Business Information Management II This PowerPoint introduces the steps involved in creating and managing a business project. The lesson covers specifically the importance of teamwork as most projects are conducted in groups, examples of projects and their components, and creating the project concept and a general overview of the steps required to conduct the project.

Goals for this Lesson Students will understand the purpose of following project management processes. Students will understand what the four processes (phases) of project management are. Students will apply their knowledge of the first phase of project management, that of Project Definition. Projects are conducted on a daily basis in many businesses. Schools conduct projects as well. Project usually involve more than one person as well as many resources so it is important to follow a process to ensure that your project is a success. A set of processes and skills which can achieve positive results. Project Management Project Definition Project Planning Project Execution Project Analysis Your project must first be defined (what are you wanting to accomplish), then details planned out (who is responsible for which tasks), tasks carried out and changes made if necessary, and then reflections upon the project as a whole (what worked, what did not work, improvements, …) You can give some examples of projects such as promotion celebrations, moving your offices, or introducing a new product. Project Definition Project Definition What is our project? Brainstorm ideas for a project What is the main objective for our project? When will it be done? Who needs to be involved? How will we know when it is done? What will it look like when it is completed? Explain that the first phase in any project involves brainstorming ideas and receiving input from many sources. Decide what it is that you would like to accomplish with your project as a whole because after this step, in the next lesson you will conduct the actual planning of the project details. Project Planning Project Planning Who will be on our project team? Who are our team members and what roles will they have? What tasks need to be completed? What are the general activities that need to be completed? What does our task timeline look like? How will we create a schedule so our project is completed by a deadline? You will need to decide who will be on your team. There are several Multiple Intelligences Tests that can determine your individual strengths and weaknesses. This can help people in a team determine which tasks best suit their talents and abilities. This lesson will not cover the specific tasks involved with a project but mainly defining what your project will be and who will be on your team. Project Execution Project Execution Are the tasks being completed on schedule? Why may there be delays? Do we need to change our objective? What if we find that our original objective isn’t feasible? Presentations prepared Create a presentation to the stakeholders of the project Any other documentation to be prepared Create any other documents that will go with the presentation After the team has begun to implement the project, this is the phase where changes may need to be made. If plans need to be altered because the reality of what can actually be done must be changed, the team needs to be aware and agree on changes. This is also the phase where the team examines if the project is on schedule, whether or not changes need to be made. Again, the next lesson covers this phase. Project Analysis Project Analysis Review success of project What went well What didn’t go so well Project retrospective – team member contribution Form evaluating member contributions Individual retrospective Form evaluating your own performance After any project is completed there should be an evaluation period to determine if it was a success. This phase involves critiquing your project and determining what was done correctly and what was not so successful and if there could have been any improvements in the planning process. The project may not be completed on time, details may inadvertently be left out, and the costs may exceed your budget. Assignments Independent Practice Assignment #1 – Team Name and Logo Each team for this business project should create a name and logo. The name and logo should be able to attract attention and still be professional. Any Microsoft Office application can be used. These items will need to be included on each of the following documents so there is a consistent theme. Independent Practice Assignment #2 - Project Objective and Criteria (PROJECT DEFINITION HANDOUT) Due 9/21/12 Using the examples you have seen that the teacher has demonstrated and that you have completed in your group, decide on your own business project idea. It can be a project that is a real-world project such as the implementation of a new product that you have heard of or the opening of a new business in the area. It can also be planning a school- related event. Determine what your objective will be for the business. This means to provide an approximate date for completion, what people or groups of people will be involved in this process and what do you need to do to get it done (not individual, detailed tasks, but general steps of the total process), similar to what was done previously in a group. Re-create the handout on the computer (using skills learned in BIM I such as creating a table, or create a form using the Developer tab in Office 2007)) and fill in the blanks with your responses. Independent Practice Assignment #3 – Stakeholder Analysis Students will create a document in Microsoft Word that details information regarding the stakeholders of the project. In groups, students will complete the “Stakeholder Analysis” form which students can either create or the instructor can upload it to a shared drive so students can access the form. This will help students focus on everyone who will be involved with a project, from every angle. The assignment will be evaluated using the related rubric. The teacher may decide to have each team begin a binder with all of the project assignments. The team may create a cover page with the team name and logo. In addition, the project definition pages and stakeholder analyses may also be placed in the binder. The Publisher advertisements can then be added. 13 Assignments (continued)
Independent Practice Assignment #4– Publisher Documents Design two documents in Microsoft Publisher advertising what your project will look like upon implementation. For example, if it is a school event, create a flyer that you might use to publicize the event including images (clipart, Internet) and text with all required information. If it is a business reception for a retiring employee, create a document that might be used as an invitation to the reception. Again, include text and graphics that are appropriate for the project. The documents will be evaluated using the assigned rubric. Once all 4 of these assignments are completed, they can be affixed to a poster and displayed. To create interest in an upcoming project, appropriate documents should be designed. These can include advertisements, invitations, or mailings.
