3 Summary of content In this webinar we will cover the following changes to the Portal that are included in Release 6: Reduction in number of timeout notifications; New functionality allowing users to delete claims; New Referral Source field; Limit on the number of attachments; Changes to the way organisation and branch name and address work; Global offers – change to labelling; Removal of funding sections from CNFs;

5 1. Reduction in number of timeout notifications
The system currently generates a very large number of notifications, and in order to prevent the risk of the volume of notifications impacting system performance, we are reducing the number by removing the 1-day time-out notifications. The 1-day notifications are at the following stages: Liability decision (end of Stage 1) Stage 2.1 (Interim payment needed) Stage 2 Settlement Pack response needed Stage 2 Additional Damages decision needed Stage 2 Settlement Pack counter-offer needed The 5-day and 3-day notifications will continue in Release 6 All other notifications will remain as at present. Deletion of claims New data subject rights under GDPR Articles right to rectification right to erasure (‘right to be forgotten’) right to restrict processing Valid requests are unlikely to be received for erasure or to restrict processing, but it is possible that on rare occasions a User in their capacity as data controller could receive a valid request for rectification (e.g. where a CNF has been submitted containing inaccurate information) To ensure that Users can comply with such requests at every stage of the claim, a delete function will be introduced in Release 6 A new profile, ‘ADVANCED USER Delete Claims’, is introduced to allow the access on the Administration site to the new functionality. Usage of this new function will be closely monitored to ensure it is not misused. You can find a User guide to the new functionality on deletion-of-claims/.

7 3. Referral source information – RTA only
New mandatory field in the RTA CNF Introduced following the recommendation made by the Insurance Fraud Taskforce (Final Report, January 2016). Not sent to the Compensator  Collected solely for the purpose of sharing the data with the IFB Includes ‘prefer not to say’ option Possible values for Referral Source field: Regulated CMC  the mandatory fields ‘CMC Name’ and ‘MOJ CMC Authorisation Number’ appear Existing Client Private referral Advertising (non – internet) Via firm’s website Via Other website the mandatory field ‘Please specify which website’ appears Other Source  the mandatory field ‘Please specify which source’ appears Prefer not to say

8 4. Limit on number of attachments
Another measure intended to prevent impact on system performance Limits will be Claimant representatives – 40 attachments Compensators – 10 attachments Maximum file size will remain at 4MB Total limit will remain at 20MB The User guide has been updated to include a new section on attachments. It gives detailed instructions on how to use the attachment functionality. See notes/.

9 5. Organisation / Branch name & address
When creating a CNF, the organisation name and address will not be editable Branch details can be added by selecting ‘Prefill with branch details, which will open up the Branch name address fields:

10 6. Global offers – cosmetic changes
A small change to the wording on Stage 2 Settlement pack screens and PDF: The words (Global offer) have been inserted in brackets after 'Gross amount'.

11 7. Funding sections removed from CNFs
'Funding' section removed from the CNF – both the web interface and the PDF generated RTA: EL/PL:

12 ‘End of stage 2’ retention period extended
When a Court Proceedings Pack (CPP) has been created at the end of Stage 2, the claim will be kept for 12 months (instead of 30 days) The claim, its attachments and PDFs will be made available in the Archive section. New user profile - will have access to the Archive section within the Administration console. It will not be possible to work on the claim The user guide on the Claims Portal website will be updated to provide guidance how to use the new functionality.

13 Removal of draft CNFs As with previous releases, any draft CNFs in the Portal prior to the implementation of Release 6 will be deleted. Users are asked to ensure that where possible CNFs are submitted by close of business on Friday 5 October The Portal will be unavailable on Saturday 6th and Sunday 7th October Once we have removed the draft CNF, it will no longer be possible to search or find any reference to it or related documentation. If you are unable to progress a draft CNF by this date, please print off a draft as you will need to re-enter and submit the claim.

14 New User Agreement A new User Agreement has been released. All organisations will need to accept the new agreement in order to gain access to the Portal. Existing organisations must accept the new agreement by the 8th October 2018, after which date access will be denied if the agreement has not been accepted. The new agreement is available on the agreements/ website. If the User Agreement is not accepted, access the Claims Portal will be denied and the following message presented:

Main changes relate to GDPR – Data subject access requests Portable data Rectification Right to erasure Paragraph 8.8 – dormant user accounts Litigants in person

16 Accepting the new User Agreement
Administrator should log into the Administrator section Will be prompted to accept the new terms and conditions Click to view and download the new Agreement Click the “I accept” button Must be done by 8th October Users in any organization that has not accepted the new Agreement by 8th October will not be able to log in to the Portal until the Agreement has been accepted
