As with humans, business too cannot exist alone or in a “vacuum” – i.e. there will always be issues that impact on the achievement of its plans Hence it is expected that any plan or schedule will need to accommodate many different contingencies during the life of the project

Remember the quote “The only constant is change…?” During the life of a plan there are many changes that could occur – in relation to changes that could occur in an organisation: some of them are provided below- Change of strategic direction Change of management Change in technology Change in policies and procedures Change in resources and availability

5 Activity Think of a project you have done in the past 6 months. How successful was the outcome? What factors occurred during the project that impacted on time frames? How were these addressed?

6 Identify factors affecting the achievement of work objectives and incorporate contingencies.
Each of the potential factors listed in the earlier slide may have an impact on the plan. Some may need to be considered formally and written in a form that is termed a risk management plan or simply a contingency plan. The advantage of this is that : It allows you to react more quickly if the situation arises The quality of response will be more informed and therefore more likely to work It lets management know that you are prepared

8 Tips on developing a contingency plan
List in draft form, all the issues that could arise Apply the weighting system to each issue Try not to work alone, in order to avoid your own personal bias When there is a list of issues, review the scores and prioritise the list Eliminate any issues that have a low score Ensure that the contingencies are detailed enough to provide a number of options and specific so that one can react quickly if the situation arises
