App Codes, Definitions, and Licensing Liability for Technicians

AppCode Vocabulary Inventory Codes- Used for inventory purposes only. Point of Contact: Assets Dept. Image Codes- Used to image a district owned computer. The code selected during the imaging process will determine what software is assigned to the computer. Point of Contact: DII Dept. Project Sheets (PS)- Created to bridge the gap between curriculum and technology. PS show what is found on the computer once it is imaged with Ivanti. Some software will be installed automatically and some software will be in the Ivanti Workspaces. These are evaluated at the end of each school year and updated over the summer by the coordinators and coaches. Point of Contact: Michelle Campos

Are Inventory codes the Same as Image Codes?
There are almost 300 inventory codes and closer to 150 imaging codes. Many App codes are similar to Imaging codes, but others are not. Example: A 999 inventory code means an item is in the Museum but a 999 image code means an Administrative computer. If you put the administrative computer into TIPweb as 999 that computer will not be replaced.

Why is it important to select the right Image Code?
Software is purchase and licensed based on Image Code assignment. User will not receive the proper software if the wrong Image Code is selected. You will have to reimage the machine if not imaged correctly in the beginning. If you are not sure which Image code to select, please contact the DII Department. Please DO NOT guess.

Software Approval Process
CFISD Software Policy: ALL software installs need to go through the approval process before being install on any district devices. Software Requested through Isupport Is it new software to the district Route ticket to AAS Dept. Why Do You Need Approval to Install Software?
Reduces the risk of being audited and found out of compliance with the End User Licensing Agreement (EULA) Protects the district from being fined and also protects the customer and yourself from being questioned during an audit. Provides a paper trail and documentation to support the purchase of the software. Allows the DII department to test the software for bugs and compatibility with our current setup. Gives curriculum the opportunity to evaluate to software for appropriate content when being used in the classrooms or with students.

Software Purchases Guidelines
Isupport ticket must be submitted and technology will place the order. Isupport tickets must include: Software name, website of the software, budget code, contact person, subject area that the software will be purchased for. If this is new software that is not currently approved/used within the district, curriculum or DII will approve the Isupport request first. All software will be delivered to AAS (Michelle Campos) for electronic storage before being installed on the computer(s). Some software will be installed by Ivanti and other software will be hand/remotely installed.

Can you install software in the below situations?
A teacher has a software on a CD along with the receipt of the purchase. She put in an iSupport ticket requesting the software to be installed on her teacher computer. Can you install this software without escalating the iSupport ticket? Why or Why not? A principal found some free software on a website and she request you to give her administrator rights to install the software on her laptop. How do you handle this situation? A teacher purchased software and request through iSupport to have software downloaded on her teacher computer. The iSupport ticket was routed to AAS for approval. AAS approved the install and routed the ticket back to the campus technician to install. The teacher ask you while your installing it on her CTW “Can you also install the software on a student computer?” Can you install this software on the student machine without escalating the iSupport ticket again? Why or Why not? The campus secretary purchased software on a PO for a few student computers. Technology was not aware of the purchase. Once the software is delivered to the campus, they requested you to install the software. What do you do next?

Where are Project Sheet’s located?
All project sheet are located on an intranet website called DII Smart. You can access it by typing in the URL: dii-smart/. You can also access it through your Ivanti Workspaces by launching the icon label DII Smart

Software Software List- All the software that is owned by the district (except for individually owned software). Software Search- If you were looking for a particular software you can search by name. **Not all software is allowed to be installed on all district computers Check with Michelle Campos if you have any questions about the software licensing.
