The goal of the webinar is to provide updates on the Data Pipeline and current and upcoming collections. These webinars also provide a forum for districts, BOCES, and Administrative Units to have questions answered about Data Pipeline. What is PII? Student Personally Identifiable Information (PII) is defined by state and federal laws as information that, alone or in combination, personally identifies an individual This includes direct identifiers (i.e. name, SASID, etc.) Includes information that when combined is identifiable Colorado’s Student Data Transparency and Security Act introduces a number of new requirements for how Student PII is collected, used and shared CDE has prepared guidance on how to comply with this and other privacy laws which can be found here:

How to Share Data Check local policies for restrictions, requirements, etc. Ensure that you are following local policies when transmitting PII to any third party Use secure methods to transfer any PII to CDE Call CDE ( ) with questions about how to transmit PII securely Use Syncplicity to encrypt s to CDE Avoid sending PII via unencrypted or to unsecured faxes when sharing data between or within districts Do not use PII in trainings, presentations, etc. Do not share PII with unauthorized individuals Do not share passwords

Thursday, January 31st is the following STATE DEADLINE. Date by which the Administrative Unit must have created a Complete Error Free Special Education December Count Snapshot in Pipeline. Upload the following signed reports to the ESSU Data Management System: Staff Data Validity Certification Report (1 page) Student Data Validity Certification Report (1 page) *No need to upload all signed reports or ‘Submit to CDE’ just yet! - That comes after the final report review February 14-21 These certify you have reviewed all the staff and student December Count reports and warnings with your director. Submitting Data Certification Reports (2 reports)
Staff and Student Data Certification Reports are due on Thursday, January 31, 2019 Reports require a wet signature by the Special Education Director along with the date the reports were signed. Scan both signed documents into one PDF Upload the PDF to the Data Management System/Profile Tab

Special Education December Count – Duplicate Process
Duplicate Validation Process – February 4 – 14 will be sent once the duplicate spreadsheets are in saved in your syncplicity folder You’ll have until the 14th to fix them and any resulting errors Need a complete and final snapshot by Thursday, February 14th Report review February All reports due 02/21 CDE will send an once all dups are resolved and will be okay to submit and finalize after that

4 Day School Week Application Opens February 1st Closes May 10th 2019 REQUIRED Application must be submitted each year! School districts operating a school on four-day school week (less than 160 scheduled days per school year) are required to submit a request for approval. In addition to submitting the four-day application through Data Pipeline, DISTRICTS Accredited with Priority Improvement Plan or Accredited with Turnaround Plan that are submitting a district-wide application for all schools within the district need to submit the following additional information separately to Jhon Penn at A copy of school calendars, Building class schedules, Assembly schedules, Bell schedule including lunch time interval, Professional development calendar. 20

Improved Mobility Rate Report
New School Student Mobility Report complements the District Student Mobility Report and adds the following columns to the existing report: School Population District Mobile District Mobile Incidents District Population These new columns allow districts to reconcile between the three mobility Cognos reports more easily. Superintendents received notification system open on February 4th Primary and alternate contacts received notification of the opening phases Colorado will begin submission with West Coast LEAs on February 8th DO NOT get into the system until then. AERA Division H Outstanding Publication Awards Division H: AERA’s home for people dedicated to applied research, evaluation, and assessment in the schools.

Background AERA typically focuses on journals and books.
About 40 years ago, Division H needed to show AERA’s membership that there’s a wealth of R&D in the schools that isn’t found in journals and books. The real goal of the Division H Outstanding Publication competition is participation, not just awards. At one point, there were over 100 entries each year. About 1/3 of that now, even though today there are more outstanding publications than ever in our school systems. Share yours! Show AERA that the evaluators, researchers, and assessment directors in the schools are the ones in touch with what works and what’s happening.

LASID DOWNLOAD REPORT This report can be used when you wish to know the status of a submitted record without having to search through all the files that were submitted in the SASID Download Report. i.e. You submitted four RITS READ submissions today and you would like to know the status of five student records. Rather than exploring each batch that you submitted looking for the five records, you can use the LASID Download Report. Enter your LASID’s without your districts 4 digit number then click on Submit. The LASID needs to be ten digits long you may need to populate the LASID with leading zeros i.e The report will yield you with the following sortable information: LASID, SASID, Last Name, First Name, Middle Name, DOB, CaseID, Case Type, Submitted Date, Batch ID The report can also be sorted and downloaded in CSV, Tab Delimited and Fixed Length
