IT Transformation will occur in 3 parts
BUILD A TRANSFORMATION PLAN PART 3 IMPLEMENT THE PLAN PART 1 PREPARE Addresses our service needs Fits within our current financial situation Allows future strategic growth and change Data Collection Service Delivery Model Vision

PREPARE PART 2 BUILD A TRANSFORMATION PLAN PART 3 IMPLEMENT THE PLAN Data Collection Service Delivery Model Vision We would be ill advised to begin trying to transform the IT Organization before we understood where we are currently, and where we want to go

Build a comprehensive “picture” of the IT Organization
Two separate activities will help us to prepare GOAL TEAM APPROACH Create the framework for collection Identify Data Elements Define terms Specify the collection method Determine how data will be aggregated Use key experts to test the collection method Utilize a pool of volunteers to gather data Ken Garges Magge McCue Bob Vitale Peter McMillan Mike Edmonds Aaron Melgares John Hammond Build a comprehensive “picture” of the IT Organization Data Collection Build a vision of the ideal way to deliver IT and IT related services in a higher education setting Use key experts to test the collection method Utilize a pool of volunteers to gather data Service Delivery Model Vision To be announced

These efforts will bring a number of challenges
There is an enormous amount of data to gather Strike an appropriate balance between definitions that are too tight and those that are too loose Cultural, social, political variables may affect data accuracy Data Collection There are multiple definitions of “Ideal” There will be a tendency to think of how to “tweak” the current organization rather than envision a new organization Service Delivery Model Vision

We will collect data in three waves, each followed by an analysis of the information we collected
1 Identify missing data elements Identify incorrect or incomplete definitions Identify similarities and differences across units and departments Identify what still needs to be gathered Analyze Data Wave 2 Expect 70% of the data Expect an additional 10% of the data Analyze Data Expect an additional 5% of the data Wave 3 Analyze Data

The Roles of Project Teams and Volunteers
Examine and debate tough issues and questions Compose models Develop methods Data Collection Volunteers Extract data from the organization Organize the data Present to the project team Subject Matter Expert Panels Evaluate models and definitions Identify areas where thinking has been incomplete or where there are unanswered questions Provide subject matter expertise

These groups will be active at various times during the remainder of the year
Project Teams Data Collection team has been formed and is working The Vision Team will begin working at the beginning of September Data Collection Volunteers A Volunteers Orientation Meeting will be scheduled for the end of August The collection effort will proceed through the end of 2003 Subject Matter Expert Panels Will be called on individually and in groups beginning in late August Panels are not standing groups, but rather assembled based on need
