4 Presentation Basics To create an effective presentation, you need to:
Decide on which software program to use Learn as much as possible about your audience (the people who watch or listen to a presentation) A slide show is a collection of slides, or pages, arranged in sequence, containing text and images to be presented to an audience Digital Media, 3e

The term presentation software has been synonymous with Microsoft PowerPoint PowerPoint continues to offer users a multitude of built-in design and display features that are easy to use Popular alternatives are online presentation applications such as Google Docs and Zoho Digital Media, 3e

6 Audience AUDIENCE formula makes it easy to know where to start by presenting a series of questions about the audience and the facilities in which you will present: Analyze Understanding Demographics Interest Environment Needs Customization Expectations Digital Media, 3e

7 Preparation Speakers often use presentation software as a primary planning tool Don’t fall into the trap of trying to plan your ideas and the multimedia elements at the same time Consider each of the following four steps during the preparation process: Outline Beginning Structure Grammar Digital Media, 3e

8 Outline Create an outline of how you think your presentation should flow A visual presentation should be limited to three main ideas supported by several sub-points or explanations You can edit text for each slide directly within the Outline box Digital Media, 3e

9 Beginning Establish the most significant ideas you want to get across to your audience Trim this list down so that only key items remain Identify points that can be moved to sub-points or gathered under a common topic Some presentation designers begin by creating the entire outline on a single slide, and then breaking the points out onto individual slides Other designers prefer to create three slides (one for each main point) and then add their sub-points to those slides Digital Media, 3e

10 Structure Keep your ideas brief rather than using long explanations

11 Grammar Ensure that the proper grammatical techniques are used on every slide throughout the presentation Make your points grammatically parallel Parallelism is a grammatical term indicating that the basic structure of two or more sentences or phrases is similar; sentences that are parallel have similar arrangements of subjects, verbs, and sometimes prepositional phrases Digital Media, 3e

12 Notes It’s not necessary to include every word of your presentation in your actual slides The Notes or Speaker Notes feature is a good place to keep information that will be helpful in your presentation for reference Digital Media, 3e

Generally, slides appear sequentially from one slide to another within a slide show All presentation software allows you to control the order in which slides appear Higher-end presentation applications allow you to control the way in which slides appear and how quickly they appear Hyperlinking A hyperlink is a text and/or picture that can be used to connect one page with another regardless of their actual order in the presentation A good tool to use when you want to refer back to information on a previous slide Digital Media, 3e

Animations or Transitions The way in which each slide will appear during its transition from the previous slide You can determine a slide’s transition sound and speed You can determine whether the slide will advance automatically after a set time period or with a mouse click Digital Media, 3e

Action Buttons Simplify movement from one slide to another Are pre-made, ready-to-use graphical hyperlinks Placing action buttons on a slide allows you to select the links you want each to activate Digital Media, 3e

16 Fact Checking As a speaker, you have an obligation to be honest with your audience You must check your facts carefully to ensure they are accurate Always double-check your facts and incorporate only that information which you can verify Digital Media, 3e
