Vision Facilitation Presentation 5/2/2019 Creating Your Future The Power of Club Visioning I am a member of the Hudson Daybreak Rotary Club. About 6 years ago a friend from St. Croix Falls asked me to come up and do Strategic Planning with his group and that was the beginning of this. Our Team has facilitated over 40 of these events including a Rotaract Club . The Visioning Session is principally geared toward Rotary and Rotary Clubs. It may not have specific links, ties and parallels; however, please try to read between the lines and we’ll hopefully be able to bring your group to consensus. The process has been used with members and all the way up to 260 members. Members of our D-5960 Team have gone out to 8 different training sessions in North America and Canada over the last 14 months and future events include: Seattle, Reno, LA, San Francisco, Hawaii, Arizona and Winnipeg with 175 District Leaders Facilitating Events in 31 Districts, in North America and Canada. It is a living management tool that: Defines a shared commitment Provides long-term direction Creates a framework to establish goals and objectives Club vision is a living management tool, it defines a shared commitment among those present this evening that you’ll be able to share and take to the rest of your Rotaract members in time. Provided it’s a Long Term direction, our hope is your planning will go out five years to Provide and carry a framework to establish goals and objectives and optimize the resources that are not just here in the room but internationally as well.

Vision Facilitation Presentation 5/2/2019 Club Visioning Process Four Hour Process Facilitated by a District Visioning Team Club Leadership must agree to the process and attend 15 – 30 club members in attendance One key to the success of club visioning is the district visioning team. Its difficult to self-facilitate because you may be too close to the issues. An outside, neutral team of Rotary facilitators make a difference in the Visioning process.

5/2/2019 Club Action Plan Action/ Who/ When Compile the facilitation wall charts Create a Statement of Purpose for our Club Schedule a Club Assembly to share what has happened Assemble the President’s Development Team Choose a Club Vision Champion Report to the District Governor and DCV Team The Scribes/Flip Charters must listen intently and translate long answers from club members into clearly written (printed clearly) word “captures” of an idea. The key to a successful scribe is to collect accurate representations of ideas in a quick and concise way. The scribes will alternate “captures” between them COMMUNICATING as a team so as not to be writing the same idea on both charts. The scribes and extractor must work together to keep the data collection flowing as this segment of the process can add valuable time to the completion of the evening’s event. The scribes will number each of their chart pages in sequence for future capture, use not abbreviations or acronyms and post charts in order and in groupings representing the 8 topics of the Vision Writing Exercise.

Vernon 83 85 +2 O’Fallon Sunrise 64 66 O’Fallon 76 +9 District 6510 1,646 1,490 -156 These 3 clubs asked for a repeat of visioning. They see the value of visioning. Has it effected members? Clearly yes. For the rest of this district, several things have been observed. Foundation giving was at $80 per member and for the past 5 years has exceeded $120 per man and total giving is up even with declining membership. Club have a President Elect earlier in the year. Student exchange is growing, increasing number of Interact & Rotaract Clubs and more community service projects and clubs working together to solve larger problems.

Tips and Lessons Learned
Vision Facilitation Presentation 5/2/2019 Tips and Lessons Learned Establish a follow up process Club Assembly attended by Team member Team members available for follow up Get evaluations after club sessions Picture of place where the session is being held Do a debrief by the team & report back Final Plan to Team Leader After completing 35 visioning events for clubs, we realized that follow up by the team is really important. At the recent, Club assembly reviewing the visioning event, the development team left out the fund raising part of visioning. This give the team a chance to correct things in the future. We get evaluations after each event. It also provides the team a report card and we can see our mistakes and correct the. Debrief by the team reviews the good, what can be improved on. Follow up process is the key to visioning being a blessing or just another failure. Interaction of the club with the team leader or other members is the key to the plan moving forward. At the recent, Club assembly, the review of the event, the development team left out the fund raising part of visioning. Use of SMART goals is important and having the final plan to the team leader meets the time requirement.
