Word – Sharing your documents
Click Share button (top-right) Save your document in OneDrive Select desired permissions for people you’re sharing with Add people to share your document Enter a message, if desired, then click ‘Share’ Real-Time Co-Authoring in Word If several people are working on a Word document that is stored in OneDrive for Business, real-time co-authoring allows multiple users to collaborate, edit, and update simultaneously. Everybody can see what everybody else is doing. They can see changes as they are made and even where cursors are currently placed. Microsoft plans to include this feature in other Office applications in the future.

Categorize messages Desktop notifications Clean Up Folder Quick parts – save text to be used later Quick steps – save series of repetitive steps Clean up Folder moves all redundant messages in the current folder to the designated "Cleanup" folder. These messages aren't deleted, just moved. Redundant messages are early messages in exchanges, which quote the previous message, which quotes the previous message… so in a long thread, you may end up with 6 or more copies of the early messages. After running Clean Up folder, the early messages are moved to the cleanup folder. In some respects it's similar to archiving, but messages are moved by duplicated content, not by the last modified or received date. Using Cleanup to move mail to a "cleanup" pst file may better meet the needs of some users – the data file size is reduced but all mail is still in the main data file and easy to find. The Clean up command is on the Home Ribbon. You can clean up only the selected conversation, all mail in the folder, or all mail within the selected folder and it's subfolders. The first time you access it, the Clean up Folder dialog opens. Click the Settings button to configure options. (Clicking the Setting button opens the File, Options, Mail dialog.) Configure Clean Up options in File, Options, Mail. If no cleanup folder is selected, Outlook uses the Deleted Items folder. I recommend creating a folder to use for cleanup, at least until you see how this feature works. Along with setting the folder to be used for cleanup, you can: Recreate the folder hierarchy under the Clean up folder. (This makes it easier to find all of the original messages, if needed.) Don't move unread, categorized, flagged, or digitally signed messages. Keep (don't move) the original when you reply and modify the quoted message, such as to quote "inline" or trim the original message in the reply. Quick Parts are basically reusable pieces of content that you can quickly and easily drop into messages in Microsoft Outlook Usually, this means blocks of text that you can insert quickly into your s, appointments, and tasks, but it doesn’t only include text—you can also reuse tables, graphics, and document properties. It will also keep the formatting of the content. In this way, Quick Parts are a bit of a middle ground between signatures and Microsoft Office templates. If you find yourself writing the same chunk of text into s over and over, you’ll find Quick Parts very useful. They save you time, but they also promote consistency and accuracy when sending out template s. Creating Quick Parts in Outlook 2016 Open Outlook and create a new message. This will be the quickest and easiest way to create Quick Parts for Outlook. Here you will be able to write out the text you want with the content and formatting it requires without any issues. Once you have the content created that you want as a Quick Part this is what you need to do: Select the entire text or content, click the Insert tab. Then on the right-hand side of the ribbon click Quick Parts and choose Save Selection to Quick Parts Gallery. This will open up the Create New Building Block dialog box. You will notice there are six options to fill in or choose: Name: This is self-explanatory—just give the entry a name that coincides with what it does or what it’s saying. Gallery: You can select different galleries to save your entries into. Category: You will mainly use this if you require a ton of Quick Parts and entries. Description: You can fill this in with a quick description if you’d like to but it won’t actually show up anywhere that makes it necessary to fill in. Save In: Keep it to Normal . This way the entry can be used by all accounts you have set up in Outlook. Options: Choose how you’d like the entry to be inserted into future messages or content. Inserting Quick Parts Now that you’ve learned how to create the Quick Parts in Outlook 2016, now you can learn how to use them so you can save some time when using Microsoft Outlook. Create a new message and place the cursor wherever you’d like to insert the entry. Now, go to the Insert tab on the ribbon, click on Quick Parts, and then select the thumbnail that matches the entry you’d like inserted. You can also search by typing the name of the entry. This is where using unique and relevant names comes in handy. <img class="alignnone size-full wp-image " src=" alt="" width="396" height="209" />And that’s all there is to it! Quick Parts in Outlook 2016 is a relatively little-known feature, but it’s one that can save you a lot of time if you’re sending out similar messages on a daily basis. You send out s all day long, and using the Quick Parts feature will save you time and energy.
