Completing Your Calendar

2 Your Calendar The final piece of paperwork that you will submit to us before you checkout is your Calendar for your Senior Project

4 How do I complete the calendar?
You must meet with your sponsor to complete your calendar and have him or her sign the calendar Set up a time to meet with your sponsor about the calendar before April 10th

14 Calendar Options You may use the form we have provided
You may use an alternate calendar and complete it, as long as it has: Hours each day (ex. 9:30 – 4 :30) Daily Activities (as much as you and your sponsor know this far in advance) Daily Hours Total

15 What do we need to write in for “Activities” each day?
“My sponsor says he/she doesn’t know what I’ll be doing each day. What do I write in?” A general description of the activity is fine, but it is up to you and your sponsor If you are shadowing at different locations, please be sure to write in what location you will be at on a given day

16 It is possible that your sponsor will have a preset schedule for you to use to fill out the calendar
It is also possible that your sponsor will say that the activities will vary each day If your sponsor signs off on the calendar and you have accounted for 100 hours, your calendar will most likely be accepted

17 What else should go on the calendar?
All Advanced Placement and International Baccalaureate tests and any teacher led review sessions that take place during Project should be written on the calendar

18 What else should go on the calendar?
You may include the hours that you attended your teacher-led review sessions and the number of hours that you sat for the test on the day of those tests or teacher-led review sessions

19 What else should go on the calendar?
If you are required to attend class, you may also write down the hours that you attend class each day

20 What else should go on the calendar?
Any Varsity sport competitions or practices that necessitate leaving your Project earlier than usual or missing a day of Project should be written down before you meet with your sponsor so that he or she is informed.

You may or may not get credit for some of the hours, but you should let your sponsor know about your plans to miss Project time

22 What else should go on the calendar?
Any conflicts that would keep you from attending your project site that you are aware of should be on your calendar before you meet with your sponsor

23 What else should go on the calendar?
If there is a school-approved activity (participation in a school sponsored event, for example) you may be able to claim some or all of the hours that you will be unable to work on Project

24 General Guidelines Anything that will take you away from your Project site should be included on your calendar so that your sponsor is aware of your availability

25 General Guidelines Remember that your sponsor, not you, are the final voice in the number of hours and the times that you attend your Project site If there is a difference of opinion, your sponsor will make the final decision

26 General Guidelines If the activity that causes you to miss hours at your Project site is school sanctioned or school sponsored, you can claim the number of hours that you missed – not the number of hours you spent at the activity

27 General Guidelines If it is not school sponsored or school sanctioned, you cannot claim the hours you missed

28 General Guidelines You are only allowed to count the hours that you actually miss attending your Project and only if the activity is school approved

29 Examples Example 1: Your Project goes from 8:30 to 3:00 each day. Baseball practice from 4:00 to 6:00 wouldn’t interrupt your 8:30 to 3:00 project schedule, so you may not claim any hours for the practice

30 Example 2: The bus leaves at 1:00 for a game/meet. Your Project usually lasts from 9:00 AM to 3:00 PM. Attending would take you away from your project for 2 hours.

31 Example 2: For that day, you would write down the hours that you spent at the project site that day and then get the 2 hours for missing project to go to the game/meet. You do not get all of the hours spent at the game/meet.

32 Example 3: You have a Saturday practice, game or meet. If you would not normally attend your Project site on Saturday, you should not include those hours on your Calendar. If you would have attended your Project site on Saturday, you can claim as many hours as you missed, but not necessarily the number of hours you spent at the event.

33 Suppose you had a 2 hour conference at your Project site scheduled from 11 AM until 1 PM that you missed because of a doubleheader on Saturday. The doubleheader starts at 8 AM and lasts until 4 PM. (8 hours) You may count 2 hours, the length of the conference that you missed, but not the whole 8 hours of the doubleheader.

34 Counting Hours You should include all school sponsored or school sanctioned activities on your calendar before you complete it with your sponsor

35 FAQs Can I get hours for Project on the weekend?
Yes, you can. The Calendar only lists weekdays, but you can add in any weekend hours that you and your sponsor agree to. You may be asked to attend a meeting on a Saturday or participate in a conference that lasts into a weekend. You can get hours for the times you are participating in your Project.

36 FAQs My sponsor wants me to go over 100 hours. What should I do?
You and your sponsor have an important relationship. They are attempting to expose you to their field of expertise in four short weeks. If they want you to go beyond what we have asked, it is in your best interest to agree to it, within reason.
