4 User management and identity
Active Directory Domain Services provides authentication and authorization User accounts are assigned usernames & passwords Password policy is enforced Simplified for smaller environments Accounts can be Standard user or Administrator user Built-in “Administrator” account is disabled Key Message: Windows Server 2012 R2 Essentials uses Active Directory Domain Services for user authentication and authorization. All user accounts have a user name and a password, and there is a domain-wide password policy to enforce strong passwords and to control whether passwords automatically expire. Users are given either standard user or administrator-level rights. For security, the Windows built-in “Administrator” account is automatically disabled, and during server configuration, at least one other account must be given the administrator role. Active Directory Domain Services and Active Directory Federation Services provide an unified logon across all access areas; at client computers (for Windows Pro SKUs and above – non-Pro SKUs for example uses sign-in UI for identity access), at the server (for administrators), and through remote access tools. These technologies also provide optional federation with cloud services – AD FS means that users only need to authentic to the Essentials AD, and can then use this identity to securely access resources and applications in the cloud, such as cloud-based backup, cloud-based storage, cloud-based file sharing services etc. Using Active Directory also allows administrators to use Group Policy to control the Essentials environment, setting user and computer policies.

6 User access level & password policy
Level of access for user accounts: Standard Administrator Password strength/complexity: Weak Medium Medium Strong Strong Key Message: Describe simplified password policy and user permissions settings Password Policy By default, the policy requires a strong password, but there are four levels available. A link to help on choosing is a password policy is provided. Weak: Any non-blank password is accepted. Medium: Passwords must contain at least 5 characters. A complex password is not required. Medium Strong: Passwords must contain at least 5 characters, and must included letters, numbers, and symbols (in other words, must be complex). Strong: Passwords must contain at least 7 characters, and must included letters, numbers, and symbols (in other words, must be complex). Passwords can optionally be set to never expire. By default, passwords expire after 42 days. Also, accounts are configured to not “lock out” after any number of incorrect password attempts. Level of Access Essentials simplifies the concept of access levels by providing two default roles for users: Standard or Administrator. Standard accounts provide appropriate permissions for most users in an Essentials network. It allows them to work with data and applications stored on the server, optionally access the network remotely using Remote Web Access, use the Launchpad to initiate client backups, and see health alerts for their computer. Administrator accounts have full access to the Essentials server. They are able to manage all aspects of the server, including users, computers, backups, storage, shared folders, physical hard drives, add-ins, etc. Administrator access should be limited to just those users who are responsible for managing and maintaining the server.

9 Creating user accounts
Add User wizard provides streamlined process: Enter user’s full name; accept default username or modify as desired Enter password, which must meet policy requirements Specify access level: Standard or Administrator Optionally create mailbox if integration has been installed Assign to user groups Assign access rights to shared folders Select Anywhere Access settings Key Message: Administrators use the Users page in the Dashboard to create user accounts. Add a User Account wizard. User accounts to provide individuals with permissions for local and remote access to the information and resources available on the server. A simple 3-step wizard is used to enter the user’s personal information, password, access level (Standard user vs. Administrator), shared folder access, and remote access. User group membership. If you have created user groups, you can select one or more for the new user to be a member. Assigning group membership will give that user access to shared folders and Remote Web Access as defined for the user group (the most permissive setting will apply across all the user’s group memberships and their individual settings). Shared folder access. When starting off with the Getting Started Tasks, there is only a single shared folder available, Company. Additional shared folders can be created. Users can be assigned 3 levels of access: No access, Read only, and Full access. Users with Full access can change the access levels of that shared folder for other users. Remote Web Access. Users can be given or denied access to the server remotely. Users can also be given access to only specific links through RWA: Shared folders: allows users to interact with files stored on the server (upload, download, delete, etc.) Computers: allows users to connect to computers in the Essentials environment which support remote connections Homepage links: controls whether users are shown the customizable list of links on the Homepage Server Dashboard: controls whether users are able to perform remote administration of the server

