Welcome to the ABC Baker’s Smart Booth Divider Video series. The Smart Cookies Girl Scout Cookie Order Management platform provides an easy and efficient way to distribute credit for booth sale packages sold to multiple girls quickly and evenly. The Girls are not financially responsible for those booth sale packages sold but they will be provided the credit to go towards their rewards. Using the Smart Booth Divider also provides the Council a library of important data related to booth sale activity that can be used for future booth sales.

Option 1 - Booth Divider: Distributing Cookies for Each Booth Option 2 - Booth Divider: Distributing All Booth Cookies at end of sale Editing/Deleting Transactions within the Smart Booth Divider This Video series has 3 segments to provide instructions in each area of the Smart Cookies - Smart Booth Divider. There are 2 options in which the Volunteer can record the Booth Sales: Option 1 - Distributing Cookies for Each Booth or Option 2 - Distributing Cookies for All Booths at end of sale and the last segment will be on Editing or Deleting Transactions within the Smart Booth Divider This first video will cover Option 1 which is “Distributing Cookies for Each Booth”

Best Practice: Distributing Cookies for Each Booth (Option 1) Record all packages sold by variety at each individual booth sale and evenly distribute those packages sold to the girls that participated in that booth The best practice is Distributing Cookies for each booth by recording all the packages sold by variety at each individual booth sale, and then use the “Save and Distribute Sales” button to evenly distribute those packages sold to only the girls that participated in that specific booth sale. 4 Hover over the Booth tab, click on My Reservations

5 Selecting Booths to Smart Booth Divide
Select the Booth to report sales. Click the “Show Confirmed Reservations” button - All booths assigned to the troop are listed Click the “Booths left to Distribute” button - displays all booths that are available to record sales To find a specific booth location scroll through the list shown or use the search box to enter a key word (Safeway, for example) When you have identified the booth, click on the 3 dots on the far right, A tab will extend, click on Smart Booth Divider

6 Option 1 - List Total Packages Sold by Variety / Save and Distribute Sales to Selected Girls for the Individual Booth Verify that the booth location chosen is correct before entering the booth packages sold and selecting the girls. Click the back arrow to change to another booth if necessary. Enter the amount of PACKAGES sold by variety during that booth sale. Click the “Save and Distribute Sales” button at this time. The “Select Troop Girls” grid will appear as shown on the right Select which girls attended that booth sale by clicking on the check box to the right of their names. Once all Selected girls are checked, Click Continue

7 Option 1 - Distributing the Remaining Packages for the Individual Booth
The Girls selected will appear on the grid along with each variety showing that the Divider has automatically divided the packages sold as evenly as possible to those girls Any remaining packages will appear at the top of the page and are listed in red at the bottom of the page Manually distribute the remaining packages to the girls. This example shows that 13 additional packages need to be distributed. You can determine which of the girls are credited with the remaining packages. Repeat for each variety and when all leftover packages have been completely distributed, the red indicator will disappear showing a 0 balance. You may adjust any and all variety totals at your discretion, provided that the total number distributed for each variety does not exceed the total amount sold for each variety within the booth sale. Once complete, click the Save Button

8 Option 1 - Confirmation of Smart Booth Divider Sale Credit for the Individual Booth
Once Saved, a confirmation message will appear on the bottom of the page. All packages will show as being distributed completely at the top and bottom of the page At this point, the following items have been automatically created in the system: The Inventory has now been transferred from Troop to Girl A separate transaction was done for Cookie Share sales (if applicable) The girls have received credit for those booth packages sold which will count towards their rewards And a reminder that the Girl is not given the Financial responsibility for those booth transfer credits. Repeat these steps each time a booth sale is completed to accurately display girl totals on each of the Girls’ Smart Cookie Dashboard. To view this activity, go to the Manage Orders page and under Transfers filter, check the “Troop to Girl” transfers option to see the transfers created for each of the girls that participated in that booth sale. All Smart Booth Divider T2G transfers will be seen in “view” only mode and cannot be edited within the Manage orders screen.

Alternative Process: Booth Divider: Distributing All Booth Cookies at end of sale (Option 2) Record all packages sold by variety at each individual booth and distribute the total of All booth sales evenly at one time to all Girls in the Troop at the end of the sale An alternative method of recording Booth Sales when using the Smart Booth Divider will allow the volunteer to record all packages sold by variety from each individual booth, and will then use the “Save and Go Back” button for each booth event that the Troop has completed. At the end of the cookie sale, when ALL booth sales have been entered, the total of all booth sale credits from all booth events, will be evenly distributed at one time to all Girls in the Troop by using the “Distribute Total Booth Sales” button located on the bottom of the Troop Booth Reservations page. 15 Option 2 – List Total Packages Sold by Variety / Save and Go Back to Credit All Booth Sales evenly to All Troop Girls Once you have selected the booth location from the Troop Booth Reservations page, be sure to verify the location before entering the data. Enter the amount of PACKAGES sold by variety during that booth sale (as shown). Click the “Save and Go Back” button. You will not select girls at this time and you will be directed back to the “My Reservations” page. Repeat these steps for Option 2 at each of the booth events that the Troop has completed.

