Direct import from databases Organization capabilities Deduplication +Collaborate and share with your colleagues (Stephanie) "In the context of systematic reviews, reference management programs facilitate the capture and organization of studies identified through electronic database searching, the identification and elimination of duplicate records from multiple database searches, the transfer of references to Cochrane RevMan and other systematic reviews software and the accurate citing of references within manuscripts [8,9]. Thus, an author’s decision to use, or not use, this software may impact on the accurate reporting of the number of studies reviewed for inclusion and exclusion in a systematic review." Zotero General Settings
File Handling preferences can be important for sharing files with group members Auto Tagging can help reviewers understand/filter citations Groups may need to share all information General settings should be guided by the requirements and technology tools available to the systematic review team. For instance file sharing capabilities can be handled inside or outside of Zotero and Zotero can be configured to meet your needs.

Zotero Sync Settings Sync allows you to keep the content of both the online and desktop versions of Zotero the same. It allow allows you to easily share the content of your library with a group. Review other settings, but they are more a part of general Zotero use and not specific for its use in systematic review. Set preferences for citation and file syncing between the online and desktop applications

Importing: The Process is Easy (SO EASY)
Save Search File -> Import Select File (Stephanie) Save file as .ris, BibTeX, Zotero RDF… options vary by databases. Must be a structured file that preserves fields – NO TEXT DOWNLOADS

(Stephanie) Zotero will ask you to select if you’d like the citations imported into your Library (unfiled) or a new Collection. It can be difficult to locate items if you import unfiled in your Library so we recommend that you import into a Collection folder that can be deleted after you move the citations.

Organizing Citations Create a separate folder for each database
Automatic on import of first set of citations from a database Subsequent imports from that database may be added to that folder Add the database name for each record Often included in imported data, but be sure to keep a consistent format and field location for database sources

This database can serve as the source of citations against which all duplicates will be deleted from other databases. The primary database should conform to the expectations of your discipline. Add tags to citations Subtopic, outline section, and other organizing schema Use numbering to get tags to display in order

From Multiple Sources One of the most important steps in managing citations for systematic review is deduplication.

DeDuplicating in Zotero
Zotero currently uses the title, DOI, and ISBN fields to determine duplicates. If these fields match (or are absent), Zotero also compares the years of publication (if they are within a year of each other) and author/creator lists (if at least one author last name plus first initial matches) to determine duplicates. The algorithm will be improved in the future to incorporate other fields. Sort collection by author or title to easily scan for duplicates. Review individual items (if needed) to determine if they were imported from different databases

DeDuplicating in Zotero
You can select the database formatting you prefer for each set of citations Once merged the citation will disappear from the Duplicate Items view, and will appear as a single citation in your Collection Merges will retain all of the collections and tags of the merged items; deleting one item will lose these data. Merges are also automatically recognized by the word processor plugins and don't affect your automatically generated citations and bibliographies. Select Duplicate Items under My Library in the left menu Select an item from the list Click ‘Merge # items’ at the top of the right box if items are true duplicates

6. Export citations For Citation Review Applications Once you are done compiling and deduplicating all the citations your systematic team will review, you will want to export them to a program that makes the review process easier

Exporting Collections
Right click on the Collection folder and Select.. ‘Export Collection’ Choose the format for application you will be using - generally .CSV Select Export Notes if you use this field/have captured data from databases

Exported File Citations will be exported into CSV (you can view in Excel, Google Sheets, etc.) with field names as column headers Key column is auto-generated by Zotero Many empty fields are also exported (depending on your citation types) but do NOT immediately delete these columns if exporting multiple collections Delete (or hide) extra columns once you have exported and compiled all collections
