Lt Governor Training Club Planning Conference
The Club Planning Conference is a meeting between the incoming Lieutenant Governor and the incoming Club Board of Directors. The purpose is to review where the Club is now and what it hopes to accomplish this year. It is a vital tool to determine the current status of the Club. Leadership Development Committee

What is a Club Planning Conference?
Club Planning Conference is time for the Club Leadership and District Leadership to set club goals for the coming year. The Club Planning Conference can be a key to your success as a Lieutenant Governor. The Annual Club Planning Conference is a way for the Club Leadership and District Leadership to determine the Organization, Plans and Direction of the Club for the coming Optimist year.

When should a Club Planning Conference be held?
This conference is arranged by the Lt Governor with the Club President in advance and should be conducted in September or October. The conference is designed with a form to complete that will service as a discussion guide. An excellent time to review the Honor Club Tracking Form would be at the club’s first board meeting of the new year. This is the first opportunity for the new board to meet the Lt Governor.

Who should attend? The Club Planning Conference is a planning meeting for the club. As a Lt Governor, you will want to encourage the club president to invite the board of directors for the club. These people are key to making the plans for the coming year and supporting the commitments made during this planning meeting.

Reports to Submit Zone Meeting Reports (Quarterly, report sent no later than 30 days after meeting) Club Visitation Report (Held April 1 to July 1, report sent no later than 30 days after meeting) Annual Club Reviews (October 10) Zone Meeting Reports - After the Zone meeting send in the Zone Meeting Report. This is an important function as a liaison between you and your Governor. Club Visitation Report - your formal meeting and report should be done during the time designated, to be held April 1 to July 1, with the report sent in no later than 30 days after the meeting. However, you are welcome and encouraged to visit your clubs any time throughout the year. Annual Club Review – This is your year end report on each club in your zone. It needs to be completed and submitted by October 10. Be sure to allow time to thoroughly complete this report. It will be helpful to your replacement as they work to guide each of the clubs in your zone that you have coached during your year as their leader.