First and last name Switch between Standard & Administrator access level Change the password Disable/enable an account; different than removing Join/leave user groups Manage shared folder and Anywhere Access settings Optionally manage mailbox settings if integration has been installed Specify which computers a user can connect to remotely Key Message: Administrators use the Users page in the Dashboard to manage user accounts. Properties for a User Account After creating a user account, administrators can modify the properties of the account using the Dashboard. General First and Last name: You can modify a user’s real name, but the account’s username cannot be changed Level of access: The user’s access change be switched between Standard and Administrator Administrator users have complete control over the Essentials server, able to manage users and computers, storage, add-ins, permission settings, etc. Change the user account password resets the logon password. User is active: is used to disable/enable an account. Accounts that are disabled cannot be logged in to, but all of the settings, permissions, and data are retained for that user. In contrast, deleting an account permanently removes it, and you can choose to optionally delete the user’s personal data folder. User can view network health alerts: When this box is checked, the user can see all alerts for the Essentials network. User Group Join or leave user groups Shared folders Assign permissions to the user for each shared folder. Permission levels are presented in a simplified form compared to traditional servers and can be one of: Full access: read/write permissions Read only: cannot modify or create files or subfolders No access: cannot access the shared folder Microsoft online If integrated with Office 365, view or modify service settings for the user Manage user addresses Assign service licenses Anywhere Access User access to the network via a Virtual Private Network (VPN) can be allowed or disallowed. User access to RWA can be allowed or disallowed. If allowed, they can be granted access to: Shared folders: to access files remotely Computers: to connect to computers in the workplace from a remote location and use it as if they were sitting in front of it. This functionality is limited to business SKUs of Windows that support Remote Desktop connections. Homepage links: controls whether or not the company’s web links are displayed Server Dashboard: for Administrator accounts, controls whether a link to the Dashboard is displayed Distribution Groups Join or leave distribution groups Computer Access For users who have RWA permission to connect to computers remotely, this controls which computers are available. Note that this functionality is limited to connecting to business SKUs of Windows running in the local office that support Remote Desktop connections.

If a client is manually joined to the Essentials network, you can run the connector to configure the client.

Automatically store and protect critical business data on the server Folder redirection lets users continue to work and save data in a way that’s familiar Folder contents are stored on the server: Desktop Documents Favorites Downloads, etc. Key Message: Implement group policy to enable folder redirection Many small business users are accustom to working without a server and storing all their business critical and sensitive information on their local computers. Folder redirection provides a method for allowing users to continue working in the same way, but having their information centrally stored and protected on the server in real time. All the subfolders under the Users folder can be redirected to the server.

Microsoft Open Programs provide volume discounts for a minimal up-front cost and are widely available through the worldwide partner channel. Open Programs provide the following three purchasing license options for commercial businesses: Open Value offers the advantages of Software Assurance, simplified license management, and an annual payment structure. The Open Value program offers three options: Organization-wide, Non–Organization- wide, and Open Value Subscription. Open Value Subscription is for customers who want to subscribe to, rather than acquire, Microsoft product licenses. Available in select countries or regions, Microsoft Open Value Subscription provides the lowest up-front costs of the Open Programs with the flexibility to reduce their total licensing costs in years when their desktop PC count declines. Open License is ideal for customers that prefer a “pay-as-you-go” model and plan to change their licensing program as their business grows. For larger organizations, Microsoft also offers Select Plus: Microsoft Select Plus is for midsize and large organizations with 250 or more desktop PCs with multiple affiliates that want to license software and services at any business unit level while still getting the price saving advantages of being a single organization For organizations that offer hosted software and services to end customers: Microsoft Services Provider License Agreement (SPLA) is for hosters providing services such as Web hosting, hosted applications, messaging, collaboration, and platform infrastructure. SPLA partners have the ability to deliver a customized service with a flexible cost structure. There are no startup costs, no monthly sales minimums or required term of commitment. Pay only for what you were providing to your customer in the previous month. With SPLA, you also have access to the latest versions of software, and you can sell your services worldwide.
