2 Steps Good team members with different skills are a necessity
Gathering Volunteers Preparing Budget Drafting Brochure Drafting Schedule of the activities and deadlines for each activity.

3 Conti… Fixing date, venue, guests, name of the event
Delegate work to different people and let an experienced person coordinate all activities Collect sponsors and other sources of money from delegates. Market the event through brochure, release advertisement, by informing the media, send mailings, make phone calls, send messages to e-groups.

4 Conti… Gathering items needed for the event i.e. mementos, prizes, or certificates. Make arrangements for Photos, Videos etc. Make arrangements for food and refreshments. Make arrangements for chairs, tables, microphones, computers, LCD projectors, podiums to be set up at the venue.

5 Conti.. Prepare a list with all relevant mobile, phone numbers, s ids Check whether participants kit is ready Arrive early to the venue with our team members and volunteers. Check for electronic equipment is in working order or not Make sure the organizers are wearing a distinct badge or some other noticeable implement, ID card so that participants can find help if needed

6 Conti… Put the Welcome Banners and other info in front of the building
Make a reception and registration counter Keep the microphones, and speakers ready. We must put on music for a formal event. The person who does the Inaugural ceremony i.e. host speaker has the schedule and resume of the guests ready. He/She should be well prepared and aware of the purpose of the event as well as the people who are attending it

7 Conti…. Make sure that speakers are aware of any time constraints
Welcome the delegates and others. Take care of any special requests, especially those of the outstations and chief guest. Take photos Ensure all resources (food, water etc) are sufficient Thank the delegates after the event Finalize and settle the accounts Thanks letter to participants Dispatching of Certificates