16 Option 2 – Credit all Booth Sales evenly to All Troop Girls
Once all the Booths data has been entered, go to the bottom of the Troop Booth Reservations grid as shown and click the ‘Distribute Total Booth Sales’ button. If you have already distributed cookies for any booths (where Option 1 was used to the credit of sales from Booth events and distributed to girls), the warning message shown on the right, will appear advising that all previously distributed sales will be redistributed evenly among ALL Girls in the Troop. Click "Distribute”.

17 Option 2 - Selecting All Girls for Total Distribution / Confirmation of Smart Booth Divider Sale Credits for All Booths Once the “Distribute Total Booth Sales” button is clicked, the list of “Select Troop Girls” will appear. Click the “All” button at the top of the page to select All the Girls in the Troop. If there are specific Girls in the Troop that you do not want to give any credit for booth sales, uncheck the names of those Girls. Once all Girls names that should receive credit for booth sales are checked, click the “Continue” button The Girls selected will appear on the grid along with the fields for each variety, showing that the Smart Booth Divider has automatically divided the packages sold as evenly as possible to those girls Any remaining packages that could not be evenly distributed are listed at the top of the page and will appear in red at the bottom of the page Manually distribute those remaining packages to the girls prior to saving the results Repeat for each variety and when all leftover packages have been completely distributed, the red indicator will disappear showing a 0 balance. Click Save A confirmation message will appear as shown at the bottom. Editing a Girl within the Smart Booth Divider We will start by showing how to add or delete a Girl in a Booth that has already been Saved and Distributed.

23 Find the Booth to Edit Girls
To find a specific booth location, scroll through the list shown or use the search box to enter a key word (Safeway, for example) When you have identified the booth, click on the 3 dots on the far right, A tab will extend, click on Smart Booth Divider

24 Editing Girls Names Click on the “Edit Girls” button located at the bottom of the screen. The “Select Troop Girls” box will appear. In this example, Mona Griffin had been listed for that booth event, but it should have been Mona Knight. In the “Select Troop Girls” box, shown on the right, uncheck Mona Griffin and check Mona Knight. Click continue.

25 Distributing the Remaining Packages
You will see the corrected Girls names on the grid Manually re-distribute the remaining packages that could not evenly be distributed again Once all varieties are evenly distributed the “Packages left to Distribute” line, will no longer be in red and will show a “0” balance. Click the Save Button.

26 Confirmation of Corrected Girls
Once Saved, a confirmation message will appear on the bottom of the page To view the updated Transfers created for the girls, go to the Managed Orders page and under Transfers, filter for Troop to Girl Transfers (T2G)

Editing Booth Quantities within the Smart Booth Divider This Second Edit will showing how to Edit the Quantities in a Booth that has already been Saved and Distributed.

28 Return to the list of troop reservations by hovering over the Booth tab and click on My Reservations.

29 Find the Booth to Edit Quantities
To find a specific booth location, scroll through the list shown or use the search box to enter a key word (Safeway, for example) When you have identified the booth, click on the 3 dots on the far right, A tab will extend, click on Smart Booth Divider

30 Editing Package Quantity
Click on “Edit Booth Sales”. For this example, the TAL has 15 but should say 25.

31 Editing Package Quantity by Variety
Change all varieties necessary in package quantities (the TAL is adjusted from 15 to 25) Click on the “Save and Distribute Sales” button. The “Select Troop Girls” grid will appear Check the same girls again who attended that booth event, or add/delete attendees as needed Click Continue

32 Distributing Remaining Packages
After the Quantities have been edited, you will need to manually distribute the remaining packages that could not evenly be distributed Once all varieties are evenly distributed the “Packages left to Distribute” line, will no longer be in red and will show a “0” balance. Click the Save Button.

33 Confirmation of Updated Quantity
Once Saved, the Total Quantity has been updated as shown at the top of the page and a confirmation message will appear on the bottom of the page To view the updated Transfers created for the girls, go to the Managed Orders page and under Transfers, filter for Troop to Girl Transfers (T2G)

34 Smart Cookies – Smart Booth Divider Deleting a Transaction within the Smart Booth Divider
This third part will show how to Delete a Transaction. By Deleting a Transaction after using the Smart Booth Divider, it will not delete the booth location, it will only delete the transaction(s) crediting the girls for booth sales for that specific location, date and time. Log onto abcsmartcookies.com to get started.

36 Find the Booth to Delete the Transaction
Locate the Booth that needs to be deleted by scrolling through the list shown or use the search box to enter a key word (Safeway, for example) When you have identified the booth, click on the 3 dots on the far right, A tab will extend, click on Smart Booth Divider

37 Deleting Smart Booth Divider Transaction
Click on “Cancel Distribution” button.. The Cancel Distribution will delete all package quantities entered and all transactions credited to girls. Once the “Cancel Distribution” button is clicked, the confirmation message (as shown to the right) will appear: “Are you sure you want to cancel this sale distribution?” Click “Clear Distribution” to delete all data related to that booth The Booth reservation will still be listed under the My Reservations page
