1 Creating new GobiAlerts

2 What can GobiAlerts do? GobiAlerts is a new service to send regularly scheduled s to faculty members (or others) of newly profiled titles or newly generated notification slips, based on parameters Consultants will be responsible for setting up GobiAlerts for their departments Acquisitions will be responsible for setting up folders to receive approved requests from consultants and completing the export process into III

3 Setting up a new GobiAlert
Step 1) Click on “GobiAlerts Administration” under “Library”

4 There are 2 steps to complete:
build views and build users

5 Building Views Step 1) Select the “Views” tab, then click on “New”

6 Step 2) Name your view, it can contain up to 25 characters. The name will be seen by the users (faculty) so should relate to the subjects they will be viewing You can delay the alerts being sent automatically, by “unchecking” the “Active” box, making the view inactive

7 Step 3) Select where you want the titles to come from. You can choose to request titles from the entire Baylor profile, or from a specific departmental profile which can also be limited by fund code

8 Step 4) If you choose to pull titles from “All profiled titles” or “Notification slips” Selecting “Notification slips” is recommended Choose your classification scheme; in most cases, this will be “LC”

9 Step 5) Click on “range” and enter an LC range In most cases you will be selecting an LC range to send to specific faculty or faculty groups

10 Step 6) You can choose an interdisciplinary topic (or topics) and You can sort your view by title or author

11 Step 7) The third part of the form helps set preferences for delivery Choose format, “Interactive (Web)” is recommended for most views unless you want to manipulate the lists Choose how often view should be sent under “Frequency” and Choose if you want to receive a copy; this is recommended

12 Here is a sample message you can use, feel free to customize:
Step 8) Add a message to your view. This message will display in faculty . Keep in mind that this same message will be sent every time the GobiAlert is sent Here is a sample message you can use, feel free to customize: This contains new title alerts from YBP. Please review them as soon as possible and send your recommendations to the library, Thank you, Beth

13 Step 9) If you have users built, you would add the users you want to receive this view

14 Step 10) Click on “Save”

15 Building Users Step 1) Select the “Users” tab, then click on “New”

16 Step 2) Add name, middle initial is not required These should be names of faculty that will receive GobiAlerts

17 Step 3) Add initials, can be 2-5 characters It is important that you identify department and the user. When you go back to retrieve GobiAlerts, they will all be in one file and the best way to retrieve your alerts is to use initials Example: ENGRR (English, Richard Russell)

18 Step 4) Add address

19 Step 5) Add view, you can highlight multiple views if needed Once added, this user will receive this view through GobiAlerts

20 Step 6) Click on “Save”
