3 The Process A “request “ for a background check is submitted (online or TMS) The Background Check (BGC) Unit submits the candidate’s name to HireRight HireRight sends an to the Candidate The Candidate logs into HireRight HireRight performs the check HireRight sends completion notice to the BGC Unit Renee logs into HireRight and reviews the report, makes decision Most are approved for hire sent to the Requestor, all people CC’s and HR Records (important to have appropriate Employee Type) Moved in through the process in TMS

5 Tips for Communicating with the Candidate
Inform candidate that a background check will be completed on them Inform the candidate that CSU uses HireRight as our screening company, thus, the that they will receive comes from HireRight Have them contact you if they do not receive the from HireRight within a few days. (Note: Foreign Nationals, Minors)

Insert “Status Check” in the subject line of the Example Subject Line: FW: John Doe, 8034, Status Check Body of “What is the status of this report?”

Insert “Re-send Request” in the subject line Example Subject Line: FW: John Doe, 8034, Re-send Request Body of “Please re-send this invitation.” Best Practice: Verify address before asking for a re-send

9 Re-send: Corrected Email Address
Re-send the original Insert “Re-send Request Corrected Address” in the subject line Example Subject Line: FW: John Doe, 8034, Re-send Request Corrected address Body of “Please re-send this invitation; correct address is: Note no period after the e-address

10 Re-submit Only re-submit a request when you have received a cancellation notice A cancellation notice indicates the case is closed

11 Immediate Corrections
Insert “Correction” in subject line Use for mistakes that are discovered immediately after sending original request

12 Questions Insert the word “Question” in the subject line Example
Subject Line: Re: Question Body of “What is the estimated turn around time?” If it’s about a specific candidate insert “Question Name of Candidate” in the subject line. Subject Line: Re: Question John Doe Body of “What is a good question to ask about John?”

14 Foreign Nationals Include the information if they have never lived in the USA Lived 6 months or longer in the USA a CBC will be completed Restricted Parties (Export Control) is completed on all candidates If they don’t have an SSN have them use all 0’s as the SSN Haitao Cao (BFS) issues Payroll Control Numbers (PCN)

15 Minors Include the information that they have not yet reached the age of 18 CBC will not be completed on minors Restricted Parties (Export Control) is completed on all candidates

What if the candidate informs me they haven’t received and from HireRight? Have them check their spam/junk folder Verify their address Is an SSN required to complete a check?
