-listed Courses
Cross-listed courses are two or more courses that meet together at the same time, same room, same instructor The user defines the X-list Group Identifier on the SSAXLST page It can be any 2-digit code (alpha, numeric, or alphanumeric) not beginning with a 0 (zero) The limit entered into the Maximum Enrollment field will govern the seats available (overrides the section enrollment) Troy Let them know we did not remove crosslisting for registration and they will need to use SFAXWLP for crosslisted-waitlist courses

Other Notes SFASRPO – Capacity and Instructor override clearances will no longer clear repeat errors during registration. To clear repeats, issue the Repeat Override. There are now five overrides that will clear restrictions: (I)nstructor (C)apacity (T)ime (R)epeat (G)rad Office Approval Leanna Go to SFAROVR and demo the checkboxes
