An Introduction Yann Werner Prell EPRIE Project Fund Webinar August 15, 2018

2 Aim Korea Verband and Robert Bosch Stiftung want to encourage the continuation of small, short-term but often very impactful collaborations that bring together different EPRIE members from the community in order to learn from each other and inspire others. However, we also want to support bigger project collaborations, which need an initial funding to get started.

3 Limitations We support projects by EPRIE alumni that are in line with the charitable objectives of Korea Verband and promote international understanding and tolerance, science and research, or arts and culture. For further information, please read the statutes: Furthermore, your proposed activity should focus on the public and should be completed in the given time period. We cannot fund projects limited to EPRIE alumni (e.g. regular EPRIE alumni meetings).

4 Costs covered by EPF Travel costs (including tickets and such costs directly related to travel)  Hotel or convention costs (including rental fees for event spaces, accommodation)  Food, catering  Fees (including honorarium for speakers, no personnel costs)  Stationary (flipcharts, markers, pens, paper, post-its)  Personnel Costs (only in special cases for projects over 3,000 Euro!) 

5 Examples Possible projects include:
Public events like panels, conferences, round tables Exchange programs Preparatory meetings Public seminars and webinars Information material and campaigns Art performances, movies, documentaries

6 Project duration All projects and activities must take place and be completed in the given project phase from October 1 to March 31, 2019. Reports about your project have to completed by March 31, 2019 the latest. Next round: Spring 2019

7 Maximum amount Two rounds in 2018 with total amount of 10,000 Euro each We will distribute the limited funds available during this pilot period of the project fund amongst the whole group  be economical and do not apply for the maximum amount.

8 Match-funding Favored proposals are those, who apply for match funding from other sources Examples: cost sharing, additional payments, or in-kind funding (venues, flights), but also own resources for your project. In case your application exceeds 3,000 Euro, EPF requires match funding (minimum of 30%). Applications with more than 30% match funding are viewed favorably. Example: Project:4,000 Euro, up to 2,800 Euro from EPF. 30 % match funding meaning that at least 1,200 Euro have to be raised from other sources.

9 Application You can apply for the EPF from August 1 to September 2, We welcome early applications! We cannot consider incomplete applications for selection. We will review all complete applications in September. You will be informed by us regarding your project application by the middle of September 2018. 10 Q&A Q: Limitation to EPRIE countries? A: No, the EPRIE Project Fund is not limited to the EPRIE countries. However, the projects should have a regional focus on Europe and/or East Asia and foster the idea of regional integration in and/or between both regions. Q: Is it okay to apply for other funds from Robert Bosch Stiftung for match-funding? A: Yes, we strongly encourage you to apply for match- funding, also from Robert Bosch Stiftung.

11 Q&A Q: Other funding options – where can I find them? A: Please contact us directly with your project idea, because there are many funding possibilities and we can direct you to possible ressources when we know a little bit more about your project idea. Q: Can we have an example calculation? A: You can find an example calculation for an example project (EPRIE Journal) on our website

12 Q&A Q: Who decides about applications? A: The Korea Verband and Robert Bosch Stiftung decides about the applications. Q: Do we have to pay up to 3.000€ upfront for projects under 3.000€? A: Yes, you would have to pay for expenses upfront. However, if you open a bank account for your project, you could also receive the funding in advance if the funding amounts to 3.000€.

13 Q&A Q: Personnel costs from other ressources possible? A: Yes, you can pay for personnel costs from other ressources / match-funding. Q: Is it possible to have continuous funding? A: The EPF should help help you to start your own projects. We want to give this chance to many of the EPRIE alumni and therefore don‘t want to give continuous funding after the beginning of your project. However, we always invite new project ideas.

14 Q&A Q: Will the 2nd round of the EPF get the left-overs from the 1st round? A: Yes, left-overs will be given to the next round. This, however, wasn‘t the case in the first round of 2018, as all funding was used. Q: What are the requirements in terms of reporting (monitoring & evaluation)? A: You will have to hand in a report about your project after completion. Evaluation / monitoring is not a must, but we encourage you to evaluate your project with team members and participants.

15 Q&A Q: What is meant by “personnel costs”? A: Personnel costs are salaries, payed to you or people from your project team. This is only possible for bigger projects above Euros in EPF funding. If you pay external freelancers, e.g. to setup a website, you can pay honorarium/fees. This is also possible for the small funds with less than Euros.

16 Q&A Q: Is it possible to involve an external person in the project team? (Not an EPRIE Alumni) A: Yes, this is possible. The project should, however, be headed by EPRIE alumni Q: If granted the fund, would it be able to change some parts of the project in the middle of implementation? A: Yes, this is possible. We know, that this sometimes don‘t work out as planned. In this case, you can contact us with a new expenditure plan and a description of the changes to your project to receive approval.

17 Q&A Q: If we would like to apply for funding other than the EPF but fail to find one before the application deadline, would it be possible to ask to help us connect to one AFTER we submit our application form? A: We know that application deadlines often vary and other funding might only be possible after your funding approval. We can support you with your application, however we encourage you to already mention possible other funding possibilities in your project application. Q: Is it possible to use the funding for advertising in social media? A: Yes, this is possible.
