Background Dedicated to helping and encouraging trade for over 30 years TOPFORM – aligned paper export documents ELECTRA – EDI export messages WEBELECTRA – first experiment with XML SITPRO has 40 years of experience of doing this and has always supported the UN in developing and implementing the standards that are essential to trade facilitation SITPRO’s long standing involvement provides stability and continuity for traders 1965 Simpler Export Documents 1976 Systematic Export Documents 1987 TopForm - TopForm 2 contains over 70 trade documents and is licensed by SITPRO today and is thought to be used by over 10,000 traders in the UK Understanding its importance for the future, SITPRO started work in the late 1970’s on EDI There followed a number of projects: Interbridge an early UN/EDIFACT project Spex – software to enable document completion ADEEP – an early attempt to look at how you can combine paper and electronic messages ElecTra – was a demonstration of how you put the results of ADEEP into practice WebELecTra A lot of work and a lot of learning. From a strategic perspective - Trade is not a unilateral activity International co-operation and solutions are required The fundamental lesson was that international standards are not desirable, they are absolutely essential and absolutely the proper concern of an organisation like SITPRO that leads and brokers co-operation between the public and private sectors At a more operational level - Standard paper documents, and EDI worked Working with partners and multipliers is the way to deliver Both nationally, in terms of its UK economic role And internationally, in terms of bringing a global perspective to that role Bringing paper and electronic documents together was complex Internationally recognised standards for the XML are required SITPRO was still looking for a global approach that used internationally recognised standards So a Memorandum of Understanding was signed with UNECE and the joint work on UNeDocs started SITPRO Simplifying International Trade

Project objectives To facilitate electronic transfer of data for cross border trade by producing an exchange syntax independent standards based toolkit Based on the International Supply Chain model Unifying paper and electronic ‘output’ The objective of UNeDocs is to provide a common international standard for both documents and electronic transactions. Deliverables Process Model A Common Data Model based on the UNTDED XML specifications (schemas, stylesheets) UN/EDIFACT implementation guides Document class diagrams Document layouts based on the UN Layout Key Document Box Completion Guidelines PROCESS MODEL - illustrating where the UNeDocs documents fit into the operation of the International Supply Chain. COMMON DATA MODEL - showing the relationships between key Business Entities referred to across the UNeDocs documents. Scope – 12 documents Trade Documents Quotation,order, invoice Materials Management Despatch advice, packing list The initial scope of the project was determined by an set of twelve documents chosen by the UNeDocs project team. Scope – 12 documents Transport Bill of Lading, Shipping Instructions Customs Documents SCENARIOS: A consignor contacts a freight forwarder for an estimate to export a shipment. The freight forwarder then sends a freight estimate to the consignor. The consignor is satisfied with the estimate and requests a booking. The freight forwarder contacts a shipping line to reserve space. The freight forwarder then confirms the booking with the consignor. The freight forwarder then confirms the booking with the shipping line. The freight forwarder then confirms the booking with a haulier. The freight forwarder then issues a shipping noteor dangerous goods note. The consignor sends freight forwarding instructions to the freight forwarder. The freight forwarder sends shipping instructions to the shipping line. The consignor sends consignment despatch advice to the consignee. The shipping line sends a non-negotiable sea waybill to the freight forwarder. The freight forwarder sends a bill of lading to the consignor. The freight forwarder sends a freight invoice to the consignor. The freight forwarder sends a certificate of shipment to the consignor.
