1 How to Convert a Sales Order
Weekly Maintenance

2 Take the time to fill out your paperwork in the field accurately.
The first step in converting a Sales Order is filling out your paperwork completely and accurately at the pool. This way when you are ready to convert you will know exactly what you did and how to charge the customer. Take the time to fill out your paperwork in the field accurately.

3 In RB Control Systems go to Sales Orders
Click on Sales Orders, type in your four digit code and press enter. You are now in all of the sales orders. DO NOT LOOK for the customer by name! Type the Transacation Code on your paperwork to be sure you have the correct Sales Order. Press Enter on the keyboard In RB Control Systems go to Sales Orders

4 Click once in Part No. (or anywhere on the screen) to remove any flag message such as HASSLE FREE and to view the Sales Order Double Click on the service you performed (in this case Weekly Maintenance) highlighted in blue on the top horizontal line on the screen. Can’t see the Sales Order? Click once in Part. No. to remove flag message

5 Scroll Down and click where it says Serial #/Desc
Scroll Down and click where it says Serial #/Desc. And a box will pop up labeled Serial Number/Description Go up and write in the box where it says Other Info. Copy and paste from a sticky note for the services performed for a Weekly Maintenance but be certain to edit it to say exactly what you did at the pool. If you didn’t do a service delete it; if you DID something extra –like clean the filter ---add that in the box Click Update/Quit and the the blue Continue to save what you entered in the box. Customers see what is in the drop down box! Use correct spelling and grammar please!!!!

6 Time spent at a customer is billed in hourly increments under Quantity
The time you spend at the customer is billed in hourly increments under Quantity. If you were at a customer more than an hour change the Quantity to 1.5 for an hour and a half, 2 for two hours, etc. press enter on your keyboard and then Continue on the RB Screen to change the Quantity. You will notice the price went up and this will confirm you billed the customer correctly. Time spent at a customer is billed in hourly increments under Quantity

7 Need to review what you wrote in the Description Box again ?
If you forgot to write something you did and you need to go back double click Weekly Maintenance, click Serial/Desc. You will see what you wrote is saved and you can edit/review if necessary. Click Update/Quit and then Continue again to save Need to review what you wrote in the Description Box again ?

8 You are just about ready to Convert your first Sales Order
After you press the blue Continue box then press the Convert to A/R box on the left side of the page to convert the Sales Order. If there is no A/R box that is able to be clicked send a follow up message to Stephanie saying this is READY TO CONVERT You have converted your first sales order! You are just about ready to Convert your first Sales Order
