1 2013 AIA Rochester’s Design Excellence Awards Call for Entries
Sponsored by: AIA Rochester AIA Rochester is pleased to announce the 2013 Design Excellence Awards. The Design Awards are established to encourage excellence in architectural design, to make the public more aware of our built environment, and also to honor the owners and design and construction teams of successful projects. Program Schedule February 1, Registration form and entry fee must be received by noon at the AIA Rochester office April 5, Submissions (digital) must be received by noon at the AIA Rochester office May Jury convenes May 24, Submission boards must be received by noon at the AIA Rochester office June 1, Design Award Gala at the Memorial Art Gallery

2 Submission Requirements
The entrant must specify the category for each submission in addition to submitting digital images and project information in strict accord with the format specified. Entries not in conformance with these guidelines will be disqualified. Upon downloading template file from your , please save file as the assigned “submittal number.ppt”. Each project submitted must have a separate PowerPoint file and be designated with the assigned submittal number. Each project submittal file size must not exceed 10 MB—NO EXCEPTIONS. Files that exceed the size limit will be returned. Slides 1-5 are for instructional purposes only and should not be included in the submittal. Slide 6 is the Project Description and Project Title/Data slide. The Project Description and Project Title/Data slide must be the first slide of each presentation and shall contain the information requested. Withholding sensitive information, such as project cost, due to owner confidentiality concerns is acceptable. Is such a case, provide as much description as possible and indicate whether the project falls into the Small Project or Large Project category. Provide a minimum of ten (10) and a maximum of twenty (20) slides, including the Project Description/Project Title and Data slide. (The Project Identification Slide shall not be counted against your total.) Place the submittal number provided by AIA Rochester into the text box on the lower right of each slide. More than one image may be placed on each slide if desired. DO NOT use slide transitions or animations in your submittal. Please use high quality images. At least two (2) color or black and white photographs must be used; there is no maximum beyond space limitations as outlined above. (Note: if a professional photographer is used, the appropriate credit shall be given with each photograph.)

3 Submission Requirements Continued
The right side of image slides can be used for a brief description of the image. Be concise; use Arial Font only, minimum 10 pt type. DO NOT change the layout of the slides. This includes the background color of the slides, which should remain white. Design approach shall be expressed on the right side. A site plan showing the relationship to adjacent buildings or spaces is mandatory. Diagrammatic floor plans, elevations, and sections as required to explain the project and the design intent are mandatory. If the project is a renovation or addition, or submitted in the interiors category, “before and after” construction photographs are mandatory. Images of development sketches are acceptable if they help convey the design intent, but they must be in addition to the minimum requirements. The final slide in your presentation must be the Project Identification Slide (slide 8 in the template file). This slide WILL NOT be seen by the jury and DOES NOT count against your maximum number of slides. It is for AIA Rochester office purposes only and will be removed from your presentation before reaching the jury. By submitting a project for consideration, the submitting architect represents and warrants AIA Rochester that he or she has provided a complete list of all those substantially contributing to the design of the project. Failure to provide a complete list may result in disqualification. AIA Rochester accepts no responsibility for incomplete submissions. Failure to comply with the above Submission Requirements will result in disqualification. All material is submitted at the risk of the entrant.

4 Presentation Board Requirements
A presentation board is required for all projects selected to receive an award. All other entrants are encouraged to submit a presentation board, which will be displayed at the Design Award Gala and as a part of a travelling exhibit for the following year. Each submittal shall be mounted on a 36” x 36” x 3/16” black gator board with gloss lamination. (UV resistant ink is recommended). Firm name(s) shall be placed in the lower left corner in 48pt. Times New Roman. The phrase ‘AIA ROCHESTER 2013 DESIGN EXCELLENCE AWARDS’ in 48pt. Times New Roman shall be located on the top right hand corner of the board. The project name, location, completion date and category shall also be placed at the top right hand corner of the board.

5 Digital Format: All submissions shall be in PPT format only. All registrants will be provided a link to an individual, private, secure DropBox folder where they must place a copy of their submission by the deadline. In the event of technical difficulties accessing or utilizing the DropBox folder, contact AIA Rochester before the submission deadline for alternate arrangements. A signed release from professional photographers must be provided to AIA Rochester, giving permission to AIA Rochester to use all submitted images at the AIA Rochester Design Excellence Awards Gala, for the production of awards plaques, and for distribution through the media such as the AIA Rochester Newsletter and the Rochester Business Journal. A copy of the required waiver will be provided to all registrants.   Questions may be directed to: AIA Rochester by calling (585) or ing us at Cancellation Policy: Entries may be cancelled up to noon on April 1, 2013, less a $50.00 administrative fee. All cancellation and refund requests must be made in writing to AIA Rochester.

6 A001.01 Project Description/Project Title and Data:
In a maximum of 300 words, describe the basic program requirements, special site problems and how the design process and solution satisfies these. Please also state any technical, environmental or social advancements regarding your project. (The minimum font size should be 10pt/Arial.) DO NOT change the background of this slide. The name of the project can be mentioned generically. For example entrants can say “The education center was designed for the university.” Instead of “the John Johnson Educational Research Center was designed for the university.” Building Area: (sf) Fill in Here Cost per Square Foot: Construction Cost Date of Substantial Completion: Location of Project: Type of Project: Please identify here if it is a new work, renovation/addition, or historic preservation Construction materials, mechanical systems or other pertinent information: #####

7 Insert your image(s) within this 7” x 7” space.
All floor and site plans should be oriented in the same direction and should include a north arrow, and all plans, elevations and sections should include a graphic scale. #####
