3 Chairman Ensure club is working towards its strategic plan; enact vision for club, club governance practises, leadership and direction.

4 Senior President Ensure running of senior football is carried out, leadership and direction.

5 Senior Vice President Assist President Seniors to ensure running of senior football is carried out.

6 Junior President Ensure running of junior football is carried out, leadership and direction. Chair Club Committee Meetings and AGM Attends AFL Delegates Meetings (held bi-monthly) Communicate & guide age group coordinators Present “AFL For Kids” meeting or delegate Liaise with AFL Sunshine Coast and Management Committee and AFL Queensland Monitor Strategic Plan Attend official Club appointments i.e. AFL start of season launch; AFL Presentation Night; AFL Grand Final Day; and End of Season Conference.

7 Junior Vice President Assist President Juniors to ensure running of junior football is carried out. Reports to President President’s “right hand person” Attend Delegates Meetings Arrange and co-ordinate yearly photos Arrange and co-ordinate pie night(s) Provide Club Nomination and Team Nominations to AFL Sunshine Coast (DFO) Publish courses i.e.: coaches courses and other training courses. Attend End of Season Conference (or arrange a replacement) Attend monthly Committee meetings

8 Secretary Manage inwards and outwards correspondence, minutes of meetings, and ensure clubs files and records are correctly maintained and stored. (Reports to President) Arrange outsourcing of first aid officer Attend and take Minutes of Club Committee Meetings, keep records and distribute to all in attendance Collect mail and distribute to relevant people (read out all correspondence at Club Committee Meetings), distribute coaching circulars to coaches and/or coordinators. Follow up and book courses. Receive, collate and forward to AFL Sunshine Coast all ground reports (and understand why it is done) Keep Blue Card Register and sign all forms Organise committee meeting and venue/s Maintain a calendar of social events that will attract the widest involvement form all members of the Club prior to the commencement of the season. Attend monthly Committee meetings

9 Treasurer Co-ordinate the financial activities of the club, including preparing monthly financial reports. Reports to President Set budgets with executive committee Reimburse individuals who have purchased on behalf of the Club Pay all invoices associated with the Club. Present balance sheet and profit & loss statement monthly Attend Club Committee Meetings and provide a report Liaise with auditor prior to End of Year AGM and present end of year figures at AGM Apply for Certificate of Currency of Public Liability insurance and present risk assessment report Attend monthly Committee meetings

10 Registrar ( X 2 Senior and Junior)
Reports to President Ensure all junior players (under 18s) are properly registered, database is maintained and memberships are paid- Senior registrar Under 18s team, reserves and seniors. Co-ordinate Sign On Day Attend AFL Delegates Meeting (prior to Sign On Day) Obtain Sign On Books. Resigning List from AFL Sunshine Coast and AFL Queensland Arrange and co-ordinate volunteers and hardware for sign-on day(i.e.: tables, chairs, pens, folders, note binders, club books and price lists) Coordinate advertising Liaise with Treasurer to ensure accurate records when paying registration to AFL Sunshine Coast and AFL Queensland Keep Club copies of Registration Forms Provide AFL with copies of Registration Forms Be available before start of season to sign on players that did not sign on at Registration Day (about 50%) – Training nights are popular! Construct & update Club and age group contacts on Excel Spreadsheet and distribute to age group coordinators Ensure payment options (ie: cash, credit, cheque, PayPal) and provide receipts Understand and be aware of no Registration Paper ramifications (ie: injury claims, Footy Web, awards & pennants) Provide a report on portfolio operations to the monthly Committee meeting Attend monthly Committee meetings

11 Sponsorship Work within Club’s sponsorship policy to ensure sponsors are receiving value for their investment in club. Identify new potential sponsors. Reports to President Advertise to fill positions available within Sponsorship package. Keep committee informed as to Sponsors status and expiry date Make sure clubs commitments & package responsibilities to sponsors are acquitted Liaise with Treasurer to make sure sponsors are fully paid Work closely with ALL CO-ORDINATORS AND COACHES Provide a report on portfolio operations to the monthly Committee meeting Attend monthly Committee meetings

12 Facility and Ground Coordinator
Responsible for ensuring the field maintenance plan is carried out. Work with Caretaker to ensure appropriate maintenance is being conducted at appropriate times. Central contact to manage the maintenance of the buildings and surrounds and identify equipment needs to ensure club is maintained at the highest standard possible.

13 Fundraising Coordinator
Reports to President  Work closely with ALL CO-ORDINATORS AND COACHES Liaise with Grants Coordinator, Vice President and Committee on event/s approval and budget expectations. Liaise with team events coordinators/Managers to get volunteers for game days for fund raising and team BBQ’s etc. Manage roster for events. Arrange Clubs major events, by making sure all team events coordinators are informed and/or helping with event. Organise Team specific events and fund raising. Provide a report on portfolio operations to the monthly Committee meeting To establish a broad social calendar for the season and end of season to provide a range of appropriate entertainment for all Club members and to enhance the appeal of the Club to the wider community Ensure that all social events held are at least cost effective and designed to be income producing Attend monthly Committee meetings

14 Canteen Coordinator ( X2 -Senior and Junior)
Ensure club canteen operates to provide a very important source of income, including ordering, kitchen preparation, end of day balancing, and canteen assistant co-ordination. Reports to President Ensure that an adequate food safety plan is in place for canteen operations Ensure that adequate equipment is available for providing the canteen services Establish a menu of goods for sale that provides variety that will attract all members and visitors to purchase goods from canteen in conjunction with the executive committee Ensure goods are purchased at the best (but not necessarily the cheapest) rates possible Ensure that the canteen is open for business from the commencement of the first game at home games Account for all purchases and receipts and complete Present report to committee at each general meeting either in person or writing Attend any necessary training Establish and maintain a participation roster Attend monthly Committee meetings

15 Grants Officer Apply for various Local, State, Commonwealth and company grant to fund clubs equipment and facility upgrades

16 Bar Coordinator Ensure club bar operates to provide a very important source of income, including ordering, area preparation, adherence to regulations, end of day balancing, and assistant co-ordination.

17 Media Coordinator Preparation of weekly articles for local newspaper
Preparation of weekly newsletter for printing by Sponsor Elders Palmwoods Real Estate

18 Social and Fundraising Coordinator
Arrange the vital social events to build club spirit and income sources over the year Fundraising Co-ordinators Blues Ball Blues Family Day Auction Junior Family dinner at Club nights (fortnightly) Weekly senior (meat and Margin) raffles Other fundraising events

19 NAB AFL Auskick Coordinator
Manage club’s Auskick program, including liaison with AFL SC Jnrs

20 Under 8s and Under 10s Coordinator
Work with Under 8 and Under 10 coaches, team managers and parents to promote the Juniors football program running smoothly

21 Youth Coordinator Work with Under 12, 14 and 16 coaches, team managers and parents to promote the Youth football program running smoothly
