Please review AZBA Minutes from the January Meeting (1/13/2013) Suggested edits to minutes by AZBA members Move to approve minutes as presented or as edited with input from AZBA members

4 By-Law Update Several changes were needed to be able to apply as a 501(c)(3) non-profit organization: Updated purpose to be in line with non-profit requirements. Further defined Board Member roles and responsibilities to meet non-profit requirements. Clarified that members do not receive compensation. Added financial provisions, information about income distribution, etc. to meet non-profit requirements. Developed a financial policy and Conflict of Interest Policy to meet non-profit requirements. Added language for a Member At Large position. Fixed grammatical and formatting errors.

8 Treasurer’s Update AZBA filed for non-profit corporation status with the IRS Section 501(c) (3) Received a total to date of $553 in sponsorship of start-up expenses We are grateful to WorkingBuildings, ClorDiSys Solutions, UA College of Medicine-Phoenix, and PRI Bio for their financial support Current balance: $688.75

9 Final AZBA SOPs Standard Operating Procedures (SOPs) are completed and posted on the AZBA website under the members log- in section. SOPs include: AZBA SOP 01: Officer Member Duties AZBA SOP 02: Membership Dues AZBA SOP 03: Election Process In addition, AZBA has a Conflict of Interest Policy and a Financial Policy, also located on the AZBA website.

13 Hazardous Waste Discussion
Four questions were submitted to the AZBA team I would like to know the answer to: Is a pipette tip a sharp in the state of Arizona? How do you dispose of these pipette tips? Apparently, STERIS has indicated that SJHMC is the first location in Arizona to institute this type of policy (treating pipette tips as sharps). Who is “treating” their own waste in regards to solid autoclave waste.  Meaning is anyone autoclaving their waste and then placing it in the municipal trash instead of a secondary waste pickup (e.g. clean harbors, Stericycle, etc.)? Is any spore testing being performed after autoclaving in your facility/entity? How is mixed waste disposed of (e.g.,  Example of Ethidium bromide in a PCR gel)? Break up into four groups and each take a question to work through. Pick one person to present the groups findings and if needed, a person to present a counter point. Note: AZBA will not issue final decisions regarding how individual institutions should handle these questions. The goal instead is to provide more information for groups to use in documenting their own policy decisions.

14 Next Meeting / Date The AZBA Fall Meeting will be held in Phoenix at the Arizona State Public Health Lab (APHL), thank you Linda Getsinger! Next Meeting is October 4th, 2013 from 10-2:30 PM. Room 205, of the Arizona State Public Health Labs Address: 17th Ave, Phoenix, AZ 85007 Thoughts from members? The AZBA annual business meeting will be held during the Fall meeting and will include a financial report by the Treasurer. Elections will occur shortly after the Fall meeting. Positions open on the board include: President-Elect Secretary Treasurer It is not too early to start thinking about who you’d like to see participating on the AZBA board including yourself!

16 President Acts as Chair of the Board at all Board meetings;
Participates in the Board Meetings; Provides Alliance activity updates to the Board; Participates in voting motions offered during the Board Meetings; Designates and empowers special sub-committees of the Board to focus on special issues, as deemed necessary; Coordinates the activities of the Board by establishing an agenda for such Board meetings; Presides at all General Member Sessions and approves the minutes from the last session; Calls upon the Officers to present reports in their areas; Reports on any events/issues that might be of interest to the Membership; Closes the General Membership Session; Reviews all reports prior to going to the Membership; Serves as AZBA liaison to ABSA and reports to the ABSA Membership about AZBA activities at the annual ABSA meeting; Communicates with outside agencies regarding AZBA activities; Has final approval and signatory authority over any AZBA related activity.

17 President-Elect Participates in Board Meetings;
Participates in voting motions offered during the Board Meetings; Acts as the liaison between the Board of Directors and all AZBA committees; Accepts the responsibilities of President if for some reason the President cannot fulfill his/her obligations; Acts as Program Chair for all AZBA General Membership Sessions which consists of: Obtaining speakers for the General Membership Sessions Ensuring that appropriate audio/visual equipment is available Ensuring that the speaker is set up prior to the Session  Participates in special sub-committees set up by the President; Sends notes of appreciation to speakers after General Membership Session; Provides out-going President Memento on behalf of membership at last member meeting chaired by President. Prepares amendments to the Arizona Corporation Commission (AZCC) and the Internal Revenue Service (IRS) as needed.

18 Treasurer Participates in Board Meetings;
Participates in voting motions offered during the Board Meetings; Provides a financial statement and budget report to the Board at least quarterly; Collects dues and receipts from membership functions; Maintains the AZBA checking account, balances the account and pays any bills generated by AZBA from this account and deposits any checks received into this account; Keeps records of General Membership status. Sends copies of completed membership renewals and new applications to the Secretary for update of Membership Directory. Conveys the changes in Membership Directory (names, titles, addresses) to the Secretary; Maintains financial ledger for AZBA, hard copy and computer files; Participates in an audit of the AZBA financial ledger; Prepares receipts to give to membership for dues and membership functions; Prepares list of attendees prior to each meeting; Accepts other financial responsibilities as designated by the President.

19 Secretary Participates in Board Meetings;
Participates in voting motions offered during the Board Meetings; Maintains the AZBA Directory of paid members; Issues the Directory to the membership on an annual basis; Maintains an up-to-date mailing list of all members and routinely sends to the treasurer; Prepares an agenda for the meetings to the Membership; Sends meeting announcement to the membership; Prepares a list of meeting attendees and verify membership status; Communicates with the President prior to the mailings to review the materials; Prepares summary of the meeting minutes and distributes to Membership; Maintains or causes to be maintained, the official AZBA website; Maintains or causes to be maintained the AZBA affiliation with ABSA; Assists with counting the ballots both for election of Officers and for ballots on special issues and reporting to the General Membership; Sends welcome letter and Directory to new members; Sends out Call-for-Nominations Sends out first Dues Notification sixty (60) days prior to due date. Sends second Dues Notification thirty (30) days prior to due date.
