Project Code Management System (PCMS) Application Standard Operating Procedures

Project Code Management System

PCMS – Initial Query Page
The Project Code Initial Query provides the opportunity to query a project code. Selecting “Ctrl + F” may be used to search for records using the Find box at the top of the browser window. The project code query will appear to left side of the screen, highlighting the matching project code in the PROJECT_CODE column. This query will provide you the opportunity to read (project code detail information), delete (pending project codes), and update a project code as necessary. The Project Code Initial Query provides the opportunity to query a project code. Selecting “Ctrl + F” may be used to search for records using the Find box at the top of the browser window. Project code will appear highlighted under PROJECT_CODE.

PCMS – Add Project Code To add a new project code, select the Add Record button at the top of the query page. To add project code, select the Add Record button at the top of the query page.

PCMS – Add Project Code Page
Start by selecting the Project Category. Must be entered for the auto-generation of the next available project code and enabling other required/optional fields. Project Category = C or D Project Code = [Auto-generated] Project Name = If available Duration Continuous = T or F Lifecycle = A, P, or R Duration Begin Date = Begin date Duration End Date = End date (If continuous = T, no date required) Project Use = Project info Reference = MSG, EXORD#, ADC# Code Owner = D, H, or J Service Agency = ALL or specific Service/Agency codes POC = Org, First Name, Last Name, Commercial Number, DSN, FMS Allowed = T or F NATO Only = T or F Auto Activate Date = Date to auto-activate a pending project code * See notes page for field explanations Project Category = C or D (C = 3-series; D = 9-series project codes) Project Code = System will auto-generate the next available C or D project code. Project Name = If available Duration Continuous = T or F. (T = True; F = False) Must be F for category D project codes. Lifecycle = A, P, or R. (A = Active; P = Pending; R = Reserved) Duration Begin Date = Begin date. Effective start date for the project code. Duration End Date = End date. Anticipated end date at the establishment of the project code. If continuous = T, no date required. Project Use = Clear text statement explaining the intended use of the code. Reference (MSG, EXORD#, ADC#) = Cite the authorization for a project code. Code Owner = D, H, or J (D = DoD MILSTRIP; H = OSD; J = CJCS) Service Agency = ALL or specific Service/Agency codes. Reference DLM , MILSTRIP, Appendix 2.2, Service Agency Codes. POC = Org, First Name, Last Name, Commercial Number, DSN, FMS Allowed = T or F (T = True; F = False) NATO Only = T or F (T = True; F = False) Auto Activate Date = Date to auto-activate a pending project code

At completion of data entry, click the Add button. At completion of data entry, click the Add button.

PCMS – Query to Validate Project Code
Query for the new project code and PCMS will highlight newly added project code (PROJECT_CODE).

PCMS – Update Project Code
To update an existing project code, query for the project code (Ctrl + F) and click update in the right most column. To update an existing project code, query for the project code (Ctrl + F) and click update in the right most column. An expired project code cannot be updated.

PCMS – Reserved Record Parameters
When reserving a project code that is not quite ready for activation, set Lifecycle to R. Changing Lifecycle to R only requires the entry of the Project Code. No other fields required.
