The YBP “Not Bought in Ohio” project
YBP has developed a mechanism to track books not purchased within Ohio Lists can be created, stored/saved, and reviewed for purchase

Worldwide Books “NB” Project
Less sophisticated No fancy software Manual checking of titles in Central Catalog Results distributed via Easier to start-up No passwords/training needed No new routines for acquisitions staff This process could be applied to many speciality book vendors, as long as libraries have a the infrastructure in place a , a reliable central catalog and available student staff.

Concept could be applied to many subject specialty book vendors, as long as libraries have the infrastructure in place: Appropriate bibliographers and reference staff on an electronic discussion list An up-to-date/live Central Catalog Available student staff

[here is barbara’s text file of art and architecture bibliographers/reference librarians in ohiolink member libraries.] The Art and Architecture co-facilitators spent time creating a list of all known bibliographers and reference staff in Art, Architecture and related fields. These were all contacted and encouraged to join the art and architecture subject list.

From the Worldwide home page we select “Search Options”

Worldwide inserted “77” in the “Approval Plan Number” field for all titles that were not ordered (via approval) to any library in Ohio. Those sent via firm orders are not included. We also want to select a month under the “Recent arrivals” category….[next slide]

By using the “Recent Arrivals” category our searches are limited to items received each month by Worldwide. Note that we can search records monthly back to December 2003. Searching by “Year of Publication” is not as useful, since titles from previous years can arrive late and because it doesn’t give us a month by month analysis.

Here we see that 50 titles received by Worldwide in Dec were not sent to any Ohio Library on approval. Our next step is to check these records against the OhioLINK Central Catalog to see how many of these are actually owned by OhioLINK member libraries (but purchased another way). By selecting “click here to check or uncheck all boxes at once” And then selecting the “Display Details” button (at the bottom of the page) We get full bibliographic records.

Here we see the full bibliographic records for the 50 titles.

Using “select all”f from the browser I can copy and paste these records into a word processor and save them as a text file.

These titles are now checked title by title in the OhioLINK Central Catalog and ownership noted where it exists. This work is easily done by student staff.

The titles that have 0 holdings in the OhioLINK Central Catalog are then copied into a separate text file and numbered for convenience. For December 2003 there were 24 titles that were not purchased by any OhioLINK member library.

This file is then sent as an attachment and pasted into an sent to the entire Art and Architecture subject group. Recipients are directed to order titles via their regular avenues. In several months I’ll have a student check these 24 titles in the OhioLINK Central Catalog to see how many of them have been ordered.
