1 Electronic Medical Records Training
This training will start the transition from charts to electronic medical records. Our medical facility is going to start the first phase to input patient information. The first steps to indexing information are to place the basics such as medications, allergies, pharmacy information, and most recent notes/labs. Medical charts are protected by HIPPA. It will be important to understand the steps in the transition. Next, scanning all past notes, labs, and radiology in the system for future viewing. Natasha Neri

2 Electronic Medical Records Training
Phase I- Overview Phase II- Training Phase III- Implementation Phase IV- Evaluation

3 Phase I Overview

4 Target Audience Characteristics Phase I Target Audience:
Healthcare, Medical facilities, Doctors, staff Characteristics: Super users (fast users), resistant to change uses, non-tech users directed at the staff who use these areas for their daily use.

5 Delivery Modality and Length
Weekly computer based Webinars In-Person Training at Go Live Tech Support Delivery modality and length of the training session: Computer based webinars weekly for a month, in person training at go live for a week. The first phase training will be about three months before we introduce the next phase. There will be a phone number to call the tech support available 24 hours a day

6 Phase I - Initial Goals 1. New System 2. Index 3. Scan Goals:
The goals for this training for the EMR system will be to start the interaction with the staff. The staff needs to know the system and familiarize themselves for a sufficient work flow. 1. Get acquainted to the new system (doing web-based training) 2. Index patient information (start putting information in the system) 3. Learn to scan chart information

7 Phase II Training

8 Objectives Phase II – Training Objectives:
Objectives: The objective would be to familiarize the staff with the new electronic medical records (EMR) system. When the initial GO LIVE is in place the staff will be comfortable and will be able to trouble shoot if an issue should occur. By the end of this training, staff will be able to navigate the new electronic medical records system with easy. I know this will happen because of all the training we have set forth. A Project based learning will be used to assist in the training for the new system. This training is broken down in segments. This will complete the learning by doing. Critical thinking will also be involved in the training. Staff will need to be able to figure out what to do if a problem should occur with the system.

9 Phase II - Acquainting to the New EMR System (Web-based Training)
1. Watch the videos about the new system 2. Log on to the interactive simulation for training 3. Use TEST patients in the system  Instructional strategies and activities will be for this training are: 1. Watch the videos about the new system 2. Log on to the interactive simulation for training 3. Use TEST patients in the system The first initial videos will be watched from individual computers. Access will be sent through the from the supervisors. Once, the videos are watched a simulation training will be accessed to for a hands on interaction. This will benefit the staff that do better with the interaction. Then, the last section will be the test patients in the system. The interaction with the system live will help the thinking process and what errors may occur. This will help with understanding the time management for inputting information. Staff will be introduced to trainers in the Test segment of the training. This way they can ask a variety of questions. There is a 24 hour helpline to help with issues with the system.

10 Phase III - Details on the Implementation
This phase will determine the timelines for the actual implementation of the instruction and delivery of the Electronic Medical Records Training. The total length of time this course will take place will be three months with the initial start date October 1, 2014. This is the first phase of the Go Live for all the facilities in our company. We are going to set training for Medical Staff and Administrators. The company has selected this program we are training the staff. We are here to keep them motivated and help them understand with a smooth transition. Details on the Implementation

11 Implementation 1. Watch the videos about the new system
2. Log on to the interactive simulation for training 3. Use TEST patients in the system 4. Classroom training 5. Go Live We are supplying computer webinar programs that will need to be loaded to the staff competency to finish in thirty days. There will be assigned sessions for staff to attend with the training teams for questions and answers to difficult areas with the program that is introduced.

12 Trainers for the EMR program Super Users
Phase III - Tools Trainers for the EMR program Super Users The training team will have each facility choose certain individuals to be the ones to take an extra training to help when the training team is no longer onsite to help (Super Users). These staff members will be part of the management team. They can decide what needs to be reassessed and called in to the programing company for changes.

13 Webinars- will be weekly for a month In-Person Trainers- for one week
Timelines: Webinars- will be weekly for a month In-Person Trainers- for one week Tech Support- 24/7 Computer based webinars weekly for a month, in person training at Go Live for a week. The first phase training will be about three months before we introduce the next phase. There will be a phone number to call the tech support available 24 hours a day.

14 Phase IV – Evaluation 1. Receive feedback from the staff on their training and the new system 2. Decisions from the three months with reassessment of the issues that have occurred. 3. Determine if additional training will be needed for the staff. This phase will determine if the staff was trained adequately. Staff will give feedback to determine if we need to assess our future trainings. There will be an reassessment of the issues to see where we can fix them for the next facility that will use this system. In the future, we will be able to fix the issues we have come across to ensure they are not going to happen in the future. We will be able to reevaluate the program we are using and upgrade the next version with the needs of the staff using the system due to the feedback.
