1 Fordham Connect Train-the-Trainer Training Reports

2 Become an Export on Reports – Make lots of friends Lots of online Help
Hardest thing is understanding relationships between modules

3 Report Types Rows and Columns
In-depth information in row and column format Summation Overview of the data, grouped by specific criteria Display results in groups, based on a particular field value Include sum, count, max values for each group Create charts to display the results visually Summation with Detail Like Summation and includes columns of data fields from records of selected modules Matrix Similar to a Summation report Overview of the data displays in a grid Display results in up to 3 group bys

4 Rows and Columns Title with another opportunity to make this report your favorite. Action Menu: This is only report type that you will see the Export option. It will export as a .csv file to excel. (Options: Edit, Duplicate, Schedule, Print as PDF, Export, Delete) Criteria for building this report. When we create a report you’ll be adding in all this information. Run-time filter: Allows the user to alter this filter without Editing the entire report. They have the ability to just change this filter based on different scenarios. Row and Columns Report data in rows and columns (simple report).

5 Summation Reports Chart Types: No Chart Horizontal Bar Vertical Bar
Pie Funnel Difference: Chart Grid (notice there is a blank value in the first column – why do you think that is?) Grand Total also subtotals for group-by)

6 Summation Reports with Details
This report has a chart just like a Summation report. This report is GROUPED by Sales Stage. So, this user’s opportunities are group together by Sales Stage. Then for each grouping the this report also Displays the Summaries for the Sum of the Opportunity Amount and Count (number of opportunities). And, at the bottom the grand totals for all groupings.

7 2X1 1X2 Matrix Report Closed Won Opportunities by User by Lead Source
There’s also a chart with this report. Three Groups: Assigned User, Month: Expected Close Date, and Lead Source You determine Chart Layout. In this case it’s a 2X1. Two columns on the left (user name and Month: Expected Close Date) and one row across the top (lead source). Verse a 1X2 layout – One column on the left (user name) and two rows on top (Month: expected closed date and Lead Source). The order to place the Grouped by items determines the location on the grid.

8 Rows & Columns Report 3 Steps Main Topic (Module) for Report
Filter Criteria Columns to Display

9 Report Wizard Wizard to guide you through reports
Storing the criteria, not the data Report is re-run every time you open it

10 Rows & Columns Report – Step 1
Step 1 – Pick a module List of modules based on security Select People

11 Rows & Columns Report – Step 2 Define Filters
Related Modules & Fields – Most difficult concept to understand Fields are individual values Related modules – a modules with a 1:M relationship to the main module Example – Student has multiple awarded funds UPN’s Belongs to multiple organizations Clicking on a related module, changes the fields that can used for searching Only data that is stored in Fordham Connect can be used in reports. Data that is retrieved in real-time will not appear as fields or modules. Example, Refund Status, Account Balance, Courses

12 Rows & Columns Report – Step 2 Define Filters
Quickly search for fields in the filter box

13 Rows & Columns Report – Step 2 Define Filters
Operator is different for different types. Dates have ranges Numeric values, numeric operators Text – Begins with, contains Run Time Filter allows users to change filter criteria without having to create a new report Multiple and-or combinations allow complex reports Create 2 report criteria: Expected Grad Term = Spring 2014 College

Value for chart can be: Count of the number of records Min, Max, Avg, Sum of any numeric field. Example Propsoals, Avg Dollar Ask Amt, Number of Propsosals

23 Reports – Important Info
Storing definition of Report – not data Security Enforced Modules Data Runtime Filters cut down on number of Reports Each time a report is clicked from the report list view, it is re-run. Always storing definition of data. If a user cannot see Gifts and they try to run a report, they will not see any data. If security only allows users to see specific rows within a module, that’s all they will see Setting up criteria with run-time filters cuts down on number of reports that need to be created. For each Department, there should be 1 or 2 report gurus.
