The webinar will cover what security roles are needed for the system, how to find the new reports, how to log in and navigate the system, and a review of quick guides available to help familiarize yourself with the new system.

3 What is OBIEE? Oracle Business Intelligence Enterprise Edition (OBIEE) is the tool UW System is using to replace the Query Library at the end of December, 2018 Reports built from EPM data (updated nightly) Madison will use this for the shared HR/Benefits/Payroll reports that were previously in the Query Library Interactive dashboards You will no longer have access to the Query Library after the end of UW System is using the Oracle Business Intelligence Enterprise Edition (OBIEE) as the replacement for the HRS Shared queries out of EPM. OBIEE has interactive dashboards and provides high level summary information and the ability to drill into the information down to the employee detail level.

4 Do I have access to OBIEE?
Use of OBIEE requires one of the following two roles: HRS-IR EPM ALL NS QUERY LIBRARY (non-sensitive) HRS-IR EPM HR SENSITIVE QUERY LIBRARY (sensitive) Provisioning of OBIEE for current users of the Query Library happened automatically (no steps needed by employee) New Access: Roles are acquired via Oracle Identity Manager (OIM): Security awareness training required for brand new users of OBIEE (if also a user of HRS it is the same training) Access to OBIEE is based on security roles. Provisioning of current Query Library users into OBIEE was based on existing security roles of either sensitive or non-sensitive access. Requests for access for new employees or changes to the level of access for current users requires a security role through OIM. Use of OBIEE requires multi-factor authentication currently in the form of a HRS token/fob. Maintaining access requires passing the annual Security Awareness training required for continued use of HRS.

5 Accessing OBIEE OBIEE Resource Page: Under Getting Started with Shared Queries, there is link to UWBI production. Click link and enter your campus credentials. HRS token/fob/phone app is required To find information on resources available and a link to OBIEE, navigate to the OBIEE Resource page link. Under the Getting Started with Shared Queries section of the page, click the link for UWBI production. You will be asked to enter your campus credentials and authentication code to enter OBIEE.

6 Currently reports are all in the UW System Tab.
OBIEE Main Page Currently reports are all in the UW System Tab. The OBIEE landing page includes links to each of the UW institutions. Because the queries we are using are all created by UW-System, the reports are accessed using the UW System tab.

7 Dashboards-Reports Organized by Subject
Absence Benefits Compensation Demographics Payroll Time & Labor Workforce Dashboards In OBIEE the information is organized by subject area. The dashboards include a summary of the type of information that can be found in each dashboard.

8 OBIEE Main Page for Madison Users
Here is a screenshot of the dashboard page. To enter a specific dashboard to find the reports within, click on the View Dashboards link. If there is not an option available to you to view a dashboard, you do not have the required security role to access the dashboard.

9 Accessing Reports and Security Roles
To determine your current access level, a user can click on their address in right hand corner and click My Account. Click on Application Roles. If you would like to know which security roles you have, the information can be found by clicking on your address located in the upper right hand corner of the page and clicking My Account. Navigate to Application Roles and the security roles you have are listed.

10 Mapping of Query Library to OBIEE
Where are the Query Library Reports? Using the top menu, Select Dashboards and navigate to the Interactive Reporting Shared Queries Mapping When first using OBIEE, the primary question you likely have is where can I find the information I used to find in the Query Library. There is a map that can be accessed using the top menu. Under Dashboards, click on the link for the Interactive Reporting Shared Queries Mapping.

11 Mapping of Query Library to OBIEE
Query Library name is provided in left column, along with a link to the OBIEE report in middle column If the report was not recreated, there is information telling the user how to find the information Blue link to report will bring user to that report page The map provides the name of the Query Library report in the left column and the name of the OBIEE report in the middle column. If the report was not recreated, information on how to find the information in a different reporting tool or in HRS is provided. If the report was recreated, and you have the security role needed to access the report, it appears as a blue link.

12 Learning about the New Reports
Ways to run data are offered as blue links across the top of the report. The page you open to is most often high level, not the employee level detail. When logging into a report in OBIEE for the first time, you will see that it varies from how you entered selection criteria in the Query Library. The blue links across the top of the report indicate the different ways to search the data. The report opens to an Overview or high level summary view of the data. Typically you will not find the employee level data on the Overview tab that the report defaults to, so you will want to select the Employee Detail tab or the one that best matches the level of detail needed. To help determine which tab has the level of detail you need, read the Notes page when first logging into a report in OBIEE.

13 Learning about the New Reports
The Notes tab provides an overview of the report, directions on how to filter, and some include additional legacy mapping of the Query Library outputs It is important to use the tools provided to become familiar with where the data has moved in OBIEE Read the Notes tab for general information on the report. This can be helpful in the transition from the Query Library. The level of detail provided on a specific report in the Notes section is the best way to familiarize yourself with the way information is displayed in OBIEE. Using the Current Employees and Jobs Notes as an example, there is a brief description of each of blue links showing ways to display the data.

14 Information on Filtering
Select how you want to see data using the filters. If a field is required there is an asterisk. To look up an Empl ID or select a specific value, select the More/Search feature within the filter. Once you have selected which display you want to use to run the data, the next step is to select how you want to filter the data. Each selection has a drop down arrow. If a filter is required it is marked by an asterisk. To select a specific value such as Empl ID, use the Search feature to find the specific value needed. Use the arrows or double click on the value to move it to the Selected column, then click ok.

