Our society is always on the go and most of the time only has access to our mobile phones. One of the key features of our new site is that it is mobile and tablet friendly, allowing students to order their transcript anywhere, anytime, any place. Now I’m going to switchover to our live test environment to show you the new, improved, site.

School Name Search Page
To enhance the flow of the order we moved the location of some options. I will review all pages, so please hold your questions on where an option is located until the end. This is our new Select School page. This page will be replacing our current one for ALL schools when we release the new site into production. The requestor is able to “type ahead” in order to find their school quicker and easier. The new feature provides a targeted search so the length of the results is substantially shorter resulting in reduced ordering time. Once I select the school the ‘Continue’ button will enable for me to move to my schools Welcome Page.

Welcome Page The new Welcome Page is straightforward with less text so the requestor can get start with the order quicker. We have broken out the School information vs. the Clearinghouse informational text so the students can clearly see what your school instructions are. The school configurable text still functions the same and is updated on the Administrative tab. If you use a school specific logo and banner color that will be displayed the same. As you can see the “Track Your Order” tool is no longer on the Welcome Page. We have built a separate application now called “Transcript Order Status” that lives on a separate page from the ordering site. This tool will be available for ALL schools when the site launches, no matter the ordering version you are on. All s notifications will be updated with he new “Transcript Order Status” link, and we suggest you include this URL separately on your school specific site. This link will be available when we launch the application to add to your site. To start the order click “Order Transcript(s)”. Below this button is a one location the “Transcript Order Status” link will live. They can also get to it via order s as I mentioned, from the Clearinghouse public site home page, and if you use NSC Student Self-Service from there as well.

Personal Information Page
The new ordering site is 3 easy steps as tracked on the bar at the top. As you will see the titles of the pages have changed to help the user better understand what is needed on each page. The current name and date of birth fields are still the shown and required. Our new application is dynamic, meaning some fields only show if the student needs to answer the question. The name while attending school fields are not shown unless the answer is ‘YES’, then the fields will appear. If you are an Ellucian eTranscripts active school we have made an enhancement to finding a student. If the requestor enters in a previous name the “Find Student” call to your system will happen using this name instead of the current name. We hope this change will further cut down on the number of orders you have to touch and go into ‘Needs Research’. Student ID and SSN fields have not changed and will still be configured as you have them today. The currently enrolled question will always appear once your school is on the new ordering site. We have used this question to drive whether or not a student sees other options that are related to enrollment. If the student answers ‘YES’ nothing else has to be answered and can move forward with the order. If the requestor answers ‘NO’ they see other options appear to be answered. If you use the legacy/archive question it will only be shown and required when the user answers ‘NO’ as it relates to prior enrollment. Same with Dates of Attendance, but will appear for all schools once on the new ordering site. If you are an Ellucian eTranscripts school the “Find Student” call still happens at this point when the ‘Continue’ button is invoked. Once the call responds if the student is not found or has a transcript hold it will show at the bottom of this page, instead of on a separate page. This is to reduce the number of pages and steps. The hold name and text will display as you have it listed today.

Contact Page The Contact Page is will be on all of the new ordering sites. This is to cut down on the number of times the requestor enters in their address information. and phone number are now on the Contact Page to better align the type of information being collected. The option to receive Text messages is now on this page so the requestor doesn’t have to enter in their phone number multiple times. We’ve also enhanced the text messaging service to be sent to all carriers in the US and Canada.

Recipient Page As you may notice the first Recipient Page has gotten smaller. We have combined the FERPA compliance and recipient type question into one to cut down on redundancy. The way the consent form and FERPA question function are still the same. We’ve also changed the names of the types of recipients which drive the delivery information area to make it clearer to the student. The recipient name has also moved onto this page for ‘College or University’, ‘Education Organization, Admission Services and Scholarships’, and ‘Employer or Other’ on this page.

Delivery Method Page The Delivery Information page still includes most of the same information, however the names of sections have changed to help the user better answer the question. The processing options, including future processing options, transcript purpose and transcript type, if used, all display at the top of the page. Delivery options will still be displaying as you have them today. The one change is the delivery text is now populated below the delivery option and is called ‘Terms and Conditions’. Your schools configurable delivery text will remain the same as it is today.

Your quantity and transcript fees will not change
Your quantity and transcript fees will not change. If you use Special Instructions that will still be available. Additional Attachments, if used, will still be available with an enhanced user experience. Another enhancement and better user experience, is all fees, per recipient, will be shown to the requestor on the delivery page instead of on the confirmation page. This way the user knows how much the transcript will cost before the confirmation page.

Recipient Delivery Information
If the order is mail or electronic PDF delivery the recipient information page will be shown. If the user is sending the transcript to themselves the information will be pre-populated to be approved and save time.

Shopping Cart If you haven’t noticed there is a shopping cart in the upper right hand corner. Once a recipient has been added the cart will populate with number entered in. The student may “Add Recipient” when another transcript is desired, or edit or remove from this page as well. The total fee for the order is shown on this page.

Consent Form Page NSC offers paperless and paper consent forms. However, paperless is the quickest way for the students order to be seen/sent to the school and the order completed. Paperless consent options are highly recommended. Student is required to sign their signature in the supplied box and accept the signature. When this happens the paper consent option disappears as it’s not needed.

Payment Page First Data is our partner and accepts the credit card number so they are not stored on NSC servers. The site is secure level 2 PCI compliant. If the students contact address is the same as their billing address they have the option to auto-populate the billing address with this information.

Summarizes the requestor (i.e. student) information as well as the recipient, its delivery method and fees.
