2 Vacancy Replacement Overview – Vacancy Replacement is utilized to indicate a vacancy at a location based on replacing the current employee in a position. This personnel requisition will be posted on the vacancy web page and also indicated as an open position on the on-line application. Most personnel requisitions for vacancy replacement will be auto-generated from a reduction form. For example: when a reduction form is submitted for an employee that has resigned, when the Department of Human Resources completes this action, an auto-generated personnel requisition will be sent back to the initiator with the same tracking number as the reduction form. Information will be auto-populated on the personnel requisition form which includes category, job group, position title and number, replacement, name of exiting employee, FTE, post and budget line. The initiator will review and modify the form where needed and send forward. In addition, a new feature is available for supervisors to be part of the Personnel requisition and reduction form approval process. This feature is Only available for individuals who have been selected by Directors/budget Holders. Helpful Hints A position will be held for posting if the Department of Human Resources has not received the supporting documentation for exiting employee. Vacancy Replacement may only be used for Certified, Classified, Administrative and Classified Temporary positions. Please do not duplicate a personnel requisition if a reduction form has been submitted. Remember, a personnel requisition will be automatically generated and sent to the initiator. Supervisor approval and recommendation for hire is only available for Directors/Budget Holders who have requested a supervisor to be included on the supervisor approval/ recommend for hire steps.

Print a copy of the form and place in a binder to keep track of actions, and when completed, print the vacancy and attach the notification of acceptance when filled.