15 New Way to View Data Clicking the yellow Continue button runs the data based on the filters set Once the selections are made, click the yellow Continue button to run the data. You can continue to make adjustments to the filter and resetting the values and selecting new filters. Click Apply to return new results based on the filters.

Including Columns Once a report has returned results, right-clicking on the red header bar provides options for the user to sort, add/remove/move columns Click the blue arrows at bottom of data to expand to include all records. This must be selected before exporting data After clicking the Continue button, results should quickly appear. When the data set lists rows of data, the top red header row provides options to sort/exclude/move or include columns. Right-click on a column you want to manipulate, and select from the items listed. It is important to check the Include Column option to see if data you expected to see might be a field to include. The report returns the first 25 rows of data, so at the bottom of the results page there is a blue arrow that must be clicked to expand to include all results.

17 Each report has the options to print and export data
Printing/Exporting Each report has the options to print and export data The options appear at the bottom of each report in the middle of the report If a report returns many columns, it may require using the slide bar to find the center of the data set The options to print and export the data are available on each report. The links are found in the bottom middle section of the report. Clicking on the print or export option provides the list of options for each. There are Quick Guides as well to help walk you through best practices. Information on quick guides will be provided on an upcoming slide.

18 Drilling Some reports provide overview and higher level displays of data that can be drilled into to see the employee detail information. Blue links drill into the represented by the numbers. OBIEE displays high level overview information on some reports, and from these pages the information behind the numbers can be accessed to see the employee details. Using the Current Employees and Jobs By Empl Class and Job Code as an example, the headcount numbers for each job code can be drilled into to see employee details such as where the positions are located on campus.

Quick guides for using OBIEE are available at: Using Prompt Tables, Printing, Exporting Setting Favorites Saving a Customized Dashboard Additional guides as they become available This webinar provides an overview for how to access and navigate within OBIEE, but does not cover all of the information for using the tool. The Quick Guides on the UW System page are intended to be job aids to walk step-by-step through navigating OBIEE.

20 Accessing OBIEE When Not On Campus
OBIEE houses reports with sensitive data that is only needed for business purposes. Additional security is needed to access the data: User must use a Virtual Private Network (VPN) to access OBIEE when not connected to a UW network Work with your local IT if you do not have VPN on your work laptop. With the implementation of OBIEE additional security has been added to ensure the data is protected. In addition to needing multi-factor authentication to log into OBIEE, a computer must be connected to the UW network to access the reports. Additionally a Virtual Private Network (VPN) is required when a computer is not connected to a UW network. If you use a personal device or bring a work laptops home, a VPN must be added to that computer.

21 Reporting Issues with Access
If you cannot log into OBIEE: Check if your VPN is on if accessing it outside of a UW network Check HRS to determine if a job row has been added that impacts your HRS access (new job, new department) Check the UWBI news to see if there is an outage: If the issue persists, contact to troubleshoot If you are unable to access OBIEE, follow the steps indicated on this slide to troubleshoot the access issue. If there is not an outage and it is not a VPN issue, contact to help troubleshoot the issue.

22 Reporting Issues with Reports
While using reports in OBIEE, if you have issues with a report you can log a ticket to AG1: Data looks incorrect Report won’t export to Excel Enhancement request to add a field to an existing report Include screenshots of the issue to help UWSC understand the issue As more people use OBIEE to do their daily work, it is possible corrections and enhancements will be needed for the reports. If you find information that does not look correct or are having issues with reports not exporting data, log a ticket with the UW Service Center. Include screenshots of the page or error message to help the Service Center understand the issue.

23 How do I find UW-Madison reports in general?
RADAR: UW-Madison's Repository for Administrative Dashboards and Reports (does not open in IE browser) Includes links to UW System OBIEE dashboards Examples of other information currently accessible from RADAR: Data Digest Faculty Salary Scatterplots HIPAA Training Audit Now that we have talked about the HRS Shared Queries and how to find them in OBIEE, there is an additional resource for UW Madison to access Madison-specific reports. It is called RADAR-the Repository for Administrative Dashboards and Reports. As more reports are added for Students, Curriculum, Financial, and HR, the reports can be accessed from the RADAR page. Links to the OBIEE dashboards are on this page now. This can be the homepage used for accessing a variety of reports published by UW-Madison. Note that RADAR does not open in Internet Explorer.

24 Existing Query Library Reports Not in OBIEE
Madison is recreating some reports that have WISDM data and are specific to Madison users. Once completed, reports will be available in Tableau and posted on RADAR Payroll Funding Edit and Placeholder Report Salary Funding While most HRS Shared Queries were created in OBIEE and are listed on the Interactive Shared Queries Map, there are two reports that include WISDM data that were not created. The Payroll Funding Edit and Placeholder Report and Salary Funding Report are being built in Tableau and will be posted on RADAR when completed.

25 Query Library is turning off on December 31, 2018
Next Steps for Users Query Library is turning off on December 31, 2018 Log into OBIEE and run reports that you use in Query Library now to ensure they have the information you need to do your job.
