PROJECT OVERVIEW $195 is chapter funds and 2 membership sponsorships
6 JCI Lansing Members 10 JCI Junior Jaycees and JCI Michigan members 27 additional non-jaycees 3 businesses equals….. $195 is chapter funds and 2 membership sponsorships As anyone can expect with an outdoor event in Michigan, you are often found rolling the dice when it comes to the kind of weather you will experience the day of. The week leading up to the event was dicey. Rain was forecasted every day, the winds were increasingly getting stronger, and there was a major storm system moving in. The week before the event phone calls were made to ensure canopies would be on hand, and a back-up map was created for a bare-bones event organization since the event is rain or shine. We had a communication plan in place if we needed to make a last minute decision to cancel. The weather may have been windier than we hoped which lead to last minute decisions to limit certain components, but the rain held out and did not start until the last tote was placed in the car to leave the capitol grounds. While the attendance may have been lower our donations and raffle ticket sales were still in line with last years’ and we owe many thanks to the donations we received from our local businesses. Our donations this year tripled what they have in the past few years. 2

PROJECT ORGANIZATION Facebook event Calendar event Event Registration
A project of this magnitude requires months of planning and hours of dedication from our members. It all starts with someone willing to step up to the challenge of keeping things organized. Relying on a solid committee of seasoned and fresh members, I compiled details from recent PMGs to find all of the pieces and parts to make this year run smoothly. A big goal of mine was to have a map that outlined where stations would be set-up. I had heard from past volunteers that there seemed to be a lack of organization the morning of as no one knew where things needed to go except the chairs of the event. Having a map to hand to people along with labeled tote boxes made set-up go much smoother! To keep organized along the way, we utilized signup.com for volunteers to help us guage who would be there, and what their preference was for assistance. Some people are naturally better behind the scenes, others want to be front and center interacting with the community. Keeping up with the to-do list has it’s own challenges as well. The committee used google docs that has been passed around for the last 5 years with contact information for local businesses. This document listed businesses that have donated in the past, which member was working on securing a donation for this year, what the business donated last year, and an estimated value of the donation. We expanded the tab for 2018 to include contact details and finalization of tasks such as calling mascots to attend, securing the Clown, contacting the fire department to show up and sound the horn at the start of the hunt, and more. Having the shared document that could be updated in real time was quite helpful to give the chairs a quick glance of who to follow-up with and how well we were looking. SHORT AND LONG TERM IMPACT:
Family traditions Community Involvement Business Partnerships Fundraising growth opportunities Membership Sponsorships LESSONS AND LIMITS: Communication Flexibility Ticket sales Project management Website utilization Though we may be a small chapter, we are focused on making a big impact. With a history of more than 60 years sponsoring a local Easter Egg hunt and a decade of hunts on the capitol lawn, families look to us as an annual tradition. We have families that have brought their kids, and then their grandkids, even extending to their neighbors. In an interview with Michigan State University’s journalists, a member’s boyfriend exclaimed that he came as a kid with his parents and it’s heart-warming to give back and provide the same experience to others. 4

PROJECT ASSESSMENT In the middle of a wind advisory with unpleasant temperatures our hearts were warmed by smiles on children’s faces and knowing that memories were made that will last a lifetime. We learned from mistakes, and gained some new skills. Truly service to humanity is the best work of life! 5
